Activity

Activities include the details of a trainee's training or work experiences and are attached to Time2Track placements. Activities can include details such as hours, activity types, clients, assessments, notes, or tags.

Activity Level

Activity levels allow trainees to track activities earned for different degree or training types (e.g., masters, doctoral, internship, etc.). Activity levels determine the activity type list available to trainees.

Activity Type List

An activity type list is a preset list of categories and subcategories that allow trainees to better define the details of their experiences. Activity type lists are selected or created by administrators based on program needs.

Assessment

When a trainee logs an activity, they can use assessments to document the type and number of assessments administered as part of the activity.

Batch Name

Batch names are used to name and organize the delivery of forms and evaluations and are used each time forms or evaluations are sent.

Cohort

A cohort is a group of trainees who start a program in the same year. The cohort is automatically assigned based on the year the trainee signs up for Time2Track.

Course

Courses refer to the name and/or number associated with a practicum, internship, training course, service experience, etc. Institutional administrators create courses. Trainees select the course as part of their placement. Courses can include levels, which also affect placements.

Course Level

Institutional administrators assign course levels to each course they create. When trainees create placements, the course level affects the placement's level and any associated activity levels.

Custom Activity Type

A custom activity type can be used to better define an activity. Trainees create custom activity types and link them to a standard activity type.

Faculty

Faculty is an optional role assigned by the institutional administrator. The faculty role can verify trainee activities after supervisor approval, approve or reject activities on behalf of a supervisor, and complete forms and evaluations.

Form/Evaluation

The forms and evaluations tool distributes surveys, assessment evaluations, contracts, or other key documents that require signatures. They can be sent to trainees, supervisors, faculty members, and institutional administrators. Institutional administrators manage forms and evaluations.

Form Status

Form status identifies where a form or evaluation is in the workflow.

Online Approval

Online Approval allows trainees to submit activities to supervisors for review and approval.

Placement

Placements refer to a trainee's field-based experiences, such as practicum, field placements, internships, service experience, or other types of experiential learning. Placements contain key details, such as the training site, primary supervisor, term, faculty, level, and course. Trainees create their placements at the start of the activity by selecting from options created by the institutional administrator.

Note that your configuration of Time2Track may use a different label for this feature, such as placement, internship, experience, etc.

Tag

A tag is a keyword or term used to track additional details about a client or activity. Tags can be created by the institutional administrator or a trainee. Tags created by an institutional administrator are highlighted in orange and tags created by a trainee are highlighted in green.

Term

A term is the date range created for the trainee’s activity and is attached to a trainee placement.

Trainee

A trainee is a role assigned to a student, intern, postgraduate, or professional who uses Time2Track to log and organize their experiences.

Training Site

A training site is an organization where a trainee completes activities and accrues hours.

Supervisor

A supervisor is a role assigned to an individual who reviews and approves trainee activities and hours and completes forms and evaluations. Institutional administrators create supervisor accounts, and trainees link them to placements.
