Analyzing Subpopulations

A View is a filtered list of students within a specific population and funnel phase. Views are the foundation of all prescriptive tools and are used to define every population for what-ifs, sensitivities, matrices, and scenarios.

Creating a View

  1. From the Analyze main page, click the blue Chevron associated with the View tile to open the view page.
  2. Click the Column Manager in the upper right of the page.

  1. Click the checkbox to add or remove variables from your analysis. Use the search bar to quickly find a specific variable.
  2. Click the chevron associated with a variable and click the following tabs to:
    • Condition: create conditional filters (e.g., Contains/Equals/Does Not Contain/Does not Equal for Text variables; Greater Than/Less Than/Equal To for Numeric variables; and Before/After for Date Variables)
    • Value: select or deselect to filter options.
    • Impact: filter to students whose prediction is positively or negatively impacted by the specific variable. Note, this will only be visible if the variable is used in the model.
    • List: input a list of values from an external source, e.g., a list of individual student IDs.
  3. Use the Bar Stack icon to sort the columns in ascending or descending order.
  4. Use the Numeric icon to change the format for number variables. Note: this icon will change based on the selected format.

  5. Click Apply.
  6. Use the numeric drop-down to reorder variables.
  7. Close the Column Manager.
    • Note: Filters are visible as filter chips above the visualization. Hover over the chip to see the full filter criteria. Quickly remove a filter by clicking the X associated with the filter chip.

  1. Select the appropriate filters for:
    • Predict Set: the academic years or terms for which the Othot model has made predictions.
    • Rewind: all students with historical data in the selected lifecycle phase, with their likelihood score represented as what it would have been when they were in the selected phase.
    • Aggregates: measures like sum, average, and count are populated as rows at the bottom of the grid for numeric values.
  2. Click Save Changes.
  3. Enter a Name and Description for your View. Click the Plus icon to choose who to share the view with.
  4. Click Save.

Access this view by clicking the associated chevron in the grid on the Analyze main page. Favorite a View for quick access by clicking the star next to the name. Edit, clone, or delete the View using the three-dot action menu.

Export the data in your view to use in external applications using the Export icon in the upper right of the student grid.

Using Text to Query to Define Filters

Use the Text to Query Input in the column manager to leverage AI to craft your desired population. Use natural language, for example, "High School students with a GPA above 3.5 but below 3.8," to describe your desired population. Filters that match your input will be automatically applied to your view and can be reviewed as filter chips above the visualizations. Text to Query will not override other applied filters unless directly addressed in the query.

    Creating a Pivot Table

You can view summary statistics by arranging variables and values from your data in a customized table.

    1. Click the Hierarchy icon and select Create New Pivot.

    1. Click the plus icon under the Column heading to select up to 8 variables to be made available as Rows, Columns, Values, or Filters within your Pivot table.
    2. Click the plus icon under the Share with others heading to select anyone you'd like to share the pivot table with.
    3. Click the check boxes to add a maximum of two prediction sets.
    4. Click Save. The Pivot you just created will be automatically opened.
    5. The Column Manager has four quadrants labeled Rows, Columns, Values, and Filters. By default, there are Values populated for Predicted Enrollment, Count, and Average Likelihood.
      • To remove a variable, click the X on the filter chip.
      • To move or reorder a variable, drag and drop the filter chip.
      • Click the Plus icon in the upper right corner of the quadrants to add a variable.
      • Right-click on a variable in the Filters quadrant, then click Field Settings for more display options and calculations.
    1. Click Save

To download your table, click the three-dot menu in the upper right of the page, then click Export.

    Targeting Variable Groups

Many marketing activities depend on a way to segment large populations into meaningful categories. Variable Groups are created from historical data in which the enrollment or retention outcome is known, using the variables most important to that outcome.

Grouping buckets allows you to compartmentalize data within a variable. You can create grouping buckets for any variables being assessed. For example, you might add a variable grouping to a GPA with buckets to denote scores below 3.00, between 3.00 and 3.50, and above 3.50 to compartmentalize students for assessment. To create a grouping bucket for a specific variable:

    1. Click the gear icon in the Navigation menu, then click Variable Grouping.
    2. Click the Plus icon in the upper right corner.
    3. Select the product and variable, then enter a description.
    4. Click the Grouping tab, click Create New.
    5. Enter a name, define the numeric range, then click Save.
    6. Repeat steps 4 and 5 to add additional grouping buckets.
    7. Click Save.

The Low and High values for these variable groups will override the default values in your report grids.
