Understanding Retention Roles

In Retention, the Role field on the Contact is used to differentiate between Students and Staff/Faculty.  

We recommend that these values for the picklist be different, rather than simply Retention. For example, Students would be identified as Retention Student and Faculty and/or Staff would be Retention Staff or Retention Faculty.  

The Staff Role(s) defines who appears in Staff related picklists in the SSC (Point of Contact related to Action Plans, Related Staff related to Referrals).  

The Student Role(s) defines the roles that are considered ‘Student’ in the Student Success Center.  
 

Note: Imports should update the Role field for Students as they are created or updated to make sure they appear in SSC. 

Create the Role values

  1. Navigate to Setup and select Object Manager. 
  2. Click the Contact/Student object. 
  3. Click on Fields & Relationships
  4. Click on the Role field. 
  5. Navigate to the Values section. 
  6. Click New to add a new value. 
  7. Save your changes. 

Configure SSC Settings

These values are then selected in SSC > Settings > Roles to determine what values are recognized by SSC as Students vs Staff/Faculty: 

  1. Navigate to the Student Success Center app or tab. 
  2. Click the Settings icon in the bottom navigation bar. 
  3. Click the Roles tab. 
  4. Select the Staff Role(s). 
  5. Select the Student Role(s). 
  6. Save your changes.
