New Features and Enhancements

CAS Application Enhancements

Liaison’s suite of portals work together to help you collect and manage applications. The CAS application, also referred to as the Applicant Portal, is the system where applicants find and apply to your programs. You receive these applications in WebAdMIT or Liaison Outcomes, where you perform your review processes. The appearance of your program and your requirements are customized in the Configuration Portal, where you establish the program-specific elements that your applicants will interact with. Additionally, your program may use one or more of the following tools and platforms:

  • Analytics by Liaison and Othot: advanced analytics solutions and data reporting tools.
  • API: a data integration tool.
  • Applicant Gateway: a platform for applicants who have already submitted their CAS application to complete and upload additional materials requested by their programs.
  • Enrollment Marketing and TargetX: customer relationship management (CRM) systems for student lifecycle management.
  • Letters by Liaison: a platform for evaluators to submit their letters of recommendation.
  • SlideRoom: a platform for collecting digital portfolios.
  • Time2Track: a platform for tracking, verifying, and managing experiences.
    Shared Lookup Table Updates for Spring 2021

This enhancement is automatically available for use by all CASs and participating programs. No action is required on the part of any association, school, or program. Contact your Account Manager for more information.

Many fields in the Applicant Portal contain predefined answer values that applicants can select; for example, the Country and County fields both have predefined answer values. These values are housed in shared “lookup tables.” In this release, new values were added. You can view all updates on the Shared Lookup Table Updates for Spring 2021 page.

Admissions by Liaison, Analytics by Liaison, API, and WebAdMIT

You can view and extract the new answer options in these portals.

    TOEFL MyBest Scores

This enhancement will be automatically available for use by all CASs and participating programs in the next cycle. No action is required on the part of any association, school, or program. If a CAS association or UniCAS client wants the enhancement available in a current cycle, contact your Account Manager.

Liaison now receives TOEFL MyBest scores directly from ETS. MyBest scores—sometimes generically referred to as superscores—are the combination of an applicant’s best scores for each test section from all of their valid TOEFL scores in the last 2 years.

Applicant Portal

There are no changes to the processes for self-reporting test scores or ordering official test scores. 

WebAdMIT

You can view scores in the Standardized Tests panel of the Applicant Details page. Additionally, you can view scores in the Full Application PDF under the Documents panel of the Applicant Details page. All TOEFL iBT score reports sent after August 1, 2019, will include the applicant's MyBest scores as well as the individual scores from each test date.

Analytics by Liaison Enhancements

The following enhancements are now available in Analytics by Liaison. All enhancements are automatically available to all CASs and participating programs using Analytics by Liaison. No action is required on the part of any association, school, or program. If you have any questions about these features, contact your Account Manager or support

    Added Program Materials Visualization for Application Progress Dashboard

The Application Progress dashboard now includes a visualization indicating applicant progress for the Program Materials section of the application (i.e., the fourth quadrant).

Additionally, you can now filter the Application Completion visualization to display all application data, only the first three sections of the application, or only the program materials section:

    New Section Status Dashboard (Association Users)

A new Section Status dashboard is available to Association Users. The dashboard displays applicant progress through each of the four application quadrants, broken out by the sections that comprise each quadrant. This allows associations to uncover areas of the application where applicants experience obstacles and to evaluate application content accordingly.

    Added Progress Loader

To help indicate when Analytics is processing your request, we’ve added a progress loader to several pages. For example, the progress loader now appears when you: 

  • Log in to Analytics.
  • Apply filters on the Manage Users page (i.e., filter your users). 
  • Add new organizations to a user’s account (i.e., edit your users). 
  • Save changes to any cohorts (i.e., manage cohorts). 

CAS API Enhancements

The following enhancements are now available in the CAS API. All enhancements are automatically available to all CASs and participating programs using the CAS API. No action is required on the part of any association, school, or program. If you have any questions about these features, contact your Account Manager or support

    Replay APIs

A new Replay resource is now available that enables a user-application to replay all data and documents in scope of an existing subscription. You can use the following API endpoints:

  • POST replays: start a replay job
  • GET replays: return a list of replay jobs
  • GET replays/{id}: return the details of a replay job
  • DELETE replays/{id}: terminate a replay job

    New Subscription API Tokens

The Subscription API destination path template now supports the following new tokens:

  • <collegeName>
  • <collegeAttendedId>
  • <ceebCode>
  • <ficeCode>
  • <ipedsCode>
  • <mdbCode>
  • <evaluationServiceName>
  • <vendorTranscriptEvaluationsId>
  • <evaluatorFirstName>
  • <evaluatorLastName>
  • <evaluatorEmail>
  • <evaluatorOrg>
  • <evaluatorTitle>

Note: NULL values are replaced with [token]_missing.

    Short Name Feature Includes Export Code

The CAS API Short Name feature now includes the question’s export code in the CSV file. The feature includes the following data for each custom question:

  • <shortfieldname>
  • <shortfieldname>_code
  • <shortfieldname>_createdDate
  • <shortfieldname>_updatedDate

    New isRequired and isRequested Properties for Applicant-Uploaded Documents

The CAS API application response model now includes an isRequired and isRequested indicator for the following applicant-uploaded documents: 

  • attachments
  • supplementalAttachments
  • gatewayAttachments
    New Properties for Organization and Program APIs

The CAS Organization and Program APIs now include the following properties: 

GET Organizations

  • etsCode

GET Program, GET Programs/Config

  • orgId
  • orgName

Letters by Liaison Enhancements

The following enhancements are now available in Letters by Liaison. All enhancements are automatically available to all CASs and participating programs using Letters by Liaison. No action is required on the part of any association, school, or program. If you have any questions about these features, contact your Account Manager.

    508 Compliance Updates

Letters by Liaison’s interface is updated to meet 508 and WCAG 2.0 compliance standards. These updates include improved color contrast, field spacing, clearer field outlines, navigation, compatibility with screen readers, etc.

    Updated Placeholder Text

The placeholder text for the Your Name fields that appear when creating or editing your account was updated to be more inclusive. Previously, the default text was "Mr. John Doe, Sr."

WebAdMIT Enhancements

    Batch Add Applicants to Clipboard via CSV File

This enhancement must be approved by the CAS association or UniCAS client for use in the current cycle. If activated, this enhancement is available for all participating programs. CAS association and UniCAS clients: contact your Account Manager for more information or to enable this feature.

You can now add multiple applicants to your Clipboard by uploading a CSV file of their CAS IDs. This enhancement can make your review process more efficient. Review the Using the Clipboard page for more information.

    Applicant Gateway Activity Completion Date in WebAdMIT Includes Time

This enhancement must be approved by the CAS association or UniCAS client for use in the current cycle. If activated, this enhancement is available for all participating programs. CAS association and UniCAS clients: contact your Account Manager for more information or to enable this feature.

When applicants complete an Applicant Gateway activity, both the date and time of completion are now available when extracting this information through the Export Manager. Previously, the date was included but the time defaulted to 12 AM. This enhancement allows you to accurately report on an applicant’s activities.

Migrating Review Form Responses to Custom Properties

We are building an Advanced Configuration Library for Admissions by Liaison. This library provides guidance to help you build custom configurations in the software. As it is built out, you'll find more options that you can implement to enhance the way Admissions data is presented, exported, or filtered. 

Our first configuration, Migrating Review Form Responses to Custom Properties, helps you to display reviewer's results more prominently. You can also use this configuration to export reviewer's responses out of the software.

Sandbox Environment Refresh

April 6, 2021

The WebAdMIT Sandbox environment (sandbox.webadmit.org) will be refreshed with current (cleansed) production data and program configurations. Any test exports, custom fields, etc., in the current sandbox were overwritten.

Reviewing & Scoring Applicants Virtual Training

April 13 – 22, 2021

Register now for our Reviewing & Scoring Applicants virtual training course. 

Participants will learn how to make the best use of the Assignments and Interviews features in WebAdMIT through a series of hands-on exercises led by a WebAdMIT expert. They will learn how to rank applicants and pinpoint the most qualified candidates while networking with peers to learn how others are using WebAdMIT to achieve their admissions goals. Participants who successfully complete this course are eligible to earn 0.7 Continuing Education Units (CEUs).

Sandbox Environment Refresh

May 3, 2021

The WebAdMIT Sandbox environment (sandbox.webadmit.org) will be refreshed with current (cleansed) production data and program configurations. Any test exports, custom fields, etc., in the current sandbox will be overwritten.
