New Features and Enhancements

CAS API Enhancements

The following enhancement is now available in the CAS API. All enhancements are automatically available to all CASs and participating programs using the CAS API. No action is required on the part of any association, school, or program. If you have any questions about these features, contact your Account Manager or support.

Support License and Observation Hours Document Subtypes

The GET Application (detail) and GET File (attachment) APIs now support license and observation hours document subtypes. Impacted values of the docSubType property will be prefaced with either "license-" or "observations-hours-" to indicate the new subtype.

For more information, visit the CAS API technical reference page.

GET Accounts/Info API Returns Public Key IDs

The GET Accounts/Info API now returns any public key IDs associated with the organization (i.e., school). You can use these IDs when calling GET Application (detail) to encrypt social security numbers.

For more information, visit the CAS API technical reference page.

Enforce Data Visibility Rules for Associations in GET Applications (list) APIs

The GET Applications (list) APIs now enforce data visibility rules for associations that are already enforced for individual applications. For example, if an association restricts access to In Progress applications, the GET Applications (list) APIs will now omit those applications in the response.

For more information, visit the CAS API technical reference page.

Time2Track Enhancements

The following enhancements are now available in Compact2Learn, MyInternshipJournal, and Time2Track. All enhancements are automatically available unless otherwise noted, and no action is required on the part of any association, school, or program. If you have any questions about these features, contact your Account Manager or support.

    Updated Trainee Profile Page

Time2Track has a new, streamlined process for trainees (i.e., students) to manage their profiles.

    Updated Status Date

The Status Date under My Forms now displays the user’s local time zone. Previously, the Status Date was on Coordinated Universal Time (UTC).

    Updated Level Drop-down Options

When institutional administrators add a course, only the levels associated with a school’s activity type list appear in the Level drop-down. Previously, all levels available in Time2Track appeared, regardless of the school’s configuration.

Universal Advisor Portal Enhancements

    Updated Advisor Reports

This enhancement is automatically available for use by all CASs and participating programs. No action is required on the part of any association, school, or program. Contact your Account Manager for more information.

The final reports for the 2020-2021 cycle are available under Advisor Documents. Only applicants who authorize releasing their data to advisors at their primary college attended are included in these reports.

Managing Roles The Managing Roles article has been updated with new roles, definitions, and links to corresponding features for each role.
Creating Translation Tables We have added a section to the Application Exports article that explains how to create translation tables. Translation tables allow you to convert data from one form to another, which may be useful when importing into other systems, or when building applicant scores.

Exporting Race and Ethnicity Data as One Column per Race/Ethnicity

We are building an Advanced Configuration Library for Admissions by Liaison. This library provides guidance to help you build custom configurations in the software. As it is built out, you'll find more options that you can implement to enhance the way Admissions data is presented, exported, or filtered.

This configuration provides three alternative formats for exporting race and ethnicity data, as opposed to the default string format.

Remove Commas from Export Fields When importing data into another system, you may need to remove commas from text fields to make the file compatible. This configuration below allows you to strip these commas.
Enforce Character Limit on Export Fields When extracting data from Admissions by Liaison, you may need to truncate a field, setting a specific character limit. Using this configuration, you can strip the additional characters, allowing these fields to meet your qualifications.
Remove Extra Characters from Phone Numbers When extracting data from Admissions by Liaison, you may need to strip extra characters from a string of numbers. This configuration allows you to strip additional characters from a phone number, leaving just the numeric characters:

How Data Visibility is Impacted by Application Statuses

Your CAS determines the visibility option in WebAdMIT for each application status. You may see a full view of the applicant's information, a partial (i.e., limited) view of their information, or you may not be able to view applicants at all within certain application statuses. Review the visibility options in this guide to better understand your viewing ability and how it can affect your application review process.

Shared Lookup Table Updates for Fall 2022

September 11, 2022

Many fields in the Applicant Portal contain predefined answer values that applicants can select; for example, the Country and County fields both have predefined answer values. These values are housed in shared "lookup tables" which are viewable in your CAS's/UniCAS's Custom Export Layout (CEL) file (located under the Help panel in WebAdMIT).

Lookup table change requests should be sent to your Account Manager, who will compile and review these requests prior to inclusion in the next lookup table update taking place this fall. The deadline to submit change requests is June 1, 2022. New lookup table values will appear in the Applicant Portal on September 11, 2022.

For guidance on optimal implementation of the new lookup tables, please review the timeline and additional information on the Shared Lookup Table Updates for Fall 2022 page.
