Verifying the Summary of Doctoral Training for AAPI Applicants

This page applies to DCT/TDs verifying experiences for AAPI applicants.

Overview

To complete the AAPI application, applicants must enter their practicum experiences in Time2Track. You can then review and approve the applicant's Summary of Doctoral Training. You must complete the DCT Verification and DCT Submission sections before the applicant can submit their AAPI application.

Accessing Time2Track

If an applicant lists you as their DCT/TD, you'll receive an invitation email to review and approve their Summary of Doctoral Training; be sure to confirm with the applicant beforehand what your preferred email address is. If you are a current Time2Track user, we recommend using the same email address associated with your Time2Track account.

If you are new to Time2Track:

Follow the instructions on the invitation email you receive to create your Time2Track account.

If you already have a Time2Track account:

  1. Log in to your existing account at https://app.time2track.com/login.
  2. Click Settings, then Switch Roles.
  3. Select your DCT role, then click the AAPI tab in the top left corner. Time2Track is currently being redesigned, so the DCT view will have a very different look and feel from the rest of Time2Track.

If the applicant entered another email address when listing you as their DCT/TD, not the one associated with your existing Time2Track account, notify the applicant so they can contact customer service to update the request.

The AAPI Dashboard summarizes trainee submissions. You can access the following four sections from the Dashboard:

  • DCT Verification
  • DCT Submission
  • Student Submission PDFs
  • Student Submission Report

AAPI Dashboard

In this section, you can view all applicants who have submitted their Summary of Doctoral Training for review and verification. To quickly sort your applicants, use the Filters or click on the prefiltered category at the top of the Dashboard.

Applicants are categorized by current status:

  • Submitted: the applicant has submitted their Summary of Doctoral Training, but you have not yet reviewed it. Your next step is to review it.
  • In Review: you are reviewing the applicant's Summary of Doctoral Training. Your next step is to verify it or return it to them for corrections.
  • Returned: you found errors and have sent the Summary of Doctoral Training back to the applicant so they can make corrections.
  • Resubmitted: the applicant has resubmitted their Summary of Doctoral Training after making corrections. Your next step is to review it.
  • Verified: you verified the applicant's Summary of Doctoral Training. No further action is needed.

You can download several documents from the Dashboard, including the:

  • Training Experiences PDF: this contains the applicant's Summary of Doctoral Training. Only the psychology training experiences entered in Time2Track are included in the PDF.
  • DCT Verification PDF: this contains all the information available in the Training Experiences PDF, plus the DCT Verification and DCT Submission page information.

To download these documents, click the download icon, then select your desired document.

DCT Verification

In this section, you must verify the information provided by the applicant. Carefully review each section to ensure accuracy, then select the appropriate option:

  • I verify that the above information is correct, including the Terminal Master's Hours.
  • I verify the above information is correct, but cannot verify the Terminal Master's Hours, if any.
  • Return to the applicant.

If you choose to return the form to the applicant, you must enter a reason in the text box. After you complete and submit the DCT Verification and DCT Submission, the applicant will receive an email notifying them to review your reasons for not verifying their information. Once the applicant resubmits the information with the necessary corrections, you will receive an email notification. It is your responsibility to review the changes and select the appropriate option.

Once you verify the applicant's Summary of Doctoral Training, the applicant will receive a confirmation email and they cannot make any edits.

Please note that the applicant cannot submit their materials to any internship sites until their verification is complete.

DCT Submission

All required fields in the DCT Submission section must be completed and saved. If you omit any required fields, a missing message will highlight in red. Once all fields are completed and the DCT Verification Form is verified, you can submit the forms.

Student Submission PDFs

You can view which programs your trainees submitted a completed AAPI application to and download the full application PDFs. Note the following:

  • Full application PDFs are only available for applicants in the Complete application status for the AAPI application (i.e., the applicant submitted their application, paid the application fee, and submitted all required AAPI supplemental materials including transcripts and letters of recommendation).
  • Time2Track data is not included in the full application PDF. You can continue to access this information in the Training Experiences PDF and DCT Verification PDF.
  • Letters of recommendation are not included in the full application PDF.

Student Submission Report

You can use this report to view a snapshot of the programs your trainees have submitted their AAPI application to, including the date they applied as well as the program's name, accreditation status, and APPIC member number. If desired, you can search for a specific applicant or download the report.

Managing Your Account

Switch Between Accounts

If you have multiple Time2Track accounts linked to the same email address — for example, both a DCT and an institutional administrator account – you can switch between them:

  1. Click the Account icon at the bottom of the left menu.
  2. Click Select Role for the account you want to work in. Note that the account you're currently working in has a checkmark under Current.
  3. If you don't have the option to Switch Roles or want to link multiple accounts to one email address, contact customer service (details below).

Update Your Account Information

You can update your account information on the Profile page:

  1. Click the Account icon at the bottom of the left menu.
  2. Select My Profile.
  3. Click the edit icon and make the necessary changes.
  4. Once you've finished making changes, click Apply.

Reset or Change Your Password

Your password information is not accessible by customer service.

To reset your password:

  1. Navigate to https://app.time2track.com/login.
  2. Click Forgot password.
  3. Enter your email address, then click Send Password Reset.
    • If your email address changed, contact customer service for help locating your account information (details below).
  4. You'll receive an email prompting you to reset your login information. Be sure to check your spam or junk folders if you don't receive the email within 15 minutes.

To change your password:

  1. Click the Account icon at the bottom of the left menu.
  2. Select My Profile.
  3. Click Privacy & Security.
  4. Click Change Password.

  • We typically provide responses to emails within two business days; however, response times can take up to three business days when we’re at our busiest.
