Avoiding Content Limits with the Asset Library

If you’re running into Content Delivery Limits, you can reduce those limits by storing and sharing images through the Salesforce Files Asset Library instead of CRM Content. 

Why Use the Asset Library

Files in the Salesforce Asset Library do not count toward CRM Content Delivery Limits. This makes them especially useful for storing and sharing assets you use frequently, such as:

  • Header and footer images for TargetX Email and Communication Planner
  • Branding graphics reused in multiple templates
  • Images displayed in the TargetX Portal

By linking to images in the Asset Library rather than uploading them directly, you conserve your organization’s content quota and simplify file management.

Enabling Public Asset Sharing

To share Salesforce Assets externally (for example, in an email or portal template), you’ll need to enable public link sharing in Salesforce.

Follow Salesforce’s official setup guide, Enable Public Linking on an Asset File.

Once enabled, administrators of the Asset Library can create a public link for any file. This link makes the image shareable outside of Salesforce.

Creating a Public Link for an Asset

After enabling Public Asset sharing in Salesforce, follow these steps to create a public link for an asset:

Step 1: Open the Asset in Salesforce

  1. Go to the Salesforce Files tab or your Asset Library.
  2. Find and click the file you want to use in TargetX.

Step 2: Open the Sharing / Public Link Options

  1. On the file detail page, look for the Share or Public Link option (this may appear as a button or in an action menu, depending on your org’s setup).
  2. Click it to open the sharing dialog.

Step 3: Generate and Copy the Public Link

  1. In the sharing window, select the option to create or enable a Public Link for the file and confirm or save if prompted.
  2. After the link is generated, copy the public URL shown in the window.
  3. Save this link—you will paste it into your TargetX email, Communication Planner message, or portal content.
  4. You can then embed this URL wherever an image URL is supported in TargetX to display the Asset without affecting CRM Content Delivery Limits.

Using Asset Links in TargetX

After generating a public link for an Asset:

  1. Copy the public file URL provided by Salesforce.
  2. Paste the link into your TargetX email template, Communication Planner message, or portal page where the image should appear.
  3. The image will display normally in your communications, without contributing to CRM Content Delivery usage.
