Running Advisor Reports

Overview

You can use the Advisor Documents function to download a report with the most common data you need about your students.

Starting with the 2018–2019 cycle, the report is available for the following participating CASs:

  • AACOMAS
  • AACPMAS
  • ADEA AADSAS
  • CASPA
  • OptomCAS
  • PharmCAS
  • PTCAS
  • VMCAS

The report is typically run and published mid-October as preliminary decisions are posted, then refreshed in mid-February as participating schools report final decisions in WebAdMIT.

Note: if you need to create a custom report, review the Exporting Applicants from the Universal Advisor Portal article. 

How to Run the Report

Under the Reports & Exports panel, click Advisor Documents

Click Download to run a preconfigured Excel report based on your school and the CAS and cycle you are working in.

The report contains three worksheets: an applicant Roster, an Aggregate report on statistics for your school compared to the entire CAS, and an All Designations report on the number of applicant submissions for each program.

Roster Tab

This worksheet displays a list of all applicants who:

  • Have submitted an application to the CAS
  • Are not in an application status of Undelivered or On Hold
  • Have listed your college as their Primary College Attended in their application
  • Have released their application data to you via the Release Statement in the application

The report includes one row for each school an applicant designated on their application, so an individual applicant may appear across many rows in the report. Each row contains the applicant's:

  • Demographics
  • Major
  • Liaison-verified and calculated Overall and Science GPA (as defined by each CAS’s rules for subject inclusion – reference each CAS's Applicant Help Center for more information on GPA calculations, including what subjects are included in the Science GPA and other calculated GPAs) 
  • School(s) they designated in their application 
  • Current decision (if applicable) for the school(s)

Aggregate Tab

This worksheet calculates two sets of aggregate statistics. The first set (on the left side of the report) summarizes decision and GPA information for all applicants who: 

  • Have submitted an application to the CAS
  • Are not in an application status of Undelivered or On Hold
  • Have listed your college as their Primary College Attended in their application
  • Have released their application data to you via the Release Statement in the application

The second set of statistics (on the right side of the report) summarizes decision and GPA information for all submitted applicants to the CAS who are not in an application status of Undelivered or On Hold

Starting in the 2019-2020 application cycle, you can also view the:

  • Average # of Designations Per Applicant
  • Acceptance Rate (i.e., the number of applicants who received offers compared to all applicants)
  • Standardized Test Scores Mean (an average of each official test score, as collected by the CAS)

For your reference, the Decision Codes the CAS uses for accepted and matriculated students are summarized at the top of the worksheet.

All Designations Tab

This report is available starting in the 2019-2020 application cycle.

This worksheet lists all the participating programs in a CAS and calculates two sets of aggregate statistics. The first set (on the left side of the report) totals how many of your college's applicants have applied to each program and the program's current decision (if applicable). To be included in your college applicant pool, applicants must meet these requirements:

  • Have submitted an application to the CAS
  • Are not in an application status of Undelivered or On Hold
  • Have listed your college as their Primary College Attended in their application
  • Have released their application data to you via the Release Statement in the application

The second set of statistics (on the right side of the report) totals how many submitted applicants to the CAS who are not in an application status of Undelivered or On Hold have applied to each program and the program's current decision (if applicable).

For your reference, the Decision Codes the CAS uses for accepted and matriculated students are summarized at the top of the worksheet.
