Military Match Processes

Notification Process

Applicants with military obligations who apply to military residency programs may also submit applications to civilian residency programs through ResidencyCAS. If an applicant secures a military residency through the Military Match process, the following steps should be taken:

  1. Applicant Notification: the applicant must notify the appropriate official in their Medical Student Affairs Office of their successful Military Match outcome.
  2. Medical School Notification: the Medical Student Affairs Official must inform the ResidencyCAS Support Team (schoolsupport@residencycas.com) in writing of the applicant’s Military Match outcome. The notification should include:
    • Applicant's full name.
    • Medical school attended.
    • ResidencyCAS ID.
    • Date of birth.
  3. ResidencyCAS Actions: the ResidencyCAS Support Team will:
    • Update the applicant’s status to “On Hold” in the ResidencyCAS Program Portal.
    • Add a note to the applicant’s file indicating “Military Residency Obtained.”

Identifying Applicants Matched via the Military Match

Some applicants in your pool may have secured a residency position through the Military Match and should no longer be included in your program’s review process. To help you identify these applicants, all Military Match applicants are placed On Hold, and their applications include a note confirming their Military Match status.

While no action is required by programs, you can build a segment and review application notes to identify affected applicants. 

Build a Segment to Find Applicants Who Are On Hold

Navigate to your Applications Grid and build a segment as follows:  

  1. Click Add Criteria
  2. In the search field, type Hold.
  3. Select Application Property > CAS On Hold.
  4. Set the criteria as follows:
    • Operation = is
    • Value = Yes
  5. Click OK and Apply.

Important: applicants can be placed on hold for multiple reasons. To confirm whether the hold is due to the Military Match, you should review the notes on the application.

View Military Match Notes Directly in the Applications Grid

To quickly see which applicants are on hold specifically for the Military Match, you can add application notes directly to your grid. 

From the Applications Grid, use the Grid Customizer (gear icon) to add the Note Text field as a column. 

Considerations and Optional Steps for Programs

While no action is required by programs, consider the following: 

  • Applicants who matched through the Military Match may still appear on interview schedules or rank lists.
  • Ideally, applicants will cancel any future interviews themselves to free up spots for other candidates.

If needed, you may wish to use this information to: 

  • Adjust interview schedules in the Interview Portal. 
  • Remove applicants from interview days. 
  • Exclude applicants from rank lists. 

These steps are optional and may not apply to every program, but they can help ensure your interview and ranking processes accurately reflect your available candidate pool.
