Understanding Communities and the Online Application

Part of the Online Application feature is a customizable Online Application system that is easy for your applicants to complete, built on the Salesforce Community Cloud platform.

Applicants can create and maintain a profile that contains any information you would like to capture. Applicants can easily work on their Online Application, save their progress, as well as  upload documents such as essays, resumes, and personal statements. An applicant’s references can submit online recommendations including attachments. Community users can view their progress through the application form, including the status of recommendations, transcripts, test scores, and decision status. 

The applicant facing Date Picker will show month/day/year unless the browser language is set to English (United Kingdom).   In that case, the date field will display as day/month/year. 

If there is no value in Currency Symbol field in the Base custom setting, the CRM will use the  $ symbol.  If there is a Currency Symbol entered, it will appear in applicant facing pages for  Online Applications.

For staff facing pages, the Currency Symbol is controlled by the Currency Locale setting in the Company Info page.

Note: You will need to check your payment gateway server settings and associated payment connector settings for proper currency setup.

Communities User Creation

All newly created 'Community Users' are associated to a Contact. For the communities user creation process to match a newly created user to an existing contact, the following must apply:
 

  • the Contact must have an Account
  • the Account must have an Owner and
  • the Owner must have a Role


If the above conditions are met, it will match a new Community User if a Contact has the same email.   Otherwise, a new user will be created.

You can enable the  School Picker to display on the Registration page so you can assign a staff member in order to start communicating with applicants as soon as they sign up.

Note: TargetX recommends adding a note to your Email template to disable the ‘link previewing’ feature in their email accounts as this interferes with the Forgot Password functionality.
