Managing Email Broadcasts

Viewing a list of broadcasts on existing email campaigns

Email Broadcasts are the individual email blasts that are sent to the recipients specified in the Campaign. For example, you can schedule an Email Campaign to send an email to all new inquiries every day. If you were to schedule this Campaign to run at 3pm daily for the month of March, a total of 31 Broadcasts would be generated.

Users can view a list of broadcasts on existing campaigns by selecting Edit from the Campaign list. The list will display broadcast Stats and Broadcast data.

  1. Navigate to the Campaign Builder tab.
  2. Select the Campaigns icon in the bottom navigation bar.
  3. Select Edit your campaign from the Campaign list. 

After a broadcast has run, additional statistics will be displayed for each item (i.e., # messages sent, # viewed HTML, % viewed HTML):

Note: Broadcast Stats are only displayed for the 20 most recently completed broadcasts.

Broadcast Tasks 

Broadcast Tasks are created when a Broadcast can not be sent so that administrators or authorized users can troubleshoot and correct the problem. For additional information, see: 'Broadcast not sent for' Task.

Editing or deleting a single broadcast in your email campaign

You can select a broadcast from the list of broadcasts on the Summary screen of an existing campaign. If you have the appropriate permissions, you can delete broadcasts from the list at anytime.

  1. Navigate to the Campaign Builder tab.
  2. Select the Campaigns icon in the bottom navigation bar.
  3. Select to Edit the Campaign. The Summary window will display.
  4. Select the Broadcast tab.
  5. ​Select the  icon next to the broadcast you want to delete.

Deleting Email Broadcasts that are scheduled in the future

Single Broadcast Deletion 

To delete a single Email Broadcast without modifying the entire Campaign:

  1. Navigate to the Campaign Builder tab.
  2. Select the Campaigns icon in the bottom navigation bar.
  3. Locate or search for your Campaign and select the pencil icon to Edit. The Summary window will display.
  4. Select the Broadcast tab.
  5. Select the delete (trash can) icon next to the Broadcast you want to delete.

Note: Delete access on the Broadcast object must be added to the user's profile to delete Future Broadcasts. If the user deleting Future Broadcasts is NOT the owner of the Broadcast, then Modify All is also required.

Deleting Future Unsent Broadcasts (Modifying Campaign End Date) 

If desired, the end date of an Email Campaign's scheduled broadcasts can be reduced, thereby deleting unsent messages from the email queue. To ensure all future unset broadcasts are deleted when the end date is modified, please follow these steps:

  1. Navigate to the Campaign record for the desired email campaign.
  2. Check the "Delete Future Broadcasts After End Date" Field.
  3. Change the End Date to a day earlier than the scheduled end date.
  4. Click Save.

Once complete, all future scheduled broadcasts set after the new end date will be deleted.

Note: The Email Preference Auto Future Broadcast Deletion must be enabled to delete broadcasts in this manner. To enable, navigate to the "Email Preferences" tab and check the Field under the "Advanced" section.

Deleting an Email Campaign 

All scheduled broadcasts will be deleted if an Email Campaign is deleted entirely. For more information on deleting an entire email campaign, please see Deleting an existing email campaign.

Releasing a Broadcast 'On Hold'

To release a broadcast that is on HOLD, navigate to the Email Dashboard. Click the text 'Hold'. Confirm the Release Broadcast by selecting either Close or Confirm.

Note: After releasing a Hold, the status will change to 'Processing' in the Dashboard. If you refresh the Dashboard, it may return to HOLD status while the broadcast is waiting to be re-queued. This could take up to 20 minutes.

If you click to Release the Hold a second time, you will experience an error in the Console, but the initial release will be unaffected.
