AAPI Program User Guide

This guide provides you with documentation, reference guides, and direct links that answer common admissions questions about the AAPI Applicant Portal and Outcomes. It also contains resources that may help you work more efficiently throughout your admissions process. If you have additional questions or need further assistance, please contact a member of your account team.

Cycle Timeframes

Applicant Portal

The Applicant Portal opens in mid-July and closes in early July. You can view the specific cycle dates, including final processing dates (e.g., last date to submit transcripts, last date to request letters of recommendation, etc.), on the AAPI Application Cycle Dates page.

Outcomes

You can view new applicants in early October.

Program Participation Requirements

APPIC requires all programs to designate two contacts at your institution who will receive all communication from APPIC and AAPI, including the application and Outcomes launch notifications.

Applicant Portal

The first three sections of the AAPI application (i.e., Personal Information, Academic History, and Supporting Information) compose the core application. They contain questions that are commonly asked of applicants across all participating programs, such as an applicant's biographic information, standardized test scores, and experiences. The fourth section of the application is Program Materials, which is customized by you through the Configuration Portal (discussed in the next section).

You can access the AAPI application and AAPI Applicant Help Center to review the applicant experience. You can also create a test application in the Applicant Portal; we recommend creating a new account and adding "test" to your name (e.g., TestJohn TestDoe).

Outcomes

Review the Outcomes Help Center for any questions related to working in Outcomes.

  • Working with the Dashboard: the Dashboard in Outcomes is the landing page where you arrive after logging in.
  • Navigating the Applications Grid: the Applications section is the central hub for viewing, editing, and processing applications to any of your programs.
  • Navigating an Application: review your applications and learn how to edit the layout of this page.
  • Working with Segments: segments are groups of applications or contacts that meet a specific set of criteria you’ve established through filters. You can use Segments to move applicants into the correct Phase.
  • Working with Phases: use Phases to organize applicants, corresponding with their current status with your institution.

The Release Notes feature new enhancements in Outcomes, in addition to upcoming training opportunities.

If an applicant selects Unlisted French Speaking Canadian or Other Foreign Institution, they must complete a new required field for the college’s country.

If you created exports to pull a college's country data, you must edit and select the new college country fields. Review the Country Field for Manually Entered Foreign Institutions release note for more information.

Academic History – Additional Graduate Program Info

The answer values for the Current Graduate Program Information question are now simplified to this format: [Degree Type] [Level] - DCT name (#) (e.g., Clinical Psy.D - Jane Doe (123)).

Additionally, the Director of Clinical Training Information questions were removed.

A new notification banner is available on the Submit Application page. It alerts applicants that they cannot submit their application until early October.

Chatbot

Liaison has partnered with Ada to offer an AI chatbot. The chatbot, nicknamed Cassie, leverages an API with CXone Expert, which hosts the CAS-specific Applicant Help Centers.

Applicants can access this chatbot once they are logged in to the application. The chatbot responds with information and links to the CAS-specific Applicant Help Center and, if needed, directs the applicant to live support with customer service.

The custom program question is now labeled Internship Program Selection in the Export Field Lists and Applications Grid filters.

DCTs can now download an Excel spreadsheet with applicant data, including:

  • Student name
  • Site's accreditation status

Summary of Doctoral Training

Students can now edit a DCT's name and email address up until their hours are verified.

The following questions were updated:

  • The "Is this student currently on probation? If Yes, please explain their status and why you currently view them as ready to apply for an internship" question was changed to "Is this student currently on probation or a performance improvement plan (e.g., learning, developmental, remediation plan, etc.)? If yes, explain their status and why you currently view them as ready for an internship. In addition, please certify that you will only permit this student to submit a Rank Order List if the probation or performance improvement plan has been fully and successfully completed."
  • The "What is the student's designated subfield of his or her doctorate in Psychology?" question was changed to "What is the designated subfield of this student's doctorate in Psychology?"
  • The "This student demonstrates the capacity to participate in supervision constructively and can modify his/her behavior in response to feedback" question was changed to "The student demonstrates the capacity to participate in supervision constructively and can modify their behavior in response to feedback."
