Minimizing Disruption from New Report-Based Send Limits

Salesforce is introducing new report access processes with Step-Up Authentication for report access, which impacts how TargetX processes report-based email, SMS, and Print communication. This article explains what is changing and provides recommended workflows to minimize disruption to your messaging. To align with these enhancements, we’ve updated how large report-based email and SMS sends are handled in our platform. These changes have been expedited to meet the enhancement securities deadline of July 1.

Summary of Changes

The TargetX email tools use the administrative user: TargetX Integration, to access recipient Reports. Salesforce has introduced stricter protections around report access and export to reduce the risk of unauthorized data extraction, aka “data exfiltration,” as documented by Salesforce.

To operate within these new constraints, email sends utilizing Salesforce Reports for TargetX Email and TargetX Communication Planner are now limited to a maximum of 100,000 rows (recipients) per send. Additionally, TX SMS bulk send and TX Print recipient Reports utilizing Salesforce reports will be limited to a maximum of 100,000 rows. To remain compliant and ensure reliable delivery, we’ve aligned our products with these limits.

Salesforce documentation indicates that changes will be enforced as of July 1. TargetX is developing this solution to meet this deadline, so sending is not impacted.

  • Audit Reports used in email sends (especially recurring campaigns) 
  • Confirm total record counts—not just expected send volume 
  • Update segmentation strategies prior to July 1 
  • Test updated Reports to ensure successful processing 

FAQ

What changes has TargetX made for Email and TX Apps?

To ensure our products follow Salesforce’s new security enhancements, recipient report processes were updated so the TargetX Integration user is not required to complete step-up authentication for sending to process.

What happens after the broadcast or elements weren’t sent because the report has more than 100,000 rows?

Adjust your recipient report to a maximum of 100,000 rows, you can schedule your send again if using:

  • TargetX Email
  • Communication Planner Quick Messages
  • Communication Planner Fixed Date Tracks

If you are using Communication Planner Drip Tracks, the next date the campaign is scheduled to send, the campaign will use the same report – change the report filters and your activity will be ready to send again. 

Note: If you are using the query builder in TX Email, the recipient limit does not apply. If using the query builder, you can send to 100k+ recipients without issue.  
 
If you are downloading a recipient report and uploading for use with TX SMS or TX print, you can send to 100k+ recipients without issue.  
 
The limit applies to when a recipient report is leveraged from your Salesforce org using Salesforce Reports. 
 

Is the TargetX Integration user still needed in my Salesforce org?

Yes, the TargetX Integration user is still needed for authentication to various TargetX tools. Though there are changes to how the user is accessing the reports, the integration user is still needed for authentication to the TargetX tools, reports, and settings.

Can the 100,000 row limit be increased?

TargetX is actively evaluating alternative approaches to support larger audience sends, and will update as more information becomes available.

If using TX Email, you can send to more than 100k using the query builder without issue.  
 
If you are sending to recipients via TX SMS or TX Print by downloading a file and uploading it for use, you can send to 100k+ recipients without issue. 

What if my recipient report updates to more than 100k rows and I don’t notice? 

Sends with more than 100,000 rows will not be processed. System administrators in your Salesforce org will be sent an email notifying them that the email could not be processed . The email notification will contain all relevant sending information:  campaign name, broadcast name, date of send, etc.

The send attempt will be marked as ‘failed’ in the status (email) or in the activity center (comm planner) with an error code of 7015: The report exceeds the maximum report size for a broadcast. Please update your report filters to return a maximum of 100,000 rows.

How does sending to parents work? 

The same row limits still apply. If you’re sending to parents using the Contact ID, any parent associated with that contact ID will get the email the contact receives (if sending to parents or parents+contacts). If you are sending to parents and merging parent record data, the merge ID is required in the report. In that case, each parent would need their record ID on the report and would be subject to the 100k row limit.

This limit applies to processing Reports with child object IDs. Each child record would take up its own row. 

TargetX Email has a feature that limits sending to a certain number of recipients per send. Can this feature be used to segment my intended list of recipients?

Reports with more than 100,000 rows will not be processed, even if the TargetX Email campaign is set to send those emails in batches at less than 100,000 recipients. The report itself must not contain more than 100,000 rows to be successfully processed.

What can I do to prepare for these changes?

The first thing you can do is evaluate which of your broadcasts or activity was the largest send out of TargetX Email, Communication Planner, TX SMS, or TX Print. The sends that resulted in 100,000+ recipients or just below (80,000+) should be reviewed.

Reports of over 100,000 rows need to be separated into smaller reports for email sending. Some suggested segmenting with reporting filters includes:

  • Region / geography
  • Student type
  • Student or admissions funnel stage
  • Date ranges (created date, inquiry creation date, application creation date, etc.)
  • Anticipated entry term.
  • Last Name starts with A-L, Last name starts with M-Z, etc.
How can I monitor my recipient reports?

Salesforce’s report subscription feature allows you to configure a notification to be sent to your user or a group of users when a report is nearing 100,000 rows.

Consider leveraging Salesforce’s report subscription feature and configuring a notification to be sent to your user or a group of users when a report is nearing 100,000 rows. You may consider subscribing to the report and adding a condition to be alerted when the report is nearing the limit for reports that are subject to large increases.

What if these changes aren’t made in time for June 24? 

Step-up authentication would cause our integration user to lose access to recipient Reports, and email sends would not be processed. 

I send many emails to the same recipient report; how will this impact this process?

Performance issues have been noted when using the same recipient report 6 or more times at the exact same time. If you are sending multiple emails to the same recipient report, we recommend staggering them so they are sent at different times.
