Understanding the Reapplication Process

Overview

Applicants can use an existing account from a previous cycle to reapply in the current cycle. They also keep the same CAS ID number from the previous cycle. Applicants must meet certain requirements to be eligible as a reapplicant, including:

  • Applicants must have been in the In Progress, Received, Complete, or Verified application statuses in the previous cycle.
  • Applicants must have applied within three cycles. For example, an applicant can:
    • Copy their application from the previous cycle to the next (for example, from the 2023–2024 cycle into the 2024–2025 cycle).
    • Skip a cycle and copy their application (for example, from the 2022–2023 cycle into the 2024–2025 cycle).
    • Skip several cycles between applications. However, application data is unavailable after three cycles of inactivity (for example, if the applicant last applied in the 2020–2021 cycle, they cannot copy their application into the 2024–2025 cycle).

To get started, applicants log in to the application (in the new cycle) and confirm they want to begin the reapplication process by clicking Start Reapplication. Then, they can choose to start a fresh application or copy data from their previous application.

If the Applicant Chooses to Start a Fresh Application

The data from the previous application cycle is wiped clean and they proceed with a blank application.

If the Applicant Chooses to Copy Application Data:

Applicants select the information they want to carry forward. It can take up to 24 hours for the selected data to copy, and they receive an email once the application is ready.

The following application information is transferred forward (note: depending on your CAS, some of these sections may not be applicable. Contact a member of your account team with any questions.):

  • Personal Information
    • Biographic Information
    • Citizenship Information
    • Contact Information
    • Race & Ethnicity
    • Family Information
    • Other Information
  • Academic History
    • Standardized Tests
    • Colleges Attended
    • High Schools Attended
    • Coursework
    • Transcripts
    • Continuing Education Courses
  • Supporting Information
    • Experiences
    • Achievements
    • Licenses/Certifications

High school and college transcripts can be carried forward within the same CAS for 3 calendar years from the most recent Verification or Academic Update Verification date. If an applicant reapplies after more than 3 calendar years from their verification date, the transcripts will not be available in the reapplication.

The following application information is not transferred forward (note: depending on your CAS, some of these sections may not be applicable):

  • CAS Custom Questions or Custom Question Blocks
  • Program Materials Information (i.e., "fourth quadrant" materials such as Questions, Documents, Prerequisites, etc.)
  • A-G Matching
  • Document Uploads
  • Evaluations/Letter of Reference/Letters of Recommendation
  • General Education
  • Personal Essay
  • Personal Statement
  • Redirection
  • Release Statement Responses
  • University-specific Credentials (e.g., a University ID)
  • Payments

Reapplicant Communications

If your CAS allows applicants to use an existing account from a previous cycle to reapply in the current cycle, then applicants are sent several emails, including:

  • A Welcome email, similar to the one for new applicants.
  • A notice that their application is being copied over from a previous cycle.
  • A confirmation that the parts of the application they've chosen to carry forward are now in their new cycle's application.

Identifying Reapplicants in WebAdMIT

If your CAS chooses to share this data, you can identify which applicants reapplied from a previous cycle in WebAdMIT. There are two fields to track this information and both populate as Yes or No; CASs can choose to activate one or both fields.

  • Applicant Previously Applied to CAS
  • Applicant Previously Applied to Organization

Applicant Previously Applied to CAS

This field identifies applicants who carried forward an application from a previous cycle. Only applicants who submitted their application to at least one program in the CAS are included in this field.

This field is listed under the Applicant field grouping in the List Manager, Export Manager, and Applicant Header. Note that this field does not appear in the Applicant Details page or the full application PDF.

If your CAS activates the Applicant Previously Applied to CAS field, you can use the Applicant Header feature to add this field to the top of each applicant's page.

Applicant Previously Applied to Organization

This field identifies if the applicant carried forward an application and submitted it to at least one of your programs at your organization in a previous cycle.

This field is listed under the Designation field grouping in the List Manager and Export Manager. Note that this field does not appear in the Applicant Details page or the full application PDF.

If your CAS activates the Applicant Previously Applied to Organization field, you can use the Custom Fields feature to track your reapplicants on the Applicant Details page. To do so:

  1. Create a Custom Field and select the Yes/No Value answer option.
  2. Create a list in the List Manager and select the Applicant Previously Applied to Organization field (located under the Designation field grouping).
  3. Select Yes to find applicants who previously applied to a program at your organization.
  4. Once you run your list, under List Actions, select Update Custom Fields for Checked Applicants.
  5. Update your Custom Field to Yes for the selected applicants.

The Custom Field will be listed under the Custom Field panel on each Applicant Details Page. The default value will be No for all applicants. As you batch update the Custom Field, it will update to Yes.
