Working with Triggered To-do's

Triggered To-do Overview

Triggered To-Do's are automated tasks and reminders that activate when a student finishes an interaction. These to-do's are then assigned to a representative for efficient management and completion. They are an effective way to not only engage your admissions reps with students in EMP but also to involve coaches, faculty, and student workers in the system to follow up on student records. 

You can build triggered to-do's according to when:

  1. A student submits the inquiry form.
    • Note: a to-do is not triggered if you import/manually enter students into EMP. Students have to physically submit the form fill.
  2. A student submits the online application form (for clients who have the online application as part of their EMP package).
  3. A stage change occurs (e.g., a Prospect becomes an Inquiry, an Inquiry becomes an Applicant, etc.).
    • Note: this can happen on inquiry or applicant form submission, from a list import that updates a student's stage, or by manually changing a stage on the student record.
  4. When a student registers for an event or an event registration is made for a student in EMP.

Triggered To-do Scenarios

Admissions Reps:

  • Create a to-do to reach out to all new inquiries assigned to you. 
  • Create a to-do to follow up with students who apply (i.e., submit the online application and/or become a stage of applicant) about the next steps toward completing their application and any missing items. You can create a series of to-do’s for this stage, engaging these students and making sure they have submitted all your application requirements.
  • Create a to-do to follow up with accepted students, congratulating them and sending deadline reminders. 

Coaches/Faculty:

  • Create a group of students interested in a particular sport or major. Using the Interaction Type of stage change, create a to-do for following up when a student becomes an Inquiry (or Applicant, Accepted, etc.). 

Student Workers:

  • Create a group of students who are inquiries (or higher) with no email address or phone number and have the to-do assigned to an individual (or general) student worker. This person can then follow up to get missing pieces of information from students. Additionally, as students are added into the system with the missing information, they'll become part of that group and will automatically have a to-do assigned for follow-up.

Creating a Triggered To-do

  1. In the top navigation bar, click Account, then EMP Settings, then Triggered To-do’s.
  2. Click New Triggered To-do.
  3. Complete the to-do information. 
  4. Click Save.

Adding a Triggered To-do to a Campaign

Triggered To-do's can be built into Blast and Nurture Campaigns as reminders to complete certain tasks as a result of the campaign. For example, you may want to create a triggered to-do at the end of your 4-email Accepted Student Campaign. The triggered to-do would prompt an admissions rep to call students who have completed the email series but have not yet confirmed their acceptance. 

To add a triggered to-do to a campaign:

  1. Click the Campaign Tier.
  2. Click Add Item, then select To-do from the drop-down.
  3. Complete the to-do information. 
    • If adding to a Blast Campaign, set the date, time, and repeat option and Save.
    • If adding the to a Nurture Campaign, set the time frame and Save.
