Manage Experiences

Students use experiences to help categorize their activities, as experiences capture all the details of service or civic engagement programs, including the location, primary supervisor, term, faculty, and experience type. Students create their experiences at the start of their service or civic engagement program by selecting from options created by you. They then attach their activities to their experiences. Adding your institution's locations, supervisors, terms, faculty, and experience types is something you'll do during the initial account setup process and anytime you need to add or change the information available to students.

The Importance of Experiences

Experiences are key in Compact2Learn because they tell the system where to route the activities and forms students may be submitting to supervisors or faculty.

Viewing Student Experiences

We recommend you view new experiences added by students to confirm their accuracy. You can view experiences as follows:

  1. Click Training.
  2. Click Experiences.
  3. Use the filter options to narrow your list of experiences.
  4. Under the Experience Type column, click the student's experience type to view the experience details.
    • Note that you can use the Experience Export in the Analytics feature to export experience details for a group of students.

Editing Student Experiences

You can edit full experience details as long as the student doesn't have any activities or forms associated with the experience. Once activities or forms are added to a experience, changes are limited. Note the following:

  • When a supervisor is changed in the experience, the previous supervisor will continue to see any activities or forms that were submitted to them prior to the change. The new supervisor can see activities or forms sent to them from that point forward. Students can retract previously approved activities and resubmit them to the new supervisor, if desired.
  • When a faculty member is changed in the experience, the previous faculty member can no longer see the student's record. The new faculty member can see all details, forms, activities, etc., connected to the student for that experience; the new faculty member replaces the previous faculty member on all forms and evaluations regardless of where they are in the workflow.

To edit experiences, view the experience, then make any necessary changes. If you do not see expected locations, supervisors, experience types, or faculty, you may need to make them active via the Training tab.

Identifying Students Without Experiences

Occasionally, students forget to create experiences before adding activities. As a result, they're unable to send activities and forms to their supervisors. You can easily check for students without experiences:

  1. Click Training.
  2. Click Experiences.
  3. Use the filter options to narrow your list of experiences and select Include Students That Do Not Match.
  4. Click Filter, then navigate to the last page of experiences. Students who appear in red are missing experiences.
