Deleting a FormAssembly user and transferring ownership of their forms

If a FormAssembly user is deleted, all the forms they own are also deleted, including forms that the user has shared with other users. To avoid this, forms owned by the user must be transferred to a new user before deleting the user. 

  1. Click FormAssembly from the App Picker in the CRM.
  2. Click the Manage Web Forms tab.
  3. Under your user name in the FormAssembly application, select the Admin Dashboard option.
  4. From the left side menu, select Users and then All Users.
  5. Search for the user you wish to disable and note their FormAssembly ID Number (2nd column in the list).
  6. Next, search for the user to whom you'd like to reassign the forms and note their FormAssembly ID.
  7. From the left side menu, select Forms and then All Forms.
  8. Filter by User ID and enter the ID number of the user you wish to disable. This will show a list of all forms owned by that user.
  9. Under the Actions column, select the dropdown option for Edit Properties.
  10. Update the Owner ID field to the ID value of the new owner.
  11. Scroll down and click Apply.
  12. Complete steps 9 through 11 for all remaining forms owned by the user you wish to disable.
  13. After all, forms have been reassigned, use the left side menu to select Users and All Users.
  14. Search for the user you wish to disable and select Delete User from the Actions column. 

Note: Dynamic Picklist fields are linked to the authenticated Salesforce user. Changing form ownership will break Dynamic Picklist fields, and you must re-authenticate. For more information, see the FormAssembly Help article: Dynamic Picklist (v2).​​
