New Features and Enhancements

Applicant Portal Enhancements

The following enhancements are available for the Applicant Portal as part of Release 7.

    Official INBDE Integration

This enhancement is available to CASs that collect INBDE scores and must be approved by the CAS association or UniCAS client for use in the current cycle. If activated, this enhancement is available for all participating programs. CAS association and UniCAS clients: contact your Account Manager for more information or to enable this feature.

The American Dental Association (ADA) will be administrating the new INBDE test starting in August 2020; it replaces the NBDE Part I and Part II tests. Applicants will be able to send their official scores to the CAS and have them linked to their application. All received official scores will be displayed in the Check Status tab.

Currently, applicants cannot self-report their INDBE test scores in the application.

This enhancement is connected to the WebAdMIT Enhancement, Official INBDE Integration.

    CAS Configurable Evaluation Forms

This enhancement must be approved by the CAS association or UniCAS client for use in the next cycle. If activated, this enhancement will be available for all participating programs in the next cycle. CAS association and UniCAS clients: contact your Account Manager for more information or to enable this feature.

If a CAS uses the Evaluations (also known as Recommendations, References, etc.) feature in the Supporting Information section of the Applicant Portal, then they can now choose to configure different evaluation forms that applicants can select from in the application. CASs can choose the minimum and maximum number of evaluation forms an applicant can submit and the minimum number of evaluation forms required for the applicant to move into the Complete application status.

    Major and Degree Drop-downs Updated

This enhancement is automatically available for use by all CASs and participating programs. No action is required on the part of any association, school, or program. Contact your Account Manager for more information.

In the Colleges Attended section, the Other answer option in the Major and Degree drop-downs is now listed at the bottom. This aligns with where Other is placed in other drop-downs throughout the Applicant Portal.

WebAdMIT Enhancements

The following enhancements are available for WebAdMIT as part of Release 7.

    Official INBDE Integration

This enhancement is available to CASs that collect INBDE scores and must be approved by the CAS association or UniCAS client for use in the current cycle. If activated, this enhancement is available for all participating programs. CAS association and UniCAS clients: contact your Account Manager for more information or to enable this feature.

You will be able to view official INDBE scores sent to the CAS under the Standardized Tests panel in the Applicant Details Page. You can use official INDBE fields in the List Manager, Export Manager, and Scoring.

This enhancement is connected to the Applicant Portal Enhancement, Official INBDE Integration.

    References Field Grouping Name Updated to Evaluators

This enhancement is automatically available for use by all CASs and participating programs. No action is required on the part of any association, school, or program. Contact your Account Manager for more information.

The References field grouping name, available in features like the List Manager, Export Manager, Scoring, etc., is renamed Evaluators. This is to align with the Evaluators panel on the Applicant Details Page and the Evaluator field names.

While this enhancement moves the Evaluator fields up in the alphabetical list of field groupings in features such as the List Manager, Export Manager, Scoring, etc., previously built templates such as exports, lists, etc. are not affected.

    Unique List Names

This enhancement is automatically available for use by all CASs and participating programs. No action is required on the part of any association, school, or program. Contact your Account Manager for more information.

Previously, when creating lists, you could use the same name as existing lists, as well as Everyone and Clipboard, which are standard selections in the Export Manager. With this enhancement, you must enter a unique name for your list. Some specifications include:

  • Your list name must be unique within the organization for a specific CAS and cycle. If an existing list has the same name, even if you cannot see it based on Work Group and list sharing permissions, you’ll get an error message.
  • When transferring templates from an old cycle to a new cycle, any lists that have the same name will be renamed with a unique suffix (e.g., Submitted Apps 456462).
  • You cannot name a list Everyone or Clipboard, as these are standard selections in the list drop-down in the Export Manager.

Existing lists are not required to update at this time; however, if you edit a list with a duplicate name, you must create a new name at that time.

    Display Multiple Deadlines per Program

This enhancement is automatically available for use by all CASs and participating programs. No action is required on the part of any association, school, or program. Contact your Account Manager for more information.

If a program offers multiple deadlines, you can view which deadline was used for the applicant in the Applicant Specific Deadline field, available in the Details button under the Designations panel. Additionally, if the applicant received an individual deadline extension from a program, the new deadline date displays in the Applicant Specific Deadline field. This field is available in the List Manager and Export Manager.

This enhancement was originally released in 2019 Release 8 and had to be requested by the CAS. Since this field is useful for all CASs, we have immediately released is for all CASs and participating programs.

Sandbox Environment Refresh

July 20, 2020

The WebAdMIT Sandbox environment (sandbox.webadmit.org) was refreshed with current (cleansed) production data and program configurations. Any test exports, custom fields, etc., in the current sandbox were overwritten.

Updated Evaluations Report

August 16, 2020

The Evaluations Report in the Report Manager will have two columns added: Applicant First Name and Applicant Last Name. If you created a “crosswalk” from WebAdMIT data to your local data in your SIS/CRM, you will need to update this crosswalk for these newly added fields.

Sandbox Environment Refresh

August 17, 2020

The WebAdMIT Sandbox environment (sandbox.webadmit.org) will be refreshed with current (cleansed) production data and program configurations. Any test exports, custom fields, etc., in the current sandbox will be overwritten.

Shared Lookup Table Updates for Fall 2020

September 13, 2020

Many fields in the Applicant Portal contain predefined answer values that applicants can select; for example, the Country and County fields both have predefined answer values. These values are housed in shared "lookup tables" which are viewable in your CAS's Custom Export Layout (CEL) Files.

New lookup table values will appear in the Applicant Portal on September 13, 2020.

Intro to WebAdMIT: Unlocking the Tools to Manage Your Applications

September 15 – 24, 2020

Register now for our Intro to WebAdMIT virtual training course. 

Participants who are new to WebAdMIT, or are looking for a basic refresher of the software, will learn the core functionality of WebAdMIT and how to use features together maximizing efficiency with the software. Participants who successfully complete this course are eligible to earn 0.6 Continuing Education Units (CEUs).
