Quick Start Guide for Entering Your AAPI Psychology Training Experiences

This page applies to AAPI applicants.

Process for Trainees with Existing Time2Track Accounts

If you've previously used Time2Track to track your activities and want to link them to your AAPI application, review the following information.

Applicants must enter their psychology training experiences and practicum hours in Time2Track to complete their APPIC Application for Psychology Internships (AAPI) application. To enter your experiences efficiently, please review the process below prior to starting your application. Additionally, you may only include confirmed and scheduled activities up to October 1 of the year in which you are applying for internship. As you review the following information, note that DCT/TD refers to your Director of Clinical Training/Training Director at your academic doctoral program.

Start your AAPI application.

Under the Psychology Training Experiences section in the AAPI application, follow the instructions to navigate to Time2Track and log in to your existing account. We recommend confirming the email associated with your Time2Track account before completing this step.

Please note: you do not need to purchase a Time2Track subscription to complete the Psychology Training Experiences section in the AAPI application.

Once you're in Time2Track, you'll land on the AAPI Psychology Training Experiences Dashboard; review the instructions carefully. The Dashboard provides:

  • An overview of your Practicum Hours, with breakdowns for your Doctoral and Terminal Master's Practicum Hours. Note that you can edit this information (detailed in Phase 2).
  • A link to complete and submit your Summary of Doctoral Training to your DCT/TD for verification.
  • A link to send your verified Time2Track data to your AAPI application.
  • Your AAPI CAS ID. Note that the AAPI CAS ID is separate from your NMS Match ID. You'll need your AAPI CAS ID when communicating with Time2Track customer service.
  • A link to download a PDF of the AAPI Psychology Training Experiences you listed in Time2Track.

Phase 2: Review & Complete the Summary of Practicum Experiences

First, navigate to the Summary of Practicum Experiences section in Time2Track to view your current experience totals. Your previously-entered activities and clients will automatically be added to your Summary of Practicum Experiences. Note that all activities, including confirmed and scheduled activities up to October 1 of the year in which you are applying for internship, will be included in your totals.

If you have additional experiences to enter or remove, you must make your edits in one of the following sections; you cannot make edits directly in the Summary of Practicum Experiences section:

  • Enter or remove your experiences and details in Activities under the Activities tab, or
  • Enter or remove your total sum experiences in Practicum Hours under the AAPI tab.

When deciding which option to use, consider the following:

  • If you add your new practicum experiences under Activities, you can then use Time2Track's features that make it easy for you to track the specific components of your experiences (e.g., client demographic information and treatment setting types).
  • If you add your new experiences under Practicum Hours, you can quickly enter total sum hours. To remove hours, simply enter a negative number.

Choose the option that works best for you. If you have any questions, consult with your DCT/TD.

You'll be finished with the Summary of Practicum Experiences once each of the following sections is completed, indicated by a checkmark. For specific details of each section, review Reviewing Your Summary of Practicum Experiences.

  • Terminal Masters Information
  • Intervention Experience: review your intervention experience totals and add comments as needed.
  • Psychological Assessment Experience
  • Adult Assessment Instruments: you must manually enter all adult assessment instrument information; it will not automatically populate from your Time2Track data. You can find your previously entered assessments in the Assessments tab.
  • Child & Adolescent Assessment Instruments: you must manually enter all child and adolescent assessment instrument information; it will not automatically populate from your Time2Track data. You can find your previously entered assessments in the Assessments tab.
  • Integrated Reports
  • Supervision Received
  • Additional Information About Practicum Experiences
  • Support Activities

Important! Before you move on to Phase 3, confirm that a checkmark appears next to each section. Review the Troubleshooting Summary of Practicum Experiences page for additional tips.

Phase 3: Complete & Submit the Summary of Doctoral Training

Once you complete your Summary of Practicum Experiences, you can complete and submit your Summary of Doctoral Training.

  • If you're ready to submit your Summary of Practicum Experiences and Summary of Doctoral Training, click the Send to DCT/Training Director button to send your experiences to your DCT/TD for verification.
  • If you want to wait and review your Summary of Practicum Experiences and Summary of Doctoral Training, click the Save button. You can submit your information in Phase 4.

Phase 4: Review & Submit Your Application

  • If you submitted your Summary of Practicum Experiences and Summary of Doctoral Training in Phase 3, you can skip this step.
  • If you didn't submit your information in Phase 3, review your experience totals in the Summary of Practicum Experiences and complete the Summary of Doctoral Training in Time2Track. Then, navigate to the Dashboard and click the Send to DCT/Training Director button to send your experiences to your DCT/TD for verification.

Once your DCT/TD verifies your Summary of Doctoral Training and you receive an email notification, follow the steps below:

  1. Navigate to Summary of Practicum Experiences and be sure that all sections have a green checkmark.
  2. Navigate to Dashboard and be sure that your Summary of Doctoral Training has an Approved status. If not, contact your DCT/TD.
  3. Navigate to the Dashboard and click the Finalize and Submit Time2Track Data button to mark the Psychology Training Experiences section in your AAPI application as complete.

Return to your AAPI application to complete and submit your internship applications.

Process for Trainees New to Time2Track

If you're new to Time2Track and need to input hours for the AAPI application, review the following information.

Applicants must enter their psychology training experiences and practicum hours in Time2Track to complete their APPIC Application for Psychology Internships (AAPI) application. To enter your experiences efficiently, please review the process below prior to starting your application. Additionally, you may only include confirmed and scheduled activities up to October 1 of the year in which you are applying for internship. Phase 2: Enter Experiences under Practicum Hours

Enter your total sum experiences under the Practicum Hours tab. Only include confirmed and scheduled activities up to October 1 of the year in which you are applying for internship in your totals. Be sure to include:

  • Intervention Hours
  • Psychological Assessment Hours
  • Supervision Received
  • Support Activities (enter all combined support hours under the Other category)
  • Treatment Settings
  • Patient Demographics

Phase 3: Review & Complete the Summary of Practicum Experiences

Once you complete entering your experiences, you'll then need to complete the Summary of Practicum Experiences. The data you enter on the Practicum Hours page will automatically appear in the Summary of Practicum Experiences. You must also complete additional information in select sections. You'll be finished with the Summary of Practicum Experiences once each of the following sections is completed, indicated by a checkmark. For specific details of each section, review Reviewing Your Summary of Practicum Experiences.

  • Terminal Masters Information
  • Intervention Experience: review your intervention experience totals and add comments as needed.
  • Psychological Assessment Experience

Phase 4: Complete & Submit the Summary of Doctoral Training

Once you complete your Summary of Practicum Experiences, you can complete and submit your Summary of Doctoral Training.

Practicum Experiences

DCT/TDs
Do I have to pay for a Time2Track subscription?

Time2Track supports AAPI applicants regardless if they have a Time2Track subscription.

If you're new to Time2Track, you do not need to purchase a subscription. Once you sign up for a new account, you'll receive access to all Time2Track features for 30 days, including the AAPI tab.

If you have an expired Time2Track subscription, you do not need to purchase a new subscription. You can access your previously entered information in Time2Track and link your existing account to the AAPI application.

 

I have data in my old Time2Track account that I can't edit because my subscription expired.

You can adjust your totals using the Practicum Hours section. If you need to make extensive changes, contact customer service.

 
My hours don't match my AAPI View report.

The AAPI View report includes all masters- and doctoral-level activities for all statuses logged in Time2Track. If you added hours on the Practicum Hours page, then you can also choose to include baseline hours in this report.

If you want to view activities that are included in the AAPI application, select only the Confirmed and Scheduled activity statuses and update the date range to include activities up to October 1 of the year in which you are applying for internship. Additionally, confirm that your activities have a master's and/or doctoral level selected, and the correct activity type, client type, and assessment instrument selected.

Note that the Summary of Practicum Experiences includes all confirmed and scheduled activities before October 1 of the current year.

 

Do I have to reenter all my hours in Practicum Hours if I've been using Time2Track?

No. The Practicum Hours section is used to collect information you haven't already logged under Activities or Clients in Time2Track. Check your Summary of Practicum Experiences first, then edit your activities and clients if needed. If you need to log additional experiences, such as terminal master's experiences, you can use the Practicum Hours section to enter those totals.

 

What’s included in “Other Psychological Assessment Experience”?

Activities logged as Providing Feedback to Clients/Patients and Other Psychological Assessment Experience are included in the Other Psychological Assessment Experience total in the AAPI Summary of Practicum Experiences.

 

What’s included in “Other Psychological Interventions”?

Activities logged as Milieu Therapy, Treatment Planning with Client, Crisis Intervention, Co-Therapy, College Prep/Guidance, and Other Psychological Interventions are included in the Other Psychological Interventions total in the AAPI Summary of Practicum Experiences.

 

How do I add my assessment instruments?

Time2Track allows you to add custom assessment instrument names, but the AAPI application requires you to select from a predefined list. This means your Time2Track assessment instruments will not automatically populate in the AAPI Summary of Practicum Experiences. As you add your assessments in the Adult and Child/Adolescent assessment instrument sections of the AAPI Summary of Practicum Experiences, refer to your logged assessments in the Assessments tab to ensure you are selecting the appropriate assessment types.

 

How do I adjust the Summary of Practicum Experiences totals?

If you need to adjust your totals in the Summary of Practicum Experiences section, you can edit individual activities or make adjustments using the Practicum Hours screen under the AAPI tab. The Summary of Practicum Experiences section adds the totals from both activities and the Practicum Hours screen.

Note that after you submit the Summary of Doctoral Training to your DCT for verification, some sections of the Summary of Practicum Experiences become locked. You cannot edit these sections unless your DCT sends the Summary of Doctoral Training back to you.

 

How do I add estimated hours to October 1?

You should include estimated hours to October 1 of the current year in your Summary of Practicum Experiences totals. Time2Track will automatically include scheduled activities to October 1 to assist you in estimating your hours. You can add additional estimated hours as activities or by using the Practicum Hours screen under the AAPI tab.

 

How do I add estimated hours after October 1 to the start of my internship?

If you're an active Time2Track user, you can schedule your future activities under the Activities tab.

If you're not an active Time2Track user, you can track your activities separately.

 
My DCT can't see my information or log in to Time2Track.

Your DCT will not have access to your information until you submit your Summary of Doctoral Training. Once you submit this, your DCT will receive an email with instructions for logging in to Time2Track.
