Understanding Email Content for Events

There are two mechanisms that support email communications for TargetX Events.

TargetX Event emails are sent through Salesforce via an Apex Triggered Email, similar to workflow email alerts. These types of messages are sent through the Salesforce email servers when there's a change to a record, just like the emails sent through the Online Application tool (i.e., Forgot Password, Recommendations). These emails are sent based on an action that occurs, such as a student Registers for an Event, and the Apex Trigger fires off a Confirmation Email.

These messages are "invisible" on the student record (meaning they don't appear in Activities or the Individual Email History), but can be resent through the Events tool. These emails originate from the Events tool itself, and you set the Templates on the Organization Event (like the Confirmation email or Cancellation email). You can also set an Event Reminder email to be sent through the Events tool natively.

Emails related to Events sent through the TargetX Email tool, on the other hand, are handled through the TargetX server, and you can view data related to Opens, Clicks, and Bounces on the Campaign, Broadcast, and Contact levels. These emails are generally sent regularly as a part of a larger marketing initiative. For example, automating a follow-up so that every week, an email goes to those students who have attended a campus visit and solicit feedback about the experience, or in the weeks leading up to a large event (like an Admitted Student Day), you'll send encouragements to register.

The following items differentiate Event Emails from other emails:

  • All event email templates must be stored in the Event Email Templates folder.
    • Do not rename this folder or delete or rename the default templates that live in this folder. Renaming or deleting the folders or templates causes errors in the Events tool.
  • Emails sent through TargetX Events can include merge fields from the Organization Event object but NOT the Contact Schedule Item object. This is the opposite of emails sent through the TargetX Email tool, as all merge fields need to be directly related to the Contact object.
  • Conditional Content is not available for emails triggered in the Events tool.
