Cycle Phase Dates

CAS Selection

Phase Start Date
Enter date and time when phase opens. Ensure any dates you’ve already configured in the cycle information page are already set to a future date.

Programs Available
Enter the date and time when programs will be visible and can be selected in the Applicant Portal. Only use this phase date if your CAS uses a third-party integration with the NMS or another approved vendor. This will not set your programs to the same start date.

Submit Start
Enter date and time when applicants can start submitting during the phase.

Recommendation Expiration
Enter date and time when any incomplete recommendations will be cancelled. Evaluators won't be able to complete recommendations after this date.

Tiles Locked
Enter date and time when selected tiles will be locked for editing.

Phase End Date
All programs still active with a deadline date or a deadline rule in the future will be set to closed.

Cycle Phase Dates

App Builder now offers a Cycle Dates tab, allowing Liaison users to configure dates for CASs (like PhORCAS) that have multiple phases. This feature is available to all CASs using the mobile UX.

Users can now use several custom configurations:

  • Configure start and stop dates for third-party integrations within each phase. Currently only the National Matching Service (NMS) for PhORCAS is supported.
  • Configure Cycle Start, Cycle Close and Submit start date fileds based on date and time.

These enhancements allow you to customize a CAS's configurations to their or a third-party's preferred schedules and time zones.

Applicant Portal

In the Applicant Portal’s mobile UI, the open and close functionality is now as follows.

  • Phase Start: Opens the phase/cycle. All dates beyond this must be set in the future. 
    • Unlocks any tiles previously locked
    • Updates the start date the new end date configured for that phase
    • Update the submit date the new end date configured for that phase
    • Update updates the new end date configured for that phase
    • This should NOT affect the "Overall Cycle Dates"
  • Programs Available: Opens programs by setting them to Approved/Active. Any programs that are in Draft status (and are not designated as Templates) will be made ACTIVE and available for selection in the applicant portal. Proceed with caution when configuring thisdate.
    • When the date and time passes should also refresh the applicant portal so programs are available immediately for selection.
      • Previously, elastic search would run every 5 minutes and there would be a delay. The work to display programs immediately upon the cycle dates program availability time was done in 
  • Submit Start: Allows submission and payment to start.
  • Recommendation Expiration: Cancels any incomplete recommendations. Reopening expirations will need to be done in Management for individual recommenders/applicants, or in bulk through T2 Support.
  • Tiles Locked: Locks the selected tiles in the app portal to prevent completion of a tile. 
    • Tile will be unlocked the next time a "phase start" time passes in the future.
    • Applicants cannot submit applications when a tile is locked.
  • Phase End Date:
    • Hides the Create Account button.
    • Closes the cycle.
  • Integration Stop Date/Start Date:
    • These should be set only if the CAS uses a third party integration to ingest programs and control availability (e.g. PhORCAS, AAPI, ResidencyCAS).
