Technical Alert: Package Updates Potential to Impact Custom Field Filter Abilities

We have been alerted to an issue in Salesforce that occurs when a managed package is updated that contains Managed Report Types. This issue causes custom fields to be removed from the report types upon upgrade of any managed package, including the TargetX packages below and may impact sending Broadcast Emails. Further details of the issue and steps to resolve it are below. 

TargetX packages that include managed report types are: Recruitment Manager, Retention, Events, and Data Management. 

TargetX managed report types are: 

  • Recruitment Manager 
    • Students With or Without Applications
    • Applications with Enroll History and Schools
  • Retention 
    • Students, Academic Profiles, Courses, Attendance
    • Students with Academic Profiles and Courses
  • Events 
    • Events with Students
    • Organization Events with Contact Schedule Item
  • Data Management 
    • Students With or Without Applications 

If you have created a new custom field and clicked the button to add the new custom field to all custom report types, the new fields were added to the managed report types at that time. Due to the Salesforce issue, an update to these packages will overwrite the Report Types listed above, removing any of the custom fields that were previously added. (This applies to any Managed Report Type to which you’ve added a custom field; the Salesforce issue is not specific to any TargetX feature or report.) 

As a result of custom fields being removed by this Salesforce issue, filters on any reports that leverage the managed report types may be inaccurate, and your Broadcast emails may be going to the wrong recipients. Please review any reports based on report types that are included in our Managed Packages to ensure that your filters are accurate. 

If you are using any reports that have one of the Managed Report Types, we suggest this plan of action:  

  1. Clone the packaged report type; then
  2. Make the packaged report type unavailable for use; then
  3. Add your custom fields to the cloned report type; then
  4. Recreate your report using the cloned report type. 

This is critical for reports that are used to send emails and is recommended for all reports.
