Reporting on Engage sessions

  1. Navigate to the Reports tab.
  2. Click New Report.
  3. In the Select Report Type search bar, enter Activities with Contacts.
  4. Click Create.
  5. Select the following Columns:
  • Status
  • Subject
  • First Name
  • Last Name
  • Total Wait Time (recorded in seconds)
  • Duration (minutes)
  • Advisor
  • Engage Room
  • Engage Meeting Reason
  • No show Time
  • Activity Date (the date the contact entered the queue)
  1. Update/Add filters (Suggested filters):
  • Show Me = All Activities: for every engage meeting, regardless of the advisor
  • Activity Date = <your preference>
  • Show
  • Tasks and Events: shows all activities/tasks and event records
  • Events: only shows event records (Engage meetings are entered as Events on the Activity Timeline)
  • Subject CONTAINS Advising Session (Engage meetings all have a subject of either “Walk-In Advising Session” (pre-October 2020 release) or “Advising Session” (October 2020 and later))
  • Advisor EQUALS 
    • null: to see students who entered a queue but were not picked up by an advisor
    • <Advisor Name>: to see meetings held by a specific advisor
  • No Show Time NOT EQUAL TO null to see all students marked as no-shows
  1. (Optional) Add Groupings (Suggested groupings):
    • Group Rows by Date, then cluster date by week or month to show the number of meetings in a specific date range
    • Group by Advisor to see how many meetings a specific advisor took in a specific date range
