Track Membership


Track Membership is an extension of Recipient Interactions that records the first delivered activity associated with a recipient in a Track. 

The Track Membership setting controls whether TargetX creates and syncs Track Membership records for a specific track. Enable this setting for tracks that require membership reporting; deactivate it for tracks that do not require membership tracking.

This setting gives your organization flexibility to use Track Membership only where it supports your reporting and operational needs.

Turning Track Membership On or Off

  1. Open the Track you want to configure.
  2. Go to Track Settings.
  3. Locate the Track Membership toggle near the Recipient Interactions toggle.
  4. Turn the toggle on or off:
    1. On: TargetX creates and syncs Track Membership records for the track.
    2. Off: TargetX does not create or sync Track Membership records for the track.
  5. Save your changes.

Track Membership for Parents 

If you wish to record Track Membership for parents, you may do so. There are a few steps to complete to enable upsyncing of parent data:

  1. Navigate to Setup and select Object Manager.
  2. Locate the Track Member object: TX_CommPlanner__Track_Membership__c
  3. Create a new field: lookup.
  4. That field must have an API name of Relationship__c and looking up to the TargetX custom object: (Relationship (v1)) -  Target_SRMb__Family_Relationship__c 
    Note: by default, this field is assigned the API name Relationship_V1__c. Rename the API name to Relationship__c to enable successful synchronization.
  5. Save.

Track membership will be recorded and associated with the Relationship object.

  • Sync occurs only if the RM/Base packages are installed; if they are not, Relationship V1 is not synced.
  • Membership syncing applies only to “Parent” relationships when sending to Contacts + Parents or Parents only, where Parent is defined as Mother, Father, Legal Guardian, Parent, or Other.  

How the Setting Affects Records

The Track Membership setting directly controls the creation and synchronization of Track Membership records.

Result

Track Membership enabled TargetX creates Track Membership records and includes the track in Track Membership synchronization and reporting.
 Track Membership disabled TargetX does not create Track Membership records or synchronize membership data for the track.

For example, enable Track Membership for an admissions communications track when your team needs to understand which prospective student first received communication from that track. You may leave it disabled for lower-priority or operational tracks that do not require membership reporting.

Managing Data Retention

A Track Membership cleanup component lets administrators remove older membership data and manage storage use.

Administrators set the retention period for Track Membership data. The default retention period is 30 days. Review this setting regularly and select a period that supports your reporting needs while helping control Salesforce storage consumption.

Deleting older data may affect the historical reports available to your users. Confirm reporting and retention requirements before shortening the retention period.

Reporting on Engagement

After Track Membership is enabled, use Track Membership data with Recipient Interactions to analyze participant engagement. Note: you may need to create a custom report type, such as Contacts with Track Membership, before you can build Track Membership reports.

For example, create a Track Membership report and add a cross filter for Recipient Interactions. This can help your team identify:

  • People who joined a particular track.
  • Communications sent to or received by track members.
  • How actively an individual engaged with communications associated with the track.
  • Engagement patterns within an enrollment marketing campaign.

You can create a report to identify students who belong to a Track but have not engaged with its communications or activities. This report is useful for follow-up outreach, advising, and evaluating whether Track members need additional support or more targeted messaging.
