What steps should I take when an Admin leaves my institution?

  • Ownership of records should be updated using a data tool to transfer ownership from one user to another. This should be done BEFORE you disable the user. 

Note: Records assigned to INACTIVE users can result in errors when updating those records.​

  • Emailsbroadcasts, and campaigns will continue functioning regardless of the user who created them.
  • Schedule Report runs should be reassigned to a new, active user. Cancel future runs of the reports and reschedule them under an active user.
  • TX Print Scheduled Jobs should be rescheduled before deactivating a user.
  • Workflows should be reassigned to a new, active user. You should check these manually to ensure they are only connected to active users.
  • If the user who is being disabled is a user in FormAssemblyConga, or Informatica, you will also need to transfer the connectors to a different user.
  • Informatica Notes:
    • Update the credentials on the Secure Agent if that user's credentials are on the Secure Agent itself.
    • ​You will need to transfer the credentials within any connector that is using the credentials of the departing user.
  • Apex Jobs will need to be updated. Navigate to the Apex jobs listing in your Setup menu. You will see a view (which is customizable) that includes the user who created the job.
