Contact records vs. child records: Counting contact records based on the student stage field will be replaced by methods to count child records that more accurately represent student actions and historical data

Date fields vs. “Stage” and “Status” fields: Various calculations will rely on the existence of values in date fields to determine the funnel stage and in some cases, status of various records. For instance, an application with a Completed date will be considered a Complete application, regardless of whether the Application Status value is marked as Complete or not.

Max stage: Students will have a max stage value associated with them per term. Max stage is calculated based on date fields across both the Inquiry and Application objects. For instance, if an application has an Enrolled Date for Fall 2020, the max stage for the associated Contact for Fall 2020 will be Enrolled. If an application has an Admit Date for Fall 2019, the max stage for the associated Contact for Fall 2019 will be Admitted. If a student has not yet applied, max stage will be based on the last Inquiry record associated with their Contact for the term noted on the Inquiry record.

Value mapping/standardization for key fields: In order to present data in a standardized way for the purposes of benchmark comparisons, raw data from your CRM will be mapped to and transformed to a standard set of values that Insights will use in visualizations and queries. The following fields will require mappings to be provided to TargetX: IPEDS Ethnicities, Gender, Student Level, Student Type, Application Decision, and Term.

For all other stages, counts Application records, in the following way: People are considered Applicants as soon as they start an application People are considered Admitted if they have an application with a Decision Date and an application decision of Admit People are considered Confirmed if they have an application with a Confirmed Date People are considered Enrolled if they have an application with an Enrolled Date Final counts will be based on distinct individuals based on associated Contact records and where a Contact has multiple child records, the count will rely on the computed Max Stage for the selected term.

The count for each stage is calculated by summing the total number of Applications with Application Status values that map to the appropriate TargetX Application Status for the selected term.
