Activities include the details of your regular training or work experiences and are attached to a placement. Activities include details such as hours, activity types, clients, assessments, notes, or tags.

Activity Type List

(Silver, Gold, & Platinum Plans)

An activity type list is a preset list of categories and subcategories that allow trainees to better define the details of their training or work experiences. Activity type lists are selected by program administrators or assigned to trainees based on the field of study.

When a trainee logs an activity, they can use assessments to document the type and number of assessments administered as part of the activity.

Batch Name

(Platinum Plans)

Batch names are used to name and organize the delivery of forms and evaluations and are used each time forms or evaluations are sent.

A cohort is a group of trainees who start a program in the same year. The cohort is automatically assigned based on the program start date the trainee selects when they sign up for Time2Track.


(Gold & Platinum Plans)

A course refers to the name and/or number associated with a practicum, internship, or training course. Courses are entered by the institutional administrator and students select a course as part of their placement.

Custom Activity Type

(Silver, Gold, & Platinum Plans)

A custom activity type can be used to better define an activity and can be created by a trainee or institutional administrator. All created custom activity types are linked to a standard activity type.


(Platinum Plans)

Faculty is an optional role assigned by the institutional administrator. The faculty role can verify trainee activities after supervisor approval, approve or reject activities on behalf of a supervisor, and complete forms and evaluations.

Institutional administrators can build and send a program's forms and evaluations to trainees, supervisors, and faculty members.

Form Status

(Platinum Plans)

Form status identifies where a form or evaluation is in the workflow.

Levels allow institutional administrators and trainees to separate hours and activities earned for different degree or training types (i.e., masters, doctoral, internship, etc.).

  • Institutional administrators attach levels to courses, which allows the system to connect specific courses to the correct degree or postdoctoral program. Activity type lists can also be separated by levels so trainees in different degree programs can track the right activities.
  • Trainees use levels when setting up their profile, creating a placement, or logging an activity. It’s important that the level a trainee selects in their profile matches the level associated with their placement and subsequent activities. If a trainee does not have the correct level, you can ask them to correct the level in their profile.

Online Approval

(Gold & Platinum Plans)

Online Approval allows trainees to submit activities to supervisors for review and approval and allows for the distribution of forms and evaluations. Online Approval must be turned on by the institutional administrator.


(Silver, Gold, & Platinum Plans)

A placement refers to a trainee's field-based experiences, such as practicum, field placements, internships, or other types of experiential learning. Placements contain all the details of this experience, including the training site, primary supervisor, term, faculty (Platinum plans only), level, and course. Trainees create their placements at the start of their experience by selecting from options created by the institutional administrator.

A tag is a keyword or term used to track additional details about a client or activity. Tags can be created by the institutional administrator or a trainee. Tags created by an institutional administrator are highlighted in orange and tags created by a trainee are highlighted in green.

A term is the date range created for the trainee’s experience and is attached to a trainee placement.

A trainee is a student, intern, postgraduate, or professional who uses Time2Track to log and organize their clinical, training, or work experiences.

Training Site

(Gold & Platinum Plans)

A training site is a location where a trainee completes activities and accrues hours.

A supervisor is a role that can review and approve trainee activities and hours and complete forms and evaluations. Supervisors are entered by the institutional administrator and attached to placements by trainees.
