Managing Engage Rooms

Creating a new Room for TargetX Engage

  1. From Advisor Center, select +
  2. If you want the room to be available to users, click the Activate Room toggle. Inactive rooms will display on a separate tab for internal users; students will see a message that the Room is currently unavailable.
  3. Select a Room Name and Location (required) in the Details tab.
  4. Friendly Name will default. Only letters, numbers, underscores, and dashes are permitted in the Friendly Name, as this is used to build the Login URL and Kiosk URL.

Note: Room Name and Location are free-form text, so use consistent naming conventions.

  1. If you are using Engage with a Site, enter the Site URL for your Engage Site, such as https://<DOMAIN NAME>/<PATH>
  2. Example: https://targetxuniversity.force.com/engage
  3. Select a Room Type. When you select a Room Type, the Reason options will default into the list.
  4. If you want an image to display in the Kiosk, enter the URL to an image of your choice.
  5. If you want to allow students to check in multiple times, check the Allow Multiple Check-Ins checkbox. Note: This setting only applies to students in the queue; it does not prevent students who have previously completed a meeting from checking in again.
  6. Add Advisors.
  7. Indicate whether you want students to be able to select a specific advisor by checking. Allow requests for advisors checked into this room.
  8. Reason for Visit values will display to students checking into a room.
  9. Enter Hours of Operation by choosing the Day(s) of the Week, and enter the hours for Open and Close. Students will not be able to check in outside of the Hours of Operation. If no Hours of Operation are added, the room will be considered 'always opened.'
  10. Configure Student Sign-In fields.
  11. In the Notifications section, indicate whether students should receive SMS alerts for activity in the room.
    • If checked, you can indicate a default Advisor Pickup SMS Message, which will send when the Advisor 'picks up' the Student for their meeting. The Advisor will be able to update this message when they opt to Pick up Student and will also have the ability to add a Meeting URL.
  12. Click the Create button to save your changes.
  13. Select Back to close the window.
 

Customizing Engage Room Types

  1. Navigate to Setup and select Object Manager.
  2. Click the Engage Room object.
  3. Select Fields & Relationships.
  4. Click the Type field.
  5. Scroll to the Values section.
  6. Add newreorder or replace the values to match your business processes.
  7. Save your changes.

Notes: 

  • When creating NEW values, use the exact text for the Display and the API Name.
  • Associated meeting reasons are set up when you create your Engage room.
