Rationale

Admissions Counselors are excited to have a platform to manage all SMS communication and view historical communications with applicants. This will also be the first time they can use bulk messaging to send reminders to applicants via text about applicant deadlines or missing documents. They have previewed the End – User Training Video and are surprised how user friendly TX SMS seems to be. 

Objectives

  • Describe how to access and navigate TX SMS
  • Summarize best practices for reports used for TX SMS
  • Demonstrate how to send 1:1 and bulk text messages
  • Explain the opt-out and opt-back-in processes
  • Incorporate SMS best practices in your messages

Materials

  • TX SMS End User Training Video Tutorial and Liaison Academy TX SMS Course
  • TX SMS Slide Deck
  • In person meeting room
  • Twillio and TX SMS Home platform configured and users added
  • Report with test contacts

Activities

  • Navigate to the TX Home and become familiar with the navigation, inboxes, reports, etc.
  • Find at least two of the applicants they are currently working with and introduce themselves in 1:1 message. Review best practices for sending messages.
  • Find at least two messages that colleagues have sent to their applicants. (Navigating to other inboxes.)
  • Brainstorm and create message templates that all counselors will use. 
  • Update the test contacts with the participants’ numbers.
  • Each learner sends a bulk message using the test contacts report.

Evaluation and Feedback

Check each participant's work and interest throughout training. This session is highly exploratory and hands-on. We want learners to feel as if they are preparing their inbox for use. By the time they leave the session, they should be encouraged and confident in starting to use TX SMS to communicate with students.
