CAS Application Enhancements

Liaison’s suite of portals work together to help you collect and manage applications. The CAS application, also referred to as the Applicant Portal, is the system where applicants find and apply to your programs. You receive these applications in WebAdMIT or Liaison Outcomes, where you perform your review processes. The appearance of your program and your requirements are customized in the Configuration Portal, where you establish the program-specific elements that your applicants will interact with. Additionally, your program may use one or more of the following tools and platforms:

  • Analytics by Liaison and Othot: advanced analytics solutions and data reporting tools.
  • API: a data integration tool.
  • Applicant Gateway: a platform for applicants who have already submitted their CAS application to complete and upload additional materials requested by their programs.
  • Enrollment Marketing and TargetX: customer relationship management (CRM) systems for student lifecycle management.
  • Letters by Liaison: a platform for evaluators to submit their letters of recommendation.
  • SlideRoom: a platform for collecting digital portfolios.
  • Time2Track: a platform for tracking, verifying, and managing experiences.
    Annual Spring 2023 Lookup Updates

Many fields in the Applicant Portal contain predefined answer values that applicants can select; for example, the Country and County fields both have predefined answer values. These values are housed in shared "lookup tables." Periodically, we update these tables to include additional response options.

The new lookup values will be released in two phases: the first phase was released in Release 2 and the second phase is released in Release 3. The second phase of the new lookup table values are now available in the Applicant Portal.

These lookup table updates impact the following portals, some of which you may use. If you created a "crosswalk" from our portals to your local data in your SIS/CRM, you may need to update this crosswalk for the newly added options. Applicant Portal Enhancements

    Name Label Changes for Clarity and Inclusivity

This enhancement is automatically available for use by all CASs and participating programs. No action is required on the part of any association, school, or program. Contact your Account Manager for more information.

Several fields that collect applicant name information have been updated in the Personal Information, account creation, and My Profile pages:

  • The Alternate Name question block is renamed Former Name, and the fields are updated to Former First Name, Former Middle Name, Former Last Name, and Nickname (if applicable).
  • The Preferred Name question block is renamed My Name, and the fields are updated to My First Name and My Middle Name.
  • The First or Given Name field in the account creation and My Profile pages is renamed Legal First Name.
  • The Display Name field was removed from the account creation and My Profile pages.

This enhancement better supports inclusivity and clarity when collecting this information from applicants.

Note that the CAS API and WebAdMIT are not impacted by this change; you will continue to view the previous names for these fields.

CAS API Enhancements

The following enhancements are automatically available to all CASs and participating programs using the CAS API. No action is required on the part of any association, school, or program. If you have any questions about these features, contact your Account Manager or support.

    Increased Reliability for CAS API Subscriptions Using SFTP Destination Type

The CAS Subscription APIs have been enhanced to provide better reliability for subscriptions using the SFTP destination type. This enhancement introduces a new grouping mechanism to de-duplicate similar events, which reduces the chances of SFTP server errors that interfere with data and document delivery.

    New Gender JSON Node

In Release 2, the CAS API Application response now includes a new Gender JSON node under the BiographicInfo node (i.e., persInfo.biogInfo.gend.gender) that captures all the CAS-specific gender/sex options. For more information, review the Application resource in the API technical documentation.

If you currently use the CAS to Slate integration, we recommend you update your data integration and change the sex mapping from the previously-used field (persInfo.biogInfo.prof.gender) to the new CAS- and cycle-aware field (persInfo.biogInfo.gend.gender). While the previous field will remain in the payload, the data populating it is applicant-scoped instead of application-scoped and may not accurately reflect the options available in your CAS. The specific prompt value mappings vary from CAS to CAS; refer to your CAS for the custom gender answer value.

TargetX Enhancements

  • A new Hero Image Mobile (Static Res. Name) field has been added to the Community Theme Object. This field specifies a Hero image for mobile so that images will resize properly on mobile devices.   • Appointment Scheduler supports using a custom field for appointment scheduling to funnel students to the correct staff person. For more information, see Configuring Appointment Scheduler Settings.
  • Contact matching will now run without sharing so TX Forms can match on records that aren’t shared with the user.
  • A new Custom Appointment Filter Choice field has been added to the Event Supplement Object. You can use this custom field to restrict appointment availability using a URL parameter, so you aren’t limited to which fields you can use to restrict options.     Payment Connector

  • The Converge Payment Connector has been refactored to use the new Hosted Payments flow. For more information, see Configuring Payment Connectors.
  • The following fields have been added to the Payment Connector Object as part of the Converge Hosted Payments setup: Converge Partner App ID, Converge Vendor ID, Post Verify URL, and Postback Verify URL.   • You can now schedule bulk messages to be sent on a specific day and time so you can more easily centralize and manage communication. For more information, see Sending a Bulk SMS.
    TargetX Resolved Defects

Applicant Dashboard (Version 2304.0)

  • (CL-241) The Hero image in Applicant Dashboard will now resize on mobile devices. Previously, the Hero image was not resizing properly.
  • (CL-287) The Hero image on the Communities sign-in page will now resize on mobile devices. Previously, the Hero image was not resizing properly.

Application Review (*No package update needed*)

  • (CL-1862) The Application Review permission definition now includes permissions for Application Cache. Previously, the Review PDF would not load due to a "Visualforce Remoting exception" error.

Email (Version 2304.5)

  • (CL-1793) The legacy email builder no longer includes calls to deprecated API versions. Previously, the legacy builder contained calls to deprecated API versions.

Engage (Version 2304.0)

  • (CL-1860) The Engage (Site User) permission definition now includes permissions for Events. Previously, users encountered an error when attempting to check in new students with the remote login site URL.

Events (Version 2304.3)

  • (CL-1856) Appointment confirmation emails will include the Virtual meeting link for the selected Staff member. Previously, confirmation emails used the Virtual meeting link for the user who created the appointment.
  • (CL-1889) Appointment Scheduler will search availability for multiple modalities. Previously, Staff members with multiple modalities were not displaying properly.
  • (PD-5542) Appointment Scheduler will show all available time slots for staff when a user selects all modality options for location. Previously, the system would only display available time slots for In-Person availability.

TX Forms (Base Version 2304.6)

  • (CL-1879) File Uploads Labels, which are very long, will wrap and move surrounding fields down. Previously, long labels for File Uploads caused the text to overlap other input fields.
  • (CL-1884) TX Forms can be included on websites using the form’s embed code. Previously, embedded forms using iframe would not display properly.
  • (PD-5578) Forms with File Uploads will create a child object record if only one field is filled out. Previously, form File Uploads were not creating child object records if only one field was completed.

Universal Advisor Portal Enhancements

    Updated Advisor Documents Report

This enhancement is automatically available for use by all CASs that collect final decisions. No action is required on the part of any association, school, or program. Contact your Account Manager for more information.

You can now access the Advisor Documents report that contains final decision data for the 2021-2022 cycle. Only applicants who authorize releasing their data to advisors at their primary college attended are included in this report.

WebAdMIT Enhancements

    PDF Manager’s Last Printed Date Available on the Applicant Details Page

Through the PDF Manager, you can record the Document Last Printed Date, which logs the last date you downloaded a batch of documents. You can log the Document Last Printed Date for the following document types:

  • Electronically Submitted Evaluations
  • Foreign Evaluations
  • Full Application PDF
  • Transcripts

With this enhancement, a new Last Printed Date column is available in the Documents and Evaluations panels on the Applicant Details page, and it records the most recent date a document was downloaded through a PDF Manager job. This enhancement allows you to more easily view this data in WebAdMIT. Previously, this date was not visible or accessible in WebAdMIT.

    Improved State Drop-down Display

This enhancement is automatically available for use by all CASs and participating programs. No action is required on the part of any association, school, or program. Contact your Account Manager for more information.

The State drop-down now displays the country name next to the state name (e.g., Florida (United States)). This enhancement reduces confusion when the same state name exists in different countries. The State drop-down is located in the:

This change does not impact the Export Manager; the State fields will continue to export with only the state name. To confirm the state’s location, you may want to export a Country field too.

    Standardized Test Filters Available for TOEFL and Select Dental Exams

This enhancement is automatically available for use by all CASs and participating programs that collect these standardized tests. No action is required on the part of any association, school, or program. Contact your Account Manager for more information.

The Export Manager and Scoring features currently allow you to add filters to select standardized tests; if the applicant took a test multiple times, you can apply some or all of these filters:

  • Average of all of a test's scores
  • Highest Overall Result from all of a test's scores
  • Maximum value from all of a test's scores
  • Most Recent Result from all of a test's scores

With this enhancement, these filter options are now available (where applicable) in the List Manager, Export Manager, and Scoring for the following tests:

  • ADAT (Applicant Reported and Official)
  • INDBE (Official)
  • NBDE Part I (Applicant Reported and Official)
  • NBDE Part II (Applicant Reported and Official)
  • TOEFL (Applicant Reported and Official)

This enhancement allows you to manage further how WebAdMIT addresses multiple results for these standardized tests.

    Toolbar Renamed Menu Bar

The toolbar (i.e., the left column that contains links to searches, exports, features, and help material in WebAdMIT) is renamed Menu Bar. The new name more closely reflects the functionality within it. This new label appears when you pin templates to the Menu Bar from the List Manager, Export Manager, and Report Manager.

    WebAdMIT Migration to the Cloud

Sandbox Environment Refresh

The WebAdMIT Sandbox environment (sandbox.webadmit.org) was refreshed with current (cleansed) production data and program configurations. Any test exports, custom fields, etc., in the current sandbox were overwritten.
