Managing Attachments
Supported Attachment types in Application Review
The following attachment types are supported in the Application Review tool:
- DOC
- DOX
- XLSX
- PPT
- PNG
- JPEG
- GIF
- TIFF
Limiting Application Attachments
There is no specific limit on the number of attachments an Application can have, but there is a limit on the length of the request URL. The encoded Salesforce URL for each document is placed in the URL as a param value. The URL character limit is 8190.
Loading a large number of documents (~40+) into an Application Review may fail to load and result in a PDF Merge error:
Bad Request
Request Line is too large (#### > 8190)
To resolve this issue, you must reduce the number of documents associated with the Application Review.
The URL size varies depending on the number of bookmarks, the Org URL, and whether an institution is using MyDomain. So, while there is no hard limit on the number of documents, there is a limit that correlates to the number of documents sent for merging.
Filtering Attachments
Follow these steps to define a filter for viewing child records on the final PDF for application review:
- Navigate to the Application Review Type you want to configure.
- Navigate to the Basic Configuration Editor.
- Select the Doc Definition tab.
- Select the Document you wish to order and click the icon.
- Click Edit.
- To set a filter of the attachments on a child record, you must select a field for filter from that object and enter a value for the Choose Filter field.
- To add additional filter fields, click the icon.
Note: When adding multiple criteria for attachments, OR logic is used. If you wish for multiple criteria to be met, it is best to use a formula field to concatenate both fields and get the effect of AND filter functionality.
- Click Confirm to return to the Main page.
- Save your changes.
Note: You cannot filter on Contact and Application objects.
Ordering Child Record Attachments
Follow these steps to define the order of child-objects (i.e., Enrollment history, Essay, Extracurricular, and Recommendation) shown in final PDF for application review:
- Navigate to the Application Review Type you want to configure.
- Click the Basic Configuration Editor button.
- Click the Doc Definition tab.
- Select the Document you wish to order and click the icon.
- Click Edit.
- To set the order of the attachments on a child record, you must select a Field for Order from that object and the Order (ascending or descending) you wish to sort.
- To add additional sort fields, click the icon.
Note: When adding multiple criteria for child record attachments, OR logic is used. If you wish for multiple criteria to be met, it is best to use a formula field to concatenate both fields and get the effect of AND filter functionality.
- Click Confirm to accept your changes.
- Click the Save button to save your changes.
