Setting up Appointment Scheduler users

Create a Record Type for Staff and Students

You will need to ensure that you have Record Types for Staff and Students to use the Appointment Scheduler. You likely already have one for RM Student, so you'll need to make one for Staff:

  1. Navigate to Setup and search for Object Manager.
  2. Select the Contact object.
  3. Click Record Types
  4. Select the New button.
    1. Enter a Record Type Label, Name, and Description, such as Staff.
    2. Click the Active checkbox.
  5. Select the Profiles that should have access to this Record Type.
  6. Click Next.
  7. Select the Page Layout to be applied to All Profiles.
  8. Click Save.

Create Contacts for Appointment Scheduler Users

Each person using the Appointment Scheduler will need a Contact record. That Contact must also be connected to a Related User. Once you've created the Contacts, follow the steps outlined in the article Associating a Contact to a Related User to connect Contacts to Related Users.

Staff Members will also need the following defined on their User record:

  • Appointment Reasons

The Appointment Reasons field defines one or more areas where an advisor is available for appointments. 

  • Main Department allows other users to view a user's Appointment Calendar based on their Department.
  • (Optional) Admin Departments are used to grant permissions to view other users' calendars (on the Appointment Calendar). For additional information, see How to delegate a user in Appointment Scheduler?
