Backlog Hours

This page applies to Time2Track trainees.

Backlogging hours allows you to record any experiences you completed before you started using Time2Track. You can record previous experiences in the Activities and Clients sections.

Backlog Hours through Tags

You can enter previous experiences by using the Tag feature in Time2Track. Review Log Your Activities for more information. A few suggestions when backlogging hours through Tags:

  • Create a tag first and name it Backlogged Hours. You can then select this tag when creating activities. This helps you quickly identify backlogged hours.
  • Select the correct date when backlogging hours. You can filter by date range when reporting hour totals.
  • If entering recurring backlogged hours, remember to select the first date that the recurring activity took place. Additionally, confirm each of the occurrences.

Backlog Hours through Activities

You can enter previous experiences in the Activities section. Review Log Your Activities for more information. A few suggestions when backlogging hours through Activities:

  • Create a custom treatment setting first and name it Backlogged Hours. You can then select this treatment setting when creating activities. This helps you quickly identify backlogged hours.
  • Select the correct date when backlogging hours. You can filter by date range when reporting hour totals.
  • If entering recurring backlogged hours, remember to select the first date that the recurring activity took place. Additionally, confirm each of the occurrences.

If you don't have client details for previous activities, create a single activity with the total number of hours for each activity type. Some activities require a client; in these instances, create a generic client to represent the desired client type. You can use the following client codes for generic clients:

Some reports provide the total number of different clients in demographic reports. If you enter generic client types, they are counted as one client type. If you need detailed client data in demographic reports, review Backlogging Hours through Clients below.

Backlog Hours through Clients

You can enter previous activities in the Clients section. Review Clients for more information. A few recommendations when backlogging hours through clients:

  • If you have clients who participated in groups and you want the clients to be included in demographic reports, you must add the client as an individual first, then create a group which you add them to.
  • Create a separate activity for each client and their activity type.

Example of backlogging hours for clients by activity type. For example, ICLT01 are the hours for the first individual client and ICLT02 are the hours for the second individual client.

Backlog Hours through Practicum Hours

If you're applying for an APPIC internship through the AAPI application, you can enter hours in bulk that you have already completed using the Practicum Hours page. Hours you enter here will be included in your totals when you apply for an internship. Note the following:

  • If you already entered hours on the Activity page, do not re-enter the same hours on the Practicum Hours page (and vice versa).
  • If you have any questions about reporting your hours in specific categories, contact your DCT for guidance.
  • You can update your hours before you apply through the AAPI application. However, as a best practice, try to report your hours as accurately as possible early in the process so the rest of your application process is easier.

To enter your hours using the Practicum Hours page:

  1. Click Settings.
  2. Click Practicum Hours.
  3. Enter your hour totals for each section.
  4. Click Save.
