Log Assessments

This page applies to Time2Track trainees.

When you log an activity, you can include assessments, which allow you to document any assessments you administered as part of the activity. Time2Track already has several assessment types listed, though you can create your own by entering a unique assessment name. For each assessment, record the number of assessments you performed for each type:

  • Administered: assessments you administered and scored in a clinical situation with a client or patient.
  • Report: assessments you administered and wrote a report for, integrating data from each measure.
  • Research: assessments you administered as part of a research project.

View Assessments

If you record assessments with your activities, you can use the Assessments section to review your administered assessment instruments.

  1. Click Assessments.
  2. If necessary, use the filter options to narrow your results, then click Filter.
  3. Under the Name column, click the assessment name.

All activities associated with this assessment are listed. Click the activity name to view and edit the details.

View and Print Assessment Report

Some reports have assessment totals listed. You can also print a list of all your assessments and totals for your supervisor, training program, or yourself.

  1. Click Assessments.
  2. Click Print Signature Page.

Integrated Reports

To record integrated reports, enter the applicable activities, assessments, and client codes in Time2Track. Additionally, create an assessment named Integrated Report Written and attach it to your activities. You can then track the number of activities that are linked to this assessment.

You must also manually update the number of integrated reports you have completed in the Assessments section. The Activity Summary and Assessments reports include this manually-entered, completed integrated reports count.

  1. Click Assessments.
  2. Click Integrated Reports.
  3. Enter the total number of integrated reports you have completed for both adults and children/adolescents. Note that this is a running total. If you already have 8 integrated reports completed for adults and need to add 2 more, enter 10.
  4. Click Save for your first integrated report total submission or Update for any additional integrated report total submissions.

Recurring Battery

If you routinely administer a specific set of assessments, such as a test battery, but do not perform the activity on a scheduled basis, you can create a recurring activity set into the future with those assessments and update the activity date to when you need it. This can help you save time as you record activities and details.

Add a Recurring Battery of Assessments

These steps mirror those found under Log Your Activities; review that section for more information. As a best practice, only enter information that is required and applicable for a majority of your activities in this recurring battery. You can update all fields when you record a current activity date.

  1. Click Activities.
  2. Click Add a New Activity.
  3. Select your level. This can help you separate master's, doctoral, or post-graduation activities.
  4. Select a date several years into the future (e.g., March 1, 2026). Use dates beyond the time you will use Time2Track; this helps ensure that these recurring battery activities are not included in any reports.
  5. If using Online Approval, select your placement and supervisor. You can also create a new placement by clicking Add a Placement. If you have more than one supervisor at your placement, select your preferred supervisor.
  6. Select your treatment setting. Any custom treatment settings are listed under My Treatment Settings.
  7. Select your activity type. Any custom activity types are listed under the standard activity type they are linked to.
  8. Click Add a Client to create a new client and select Group as the client type. Enter a name that helps you identify that this is for a recurring battery of assessments. You do not need to add any individuals to this client.
    • If you create a recurring battery for the Neuropsychological assessment, select Individual as the client type. This client is only available for scheduling activities and is not included in demographic reports.
  9. Enter your hours. If you select Hours, enter your hours in decimal format (e.g., 15 minutes is 0.25, 30 minutes is 0.5, etc.) or analog format (e.g., 1:30 is one and a half hours). If you select Time, enter the start and end times, including AM and PM.
  10. Select or enter tags.
  11. Under Notes, enter additional information for your supervisors and faculty advisors. Do not include identifying personal information, such as names, birthdays, social security numbers, etc.
  12. Under Assessments, type and select any assessments you will administer in this recurring battery or create your own by entering a unique assessment name. Click Add Another Assessment for additional assessments. Enter the number of assessments you performed for each type:
    • Administered: assessments you administered and scored in a clinical situation with a client or patient.
    • Report: assessments you administered and wrote a report for, integrating data from each measure.
    • Research: assessments you administered as part of a research project.
  13. Under Schedule as Recurring, select Weekly and a 1 week occurrence. Select each day of the week. Select an end date several weeks or months into the future, depending on the number of test batteries you will administer. This ensures that you have enough test battery templates to use for future activities.
  14. Click Add or Add & Enter Another to add additional activities.

Log an Activity with Your Recurring Battery of Assessments

Once you have a template created for your recurring battery of assessments, you can begin submitting activities with those assessments already saved.

  1. Click Activities.
  2. Click List.
  3. Under the Status filter, select Scheduled.
  4. If necessary, click Advanced Filters to further narrow your results, then click Filter.
  5. Under the Type/Client column, click the recurring battery activity name for any date.
  6. Under Date, select the correct activity date.
  7. Under Client, select or create the correct client type.
  8. Under Assessments, review the recurring battery of assessments and make changes, if needed.
  9. Review all other fields and make changes, if needed.
  10. Click Save.
