CAS Application Enhancements

Liaison’s suite of portals work together to help you collect and manage applications. The CAS application, also referred to as the Applicant Portal, is the system where applicants find and apply to your programs. You receive these applications in WebAdMIT or Admissions by Liaison, where you perform your review processes. The appearance of your program and your requirements are customized in the Configuration Portal, where you establish the program-specific elements that your applicants will interact with. Additionally, your program may use one or more of the following tools and platforms:

  • Analytics by Liaison and Othot: advanced analytics solutions and data reporting tools.
  • API: a data integration tool.
  • Applicant Gateway: a platform for applicants who have already submitted their CAS application to complete and upload additional materials requested by their programs.
  • Enrollment Marketing and TargetX: customer relationship management (CRM) systems for student lifecycle management.
  • Letters by Liaison: a platform for evaluators to submit their letters of recommendation.
  • SlideRoom: a platform for collecting digital portfolios.
  • Time2Track: a platform for tracking, verifying, and managing experiences.
    Annual Fall Lookup Updates (2021)

This enhancement is automatically available for use by all CASs and participating programs. No action is required on the part of any association, school, or program. Contact your Account Manager for more information.

Many fields in the Applicant Portal contain predefined answer values that applicants can select. For example, the Country and County fields both have predefined answer values. These values are contained in shared “lookup tables.” With this release, the second of two semi-annual updates to these lookup tables has been implemented. Review the Shared Lookup Table Updates for Fall 2021 to learn what changes are new in the Applicant Portal and WebAdMIT. Note that the changes in WebAdMIT are scheduled to be released later this week; review the Timeline for more information.

    Programs Can Request Foreign Transcripts Separately from Domestic Transcripts

This enhancement is available in 2021 Release 9.

Configuration Portal Enhancements

    Ability to Customize Internal Question Labels for Custom Questions

This enhancement is automatically available for use by all CASs and participating programs. No action is required on the part of any association, school, or program. Contact your Account Manager for more information.

You can now assign Internal Question Labels to the Custom Questions in the Program Materials section of the application. This enhancement allows those questions to have a name that remains the same for each cycle, which is helpful for data integration (e.g., "legacy"). It also allows you to add more descriptive field names.

Letters by Liaison Enhancements

    Enhancements Made to Likert Scale and Browser Support

This enhancement is automatically available for use by all CASs and participating programs. No action is required on the part of any association, school, or program. Contact your Account Manager for more information.

Likert scales are enhanced to no longer default to the selection of Not Observed. Also, recommenders are now unable to save their progress if all their Likert scale responses are Not Observed.

Lastly, if a recommender attempts to access Letters by Liaison through Internet Explorer browser version 11 or earlier, they are alerted that they are using an unsupported browser and are prevented from continuing their session. The recommender must then switch to a supported browser to continue their work.

This enhancement is automatically available for use by all CASs and participating programs except for Common App for transfer. No action is required on the part of any association, school, or program. Contact your Account Manager for more information.

Letters by Liaison now features a footer that includes links to the Privacy Policy and the Accessibility Statement.

WebAdMIT Enhancements

A Current Status of CAS and WebAdMIT link has been added to the Menu Bar, linking to https://status.liaisonedu.com/.

    Special Characters from Custom Field Names Removed When Used as Merge Fields

This enhancement is automatically available for use by all CASs and participating programs. No action is required on the part of any association, school, or program. Contact your Account Manager for more information.

When you create Custom Fields, you can include special characters in the label (i.e., name) field. Additionally, you can include Custom Fields labels as merge fields in the File Name Pattern field in the PDF Manager. Previously, if you used a Custom Field label containing a special character as a merge field, the PDF template would not save. This enhancement automatically removes special characters from the Custom Field merge field names on screen. The special characters will still be included in the file names for any PDF Manager jobs you run and download.

Automated Applicant Emails During the CAS Application Process

At routine moments in the application process, a CAS will automatically send emails to applicants. These emails guide applicants through the application process, ensuring that they are regularly communicated with and can access additional resources, including the Applicant Help Centers and customer service information. This document reviews the most commonly sent emails so you can more fully understand the application process and plan any program communications.

Letters by Liaison Quick Start Guide and FAQs

Recommenders now have access to a Quick Start Guide, which guides them through navigating the Letters by Liaison portal and completing their recommendations for applicants.

When creating templates in WebAdMIT, we encourage you to use clear and concise names. This helps you quickly identify what the template is and how to use it. This document highlights some important template naming tips and best practices.

Sandbox Environment Refresh

The WebAdMIT Sandbox environment (sandbox.webadmit.org) was refreshed with current (cleansed) production data and program configurations. Any test exports, custom fields, etc., in the current sandbox were overwritten.

Register now for our Reviewing & Scoring Applicants virtual training course.

Participants will learn how to make the best use of the Assignments and Interviews features in WebAdMIT through a series of hands-on exercises led by a WebAdMIT expert. They will learn how to rank applicants and pinpoint the most qualified candidates while networking with peers to learn how others are using WebAdMIT to achieve their admissions goals.
