Configuring Retention Settings

The Retention Settings tab includes settings for Roll Up Filters and Schedule and Success Team Member Settings, and Profile Builder Rollups.

Description

Advising Roll Up Filters Accolade/Kudos Filter Any clauses that filter Advising objects of record type 'Accolade/Kudos'. This will affect the 'Filtered Accolades/Kudos' field in the Contact object.
  Alert Filter Any clauses that filter Advising objects of record type 'Alert'. This will affect the 'Filtered Alerts' field in the Contact object.
  Hold Filter Any clauses that filter Advising objects of record type 'Hold'. This will affect the 'Filtered Holds' field in the Contact object.
  Referral Filter Any clauses that filter Advising objects of record type 'Referral'. This will affect the 'Filtered Referrals' field in the Contact object.
 

Financial Holds Unfiltered

Determines what records are visible when clicking into the Financial Holds section in Student Success Center. This is used to filter Advising objects of record type ‘Holds’. This will affect the 'Filtered Holds' field in the Contact object.

Example: TgtX_Retention__Category__c = 'Financial'

  Financial Holds Filtered

Financial Holds Filtered can be used as a filter to visualize an Alert. This is used to filter Advising objects of record type 'Hold' and will affect the Filtered Holds - Financial field in the Contact object.

Example:  TgtX_Retention__Category__c = 'Financial' AND TgtX_Retention__Closed_Released__c = FALSE

  One Primary STM Per Contact If checked, prevents saving Success Team Members that are marked as primary if their Contacts already have a primary Success Team Member.
  Primary Team Member Roll Up Activated Whether or not the Contact object looks for its primary Success Team Member (Its 'Primary Success Team Member' field) when one of its related Success Team Members is inserted, updated, deleted, or undeleted.
Advising Roll Up Schedule Batch Size Allows you to specify a batch size for the Advising Rollup batch Apex job,  when you select Save, the value will default to 100(Allows values from 20 to 2000). You MUST select Save before you select the Schedule It button.
  New Schedule Allows you to select the time that the batch process runs to update roll up fields; Current Schedule displays the existing schedule, if previously enabled.
  Note: A Batch Apex job will run each day at an interval you specify to update the ‘counts’ of Actions in the Student Success Center. Depending on the frequency of the job, it is possible that the Contact-level counts will be out-of-sync until the Batch Apex Job runs.
Advising Email Match Schedule New Schedule Allows you to select the time that the batch process runs to update emails if Copy Primary Advisor Email to Email field has been selected; Current Schedule displays the existing schedule, if previously enabled.
Success Team Member Settings One Primary STM Per Contact Prevents more than one Success Team Member being marked as 'Primary'.
  Copy Primary Advisor Email to Email field (Advising Obj) Moves the Primary Advisor Email to the Email field on the Advising object, in order to make communications easier.
  Primary Team Member Roll Up Activated Determines whether or not the Contact object looks for its primary Success Team Member (Its 'Primary Success Team Member' field) when one of its related Success Team Members is inserted, updated, deleted, or undeleted.
