Quick Start Guide for Entering Your AAPI Psychology Training Experiences

This page applies to AAPI applicants.


Applicants must enter their psychology training experiences and practicum hours in Time2Track to complete their APPIC Application for Psychology Internships (AAPI) application. To enter your experiences efficiently, please review the process below prior to starting your application. Additionally, you may only include practicum experiences accrued up to November 1 of the year in which you are applying for internship. As you review the following information, note that DCT/TD refers to your Director of Clinical Training/Training Director at your academic doctoral program. 




Start your AAPI application.


Under the Psychology Training Experiences section in the AAPI application, follow the instructions to navigate to Time2Track and log in to your existing account or create a new free trial account.

Please note: you do not need to purchase a Time2Track subscription to complete the Psychology Training Experiences section in the AAPI application.


Once you're in Time2Track, you'll land on the AAPI Psychology Training Experiences Dashboard; review the instructions carefully. The Dashboard provides:

  • An overview of your Practicum Hours, with breakdowns for your Doctoral and Terminal Master's Practicum Hours.
  • A link to complete and submit your Summary of Doctoral Training to your DCT/TD for verification.
  • A link to send your verified Time2Track data to your AAPI application. 
  • Your AAPI CAS ID. Note that the AAPI CAS ID is separate from your NMS Match ID. You'll need your AAPI CAS ID when communicating with Time2Track customer service.
  • A link to download a PDF of the AAPI Psychology Training Experiences you listed in Time2Track.


If you're an existing Time2Track user and have entered previous experiences, activities, and/or clients: 

First, navigate to the Summary of Practicum Experiences section in Time2Track to view your current experience totals. Your previously-entered activities and clients will automatically be added to your Summary of Practicum Experiences. Note that all activities, including confirmed, unconfirmed, and scheduled activities up to November 1 of the year in which you are applying for internship, will be added to your totals.

If you have additional experiences to enter, you can:

When deciding which option to use, consider the following:

  • If you add your new practicum experiences under Activities, you can then use Time2Track's features that make it easy for you to track the specific components of your experiences (e.g., client demographic information and treatment setting types).
  • If you add your new experiences under Practicum Hours, you can quickly enter total sum hours.

Choose the option that works best for you. If you have any questions, consult with your DCT/TD.

If you're new to Time2Track and have not previously used the system: 

Enter your practicum experiences under Practicum Hours in Time2Track.


Once you review your experience totals in the Summary of Practicum Experiences and complete the Summary of Doctoral Training in Time2Track, navigate to the Dashboard and click the Send to DCT/Training Director button to send your experiences to your DCT/TD for verification.


Once your DCT/TD verifies your Summary of Doctoral Training and you receive an email notification, follow the steps below:

  1. Navigate to Summary of Practicum Experiences and be sure that all sections have a green checkmark.
  2. Navigate to Dashboard and be sure that your Summary of Doctoral Training has an Approved status. If not, contact your DCT/TD.
  3. Navigate to the Dashboard and click the Finalize and Submit Time2Track Data button to mark the Psychology Training Experiences section in your AAPI application as complete.


Return to your AAPI application to complete and submit your internship applications.

Additional Information  

Guidelines for Counting Practicum Hours

When categorizing practicum hours, consider the following important information and definitions. 



Practicum hours must be supervised and approved by your DCT/TD.

Only record hours for which you received formal academic training and credit or which were sanctioned by your graduate program and DCT/TD as relevant practicum training experiences (e.g., VA summer traineeship, clinical research positions, time spent in the same practicum setting after the official practicum has ended). Please consult with your academic training director to determine whether experiences are considered program-sanctioned. 

Report actual clock hours in direct service to clients/patients accrued up to November 1.

A face-to-face practicum hour is defined as a clock hour, not a semester/quarter hour. A 45–50 minute client/patient hour may be counted as one practicum hour. Only include practicum experiences accrued up to November 1 of the year in which you are applying for internship.

Do not count hours in more than one category. 

Some experiences can potentially fall under more than one category, but it is your responsibility to select the category that you feel best captures the experience. For example, a Stress Management group might be classified as a group or as a Medical/Health-Related Intervention, but not both. The categories are mutually exclusive; thus, each practicum hour should be counted only once.

Master's degrees earned as part of a doctoral degree program are not considered to be terminal master's degrees.

Hours accrued while earning a master’s degree as part of a doctoral program should be counted as doctoral practicum hours and not terminal master’s hours.

Telehealth, for the purposes of the AAPI, focuses on two-way, interactive videoconferencing as the modality by which telehealth services are provided.

In order to count the hours delivered using this technology, the focus of the clinical application should include diagnostic and therapeutic services. Clinical applications of telehealth encompass diagnostic, therapeutic, and forensic modalities across the lifespan. Common applications include pre-hospitalization assessment and post-hospital follow-up care, scheduled and urgent outpatient visits, psychotherapy, and consultation. This does not include phone sessions or clinical supervision. All services must be appropriately supervised by a licensed clinician. Note that not all states count these types of hours toward licensure and you should carefully review particular state regulations as needed.

Guidelines for Adding Your Psychology Training Experiences in Time2Track Practicum Hours

Review the process above to learn how to enter your experiences efficiently in Time2Track. Note that:

  • If you are an existing Time2Track user, your previously entered activities and clients are automatically added to your Summary of Practicum Experiences. If you have additional experiences, you can enter those under Activities or Practicum Hours.
  • If you are a new Time2Track user, you can enter your experiences under Practicum Hours.

Refer to the Reviewing Your Summary of Practicum Experiences section below for guidelines in completing these sections.

Reviewing Your Summary of Practicum Experiences

The Summary of Practicum Experiences summarizes the hours you entered under Activities and/or Practicum Hours. Review each section carefully to verify these experience totals and add additional information. For all sections, only practicum experiences accrued up to November 1 of the year in which you are applying for internship should be included.

If you need to make any edits, return to Activities and/or Practicum Hours.


Instructions and Guidelines

Terminal Master's Information

If you entered practicum hours for a terminal master’s degree, you must complete this section. 

Intervention Experience

For the Total Hours Face-to-Face columns, each hour of a group, family, or couple's session is counted as one practicum hour. For example, a two-hour group session with 12 adults is counted as two hours. Provide additional details and comments, as necessary. 

For the # of Different columns, count a couple, family, or group as one unit. For example, meeting with a group of 12 adults over a ten-week period for two hours per week counts as 20 hours and one group. Groups may be closed or open membership but, in either case, count the group as one group. 

Consultation activities may count as practicum hours only to the extent that this activity involves actual clinical intervention. Direct consultation with the client (e.g., individual, family, organization) or an agent of the client (e.g., parent, teacher) would be an activity you would include in this section. Consultation activities with other professionals regarding coordination of care (e.g., psychiatrist), without the client/patient present, should be reported in the Support Activities section.

Psychological Assessment Experience

You must enter the estimated total number of face-to-face client contact hours administering psychodiagnostic and neuropsychological instruments and providing feedback to clients/patients.

Do not include:

  • Activities of scoring and report writing, which should instead be included in the Support Activities section. 
  • Any practice administrations including those for classes.
  • Testing experience accrued in a non-practicum setting. You can list testing experience accrued in a non-practicum setting in the Non-Practicum Clinical Experience section of the AAPI application and in your Curriculum Vitae
  • If you only administered a subtest(s), do not endorse the full test in this section. Instead, identify the specific subtest in the Other Measures section.

Provide additional details and comments, as necessary.

Adult Assessment Instruments

If you are an existing Time2Track user, you can review your previously entered assessments in the Assessments tab.

Indicate all psychological assessment instruments you administered to actual patients/clients (first two columns) or research participants in a practicum or clinical research setting sanctioned by your doctoral program as a relevant training experience (third column) by November 1. If the person you assessed was not a client, patient, or clinical research participant, do not include this experience in this summary. Do not include any practice administrations. Use the Other options to include additional instruments for any tests not listed.

For each instrument that you used, specify the following information:

  • Number Clinically Administered/Scored: the number of times that you both administered and scored the instrument in a clinical situation (i.e., with an actual client/patient).
  • Number of Clinical Reports Written with this Measure: the number of these instruments for which you also wrote a clinical interpretive report integrating data from each measure.
  • Number Administered as Part of a Research Project: the number of instruments that you administered as part of a research project.

Note: for each administration, only endorse it as either a clinical or research administration as the categories are meant to be mutually exclusive.   

Child and Adolescents Assessment Instruments

Complete this section in a similar manner to the Adult Assessment Instruments section. 

Integrated Reports

If you are an existing Time2Track user, your integrated report totals are prepopulated from the Assessments tab. If you change your totals here, your integrated report totals will also automatically update in the Assessments tab.

Enter the number of supervised integrated psychological reports you have written for adults and children/adolescents. An integrated report includes:

  • A review of history,
  • Results of an interview, and
  • At least two psychological tests from one or more of the following categories:
    • Personality assessments (objective and/or projective).
    • Intellectual assessments.
    • Cognitive assessments.
    • Neuropsychological assessments.

Supervision Received

Supervision can be provided by licensed psychologists, licensed allied mental health providers (e.g., social workers, marriage and family therapists, psychiatrists), and advanced doctoral students or postdoctoral fellows whose supervision is supervised by a licensed psychologist. Supervision activity involves a formal evaluative component, and may include both supervision received as an individual (i.e., one-to-one) and within a group. Supervision that you have provided to less advanced students should not be recorded in this section, and may instead be reported in the Intervention Experience section.

Individual supervision is defined as regularly scheduled, one-on-one, face-to-face supervision with the specific intent of overseeing the psychological services rendered by the supervisee. Group supervision is defined as regularly scheduled, face-to-face supervision with multiple supervisees, with the specific intent of overseeing the psychological services rendered by the supervisees. Considering COVID-19's impact, please include individual or group supervision that has occurred via video-conferencing or telephone in your supervision tallies.

Additional Information About Practicum Experiences

Specify your practicum experience with diverse populations in a professional therapy/counseling/assessment capacity. Indicate the number of clients seen for assessment and intervention for each of the diverse populations listed. You may not have information for some of your clients/patients on some of the items, so only indicate the information that is known.

Please note that this section is not intended to thoughtlessly categorize the clients/patients you have seen in a one-dimensional fashion. Instead, it is intended to provide those reviewing your application a general sense of the amount of clinical and assessment experience you have had with persons from various diverse populations. It is understood that human beings are much more complex than a single demographic criteria, such as race, ethnicity, gender, sexual orientation, etc.

For this section, you can include a single client/patient in more than one category and/or more than one column, as appropriate. For families, couples, and groups, please count each individual as a separate client/patient.

Provide additional details and comments, as necessary. 

Support Activities

Enter activities spent outside the counseling/therapy hour while still focused on the client/patient (e.g., performing chart review, writing progress notes, consulting with other professionals, case conferences, case management, video/audio review of recorded sessions, assessment interpretation and report writing, etc.). This also includes participation in didactic training held at the practicum site (e.g., grand rounds, seminars).

Provide additional details and comments, as necessary. We strongly recommend highlighting the most clinically-relevant activities at the top of your Support Activities list. For example, engaging in text-based therapies and deliberate practice activities with virtual patients are highly, clinically-relevant activities that, while cannot be included in the intervention section, should be prominently highlighted here.

Submitting Your Summary of Doctoral Training for Verification

You'll use the Summary of Doctoral Training to submit your experiences for DCT/TD verification. This page summarizes the information from the Summary of Practicum Experiences section and asks for additional information. Note that you must complete all sections under Summary of Practicum Experiences to submit your Summary of Doctoral Training. For your reference, green checkmarks display next to completed sections.

Once you click the Send to DCT/Training Director button at the bottom of the page, this information is immediately sent to your DCT for verification. You cannot submit your AAPI application without your DCT's verification; therefore, we strongly recommend that you complete this section and send it to your DCT well in advance of your first application deadline. Once you submit your Summary of Doctoral Training, you cannot edit the following sections:

  • Intervention Experience
  • Psychological Assessment Experience
  • Supervision Received
  • Summary of Doctoral Training 

Note: you can click Save to save the information entered in this section without sending it to your DCT. 



Doctoral Program Information

In consultation with your DCT, enter information about the status of your academic coursework, comprehensive examinations, master's thesis (if applicable), and doctoral dissertation or research project.

Practicum Hours Information

Ensure this section is complete and accurate. This section summarizes the data you entered under Summary of Practicum Experiences.

Anticipated Practicum Experience

Describe the anticipated practicum experience you'll accrue before departing the internship.

Doctoral Program Information - Contact Information for Academic DCT/TD

Enter your DCT/TD's contact information and confirm their preferred email address for this process before saving or sending this information. Your DCT will verify your Summary of Doctoral Training and comment on your eligibility and readiness to attend an internship.

Time2Track Subscriptions Practicum Experiences DCT/TDs
Do I have to pay for a Time2Track subscription?

Time2Track supports AAPI applicants regardless if they have a Time2Track subscription. You can always access the AAPI tab in Time2Track without a paid subscription. If you sign up for a new account, you'll also receive access to all Time2Track features for 30 days.


I have data in my old Time2Track account that I can't edit because my subscription expired.

You can adjust your totals using the Practicum Hours section. Alternatively, you can create a new Time2Track account. We do not recommend wiping your existing account data.


My hours don't match my AAPI View report.

The AAPI View report only includes confirmed activities and an option to include baseline hours from the Practicum Hours section. The Summary of Practicum Experiences includes all activities in Time2Track including unconfirmed and scheduled activities to November 1 of the current year. We recommend reviewing your scheduled and unconfirmed activities and delete or confirm them as needed using the bulk editing feature.


Do I have to reenter all my hours in Practicum Hours if I've been using Time2Track?

No. The Practicum Hours section is used to collect information you haven't already logged under Activities or Clients in Time2Track. Check your Summary of Practicum Experiences first, then edit your activities and clients if needed. If you need to log additional experiences, such as terminal master's experiences, you can use the Practicum Hours section to enter those totals.

My DCT can't see my information or log in to Time2Track.

Your DCT will not have access to your information until you submit your Summary of Doctoral Training. Once you submit this, your DCT will receive an email with instructions for logging into Time2Track.
