Retention Implementation: Data/Information Imports


The Retention Suite is typically populated with information that originates in one or more of the following information systems:

  • Student Information Systems (SIS)
  • Learning Management System (LMS)


The minimum recommended information for importing into TargetX Retention CRM includes:

Contact object

  • ‘Active Students’ - Bio/Demo information
    • Ensure that Contact.Role field gets set to an appropriate value corresponding to a student
  • Success Team Members - Bio/Demo information
    • Advisors, Faculty/Deans, Coaches
    • Ensure that Contact.Role field gets set to an appropriate value corresponding to a staff member/campus professional

Note:  Ensure that Contact.Role field gets set to an appropriate value corresponding to a student or staff contacts records.
 

  • Academic Period (Term) LookUp object
    • All Terms and related attributes - such as Term Start/End Dates, Registration Start/End Dates
  • Academic Profile object
    • Student’s Academic Term and related information
  • Course object
    • Student’s Course information (TargetX Courses object)
  • Success Team Members object
    • Students to Success Team Members relationships. ie. Advisors, Faculty/Deans, Coaches
    • Typically includes a Primary Advisor Relationship
    • Note:  Primary Success Team Member must be a CRM User - with a valid CRM User license
  • Advising object
    • ‘Holds’ - such as Financial, Academic, or Judicial flags that typically prevents important institutional activities or registration


Other recommended/common information imports:

  • Course Attendance object
    • Student’s Absences related to each Course
    • Note: Not recommended to import all Attendance information due to storage considerations, but it is possible.
    • Activities and Interests object
    • Relationships object
      • ​Employer information - related to a CRM Account/Organization
      • Other Relationships - to family, friends, etc...
