Post Submission Edits

CASs without verification can choose the applicant locking behavior for the Colleges Attended, Transcript Entry, and GPA Entries sections. Review the options below and how it affects applicant behavior and requirements.

Colleges Attended

When activating this feature, you must enter true or false, based on the applicant behavior you desire. If left deactivated, applicants cannot add, edit, or delete any colleges or degrees after submission.

Configuration Set to True

Applicants can add, edit, and delete all information under Colleges Attended, regardless of application status.

Configuration Set to False

After submitting their application, applicants can:

  • Add new colleges and degrees.
  • Edit existing colleges and degrees, including end dates. Note that if an official transcript is attached to a college, applicants cannot change the college name.

Applicants cannot edit or delete previously submitted colleges and degrees. This includes any submissions after the initial submission. For example, if the applicant enters College A and submits their application the first time, they cannot make any changes to College A. Then after the first submission, the applicant enters College B and submits their application to another program, they cannot make any changes to College B afterward. Every submission locks the previously submitted Colleges Attended data.

Transcript Requirements

If the Post Submission Edits feature is activated, regardless if it set to true or false, the transcript requirements are also affected.

Official Transcripts

If an applicant adds a new college and the CAS or program requires official transcripts in order to move into the Complete application status, then the applicant must submit an official transcript for any newly submitted programs. Their application status for previously submitted programs is not affected.

Unofficial Transcripts

If an applicant adds a new college, they can upload their unofficial transcripts at any time. If the CAS requires unofficial transcripts in order to move into the Complete application status, then the applicant must upload their unofficial transcript for any newly submitted programs. Their application status for previously submitted programs is not affected.

Note that programs cannot require unofficial transcripts in order to move into the Complete application status.

No Transcripts

If an applicant adds a new college and the CAS or program does not require transcripts, then the applicant is not required to upload or submit transcripts. They will move into the Complete application status for any newly submitted programs.

Transcript Entry

When activating this feature, you must enter true or false, based on the applicant behavior you desire. If left deactivated, applicants cannot add, edit, or delete any coursework after submission.

Configuration Set to True

Applicants can add, edit, and delete all coursework under Transcript Entry, regardless of application status.

Configuration Set to False

After submitting their application, applicants can:

  • Add new coursework.
  • Edit in progress coursework.
  • Move in progress terms to complete.

Applicants cannot edit or delete previously submitted coursework. This includes any submissions after the initial submission. For example, if the applicant enters Fall 2018 coursework and submits their application the first time, they cannot make any changes to Fall 2018 coursework. Then after the first submission, the applicant enters Winter 2019 coursework and submits their application to another program, they cannot make any changes to Winter 2019 coursework afterward. Every submission locks the previously submitted Transcript Entry data.

GPA Entries

If the GPA Entries feature is deactivated and a CAS has verification or programs request official or unofficial transcripts, then applicants cannot add, edit, or delete any data under GPA Entries after submission.

If the GPA Entries feature is deactivated and a CAS does not have verification or programs do not request official or unofficial transcripts, then applicants:

  • Can add new GPA entries.
  • Can edit previously submitted GPA entries.
  • Cannot delete previously submitted GPA entries.

If the GPA Entries feature is activated, applicants:

  • Can add new GPA entries.
  • Can edit previously submitted GPA entries.
  • Cannot delete previously submitted GPA entries.

By activating the GPA Entries feature, CASs that have verification or programs that request official or unofficial transcripts can have the same functionality as those CASs without verification or programs that do not request official or unofficial transcripts.
