Quick Start Guide for Supervisors

Welcome to [CAS NAME]!

[CAS NAME] is a tool used to capture student civic engagement experiences and measure civic learning outcomes. [Trainee]s use [CAS NAME] to track the details of their [experience]s, allowing institutions to evaluate [trainee] learning outcomes. [CAS NAME] offers a forms and evaluation tool and an optional Online Approval feature, which allows supervisors and faculty to verify [experience]s. You can use [CAS NAME] to approve or reject [trainee] activities and complete forms and evaluations. Additionally, you are notified via email once a [trainee] submits activities for approval or you must complete a form or evaluation.

If you are a supervisor at multiple institutions, you can review all your [trainee] activities in one [CAS NAME] account.

1. Set Up Your [CAS NAME] Account

If you haven’t already, please make sure to set up your [CAS NAME] account. You will receive an email inviting you to create your account; follow the steps to complete registration, which will take less than five minutes.

As a supervisor, you will be monitoring, reviewing, and approving your [trainee]s’ activities. The following information is important to review so you know what to expect and how to manage [trainee] activities and information:

3. Important Notes

Note the following:

  • Supervisors will not see [trainee]s or their activities until they submit their activities for approval. When they do, you'll receive an email letting you know they've been submitted. You can always log in to your account to view your approval requests.
  • You can edit forms you already submitted. If the program approved the form, you must contact them first to unapprove it in order to make changes.
  • You can use any browser to access [CAS NAME], including Google Chrome, Mozilla Firefox, Safari, and Edge. Note that as of September 21, 2020, all versions of Internet Explorer, including Internet Explorer 11, are incompatible with [CAS NAME].

Submit Activity Approvals

I have two supervisor accounts with two different email addresses. Can I merge them?

Yes. Contact customer service to request a merge.

 

I created my [CAS NAME] account; however, I can't see all of my [trainee]s in my account.

You'll only see [trainee]s once a [trainee] sends you their first approval request or you receive a form or evaluation for them.

I've received a form or evaluation; however, I can't complete my section.

If you have multiple roles in [CAS NAME], make sure you are logged in under the correct role. If you still can't complete the section, contact the institutional administrator or customer service to see if there is an error with the form.

 

My [trainee] says they submitted activity approvals to me, but I don't see any to approve in [CAS NAME], nor have I received an email.

First, confirm with the [trainee] that they submitted the activity for approval. The activity will have a Submitted approval status in [CAS NAME] under their account.

If the activity is in the correct status, then confirm with the [trainee] that they have you listed as their supervisor. If they have the incorrect supervisor listed, they can contact customer service to make this change and retract previously sent activities. If you are listed as the supervisor, then you can contact customer service.
