AAPI Program User Guide

This guide provides you with documentation, reference guides, and direct links that answer common admissions questions about the AAPI Applicant Portal and Admissions by Liaison. It also contains resources that may help you work more efficiently throughout your admissions process. If you have additional questions or need further assistance, please contact your Account Manager and Client Success Manager.

Cycle Timeframes

Applicant Portal

The Applicant Portal opens in mid-July and closes in late May. You can view the specific cycle dates, including final processing dates (e.g., last date to submit transcripts, last date to request letters of recommendation, etc.), in the AAPI Application Cycle Dates page.

Admissions by Liaison

You can view new applicants shortly after the new cycle opens in mid-July.

Program Participation Requirements

APPIC requires all programs to designate two contacts at your institution who will receive all communication from APPIC and AAPI, including the application and Admissions by Liaison launch notifications.

Applicant Portal

The first three sections of the AAPI application (i.e., Personal Information, Academic History, and Supporting Information) compose the core application. They contain questions that are commonly asked of applicants across all participating programs, such as an applicant's biographic information, standardized test scores, and experiences. The fourth section of the application is Program Materials, which contains custom instructions, documents, and recommendations for your program.

You can access the AAPI application and AAPI Applicant Help Center to review the applicant experience. You can also create a test application in the Applicant Portal; we recommend creating a new account and adding "test" to your name (e.g., TestJohn TestDoe).

Admissions by Liaison

Review the Admissions by Liaison Help Center for any questions related to working in Admissions by Liaison.

  • Working with the Dashboard: the Dashboard in Admissions by Liaison is the landing page where you arrive after logging in.
  • Navigating the Applications Grid: the Applications section is the central hub for viewing, editing, and processing applications to any of your programs.
  • Navigating an Application: review your applications and learn how to edit the layout of this page.
  • Working with Segments: segments are groups of applications or contacts that meet a specific set of criteria you’ve established through filters.
  • Working with Phases: use Phases to organize applicants, corresponding with their current status with your institution.

The Release Notes feature new enhancements in the Applicant Portal, in addition to upcoming training opportunities.

Personal Information – Biographic Information and Contact Information

Liaison utilizes the International Organization for Standardization (ISO) for a variety of standard "lookup" values, such as country names, states, etc. By default, the Country drop-down lists Taiwan as "Taiwan (Province of China)." This enhancement allows CASs to use an alternate name for Taiwan.

Note that this enhancement does not affect WebAdMIT or Admissions by Liaison, which will continue to display the ISO standard lookup value, Taiwan (Province of China).

The question "Are you currently on a performance improvement plan (e.g., learning, developmental, remediation plan, etc.)?" was added to the Professional Conduct section. Several other questions were also rephrased for clarity.

Reapplicant Page

Applicants who created an account in the previous AAPI application can choose to carry forward parts of their application into the new cycle.

Add Program

Post-Match Vacancy Service (PMVS) programs are now available on the Add Program page and PMVS users can submit applications via AAPI and Time2Track.

Applicants can now search by APPIC Member Number on the Add Program page. 

Additionally, application deadlines now pull directly from the AAPI Directory and a direct link to each program page is available on each program's Program Details page.

The Optional Document types were renamed to Supplemental Document (Assessment Report or Treatment Summary) to reduce confusion. Additionally, applicants can now upload only two Optional Documents instead of four.

Time2Track Integration

Reapplicants can click a link in the AAPI application to initiate a link between their Time2Track account and AAPI application. Once a reapplicant enters their hours in Time2Track and has their Director of Clinical Training (DCT) verify those hours, the applicant can click a link in Time2Track to finalize the information link between the accounts. Applicants cannot submit their application until their hours are verified and their Time2Track information is linked with the AAPI application.

"Please note that for the purposes of internship applications, "good standing" encompasses both academic standing and clinical performance. Accordingly, a student who is currently on a performance improvement plan (e.g., learning, developmental, remediation plan, etc.) would not be considered to be in good standing in terms of internship application readiness."
