Events Upgrade

Step 1: Record Your Current Package Version Edit section

​Prior to upgrading, you'll need to find and record your currently installed version:

  1. Navigate to Setup > Installed Packages.
  2. Search for TargetX_Eventsb.
  3. Record the version number.
    • If your current version is 2412.2, you're using the most recent package and do not need to continue to Step 2. Instead, proceed to the Permission Scanner Upgrade.

Step 2: Install the Upgraded Package

This is your "ending version" (i.e., the version you want to upgrade to). You can select any version that's higher than your current package version. Packages are cumulative, meaning the upgraded package you select includes all features from previous packages. For example, if you're upgrading from Package A to Package D, that package includes all features from Packages B and C. 

  1. Navigate to TargetX Recruitment Suite: Admin Group to select and obtain the upgraded package. 
  2. Choose "Install for Admins Only.
    • Remember to update the appropriate Profiles and Permission Sets if additional security is required.

Step 3 - Complete Additional Configurations

After installing the upgraded package (i.e., the ending version), you must complete additional configuration steps to ensure all functionality is available. Use the following chart to complete the additional configurations. Identify your starting package and your ending package, then complete all configurations steps in between. For example, if your starting version is xxxx.1 and you're upgrading to xxxx.4, you'll need to complete all configuration steps for xxxx.2, xxxx.3, and xxxx.4.

Starting Version

This is the version you currently have installed, as Identified in Step 1.

Ending Version

This is the upgrade you are installing, as selected in Step 2.  

Configuration Steps by Release

These are the steps you need to complete, from the starting version to the ending version. For example, if your starting version is 2205.0 (May '22) and you're upgrading to 2208.6 (August '22), you'll need to complete the configuration steps for 2206.3 (June '22), 2207.0 (July '22), and 2208.6 (August '22).

Item 1: Update new Setting (optional)

 If you would like for URL parameters to be maintained while a student navigates the Appointment Scheduler, enable the new setting Maintain URL Parameters:

  1. Navigate to Event Settings.
  2. Locate the Appointment Scheduler Settings section.
  3. Check the setting Maintain URL Parameters if you want URL parameters to be maintained.

Item 2: Upgrade Complete

  1. No further configuration is required.

Item 1: Updates for School Picker (Form Assembly forms ONLY)

In this step, if you are using Form Assembly forms, you will verify if you are using Record Type filtering for Account in sharing settings and make necessary updates:

  1. Navigate to Setup and search for Sharing Settings.
  2. Under Manage sharing settings for, select Account.
  3. There will be a list of Sharing Settings; look for any Sharing Settings that share Accounts with Guest Site Users related to Events.
  4. Review the criteria to see if there is Account: Record Type = ...
  5. If there is no Record Type criteria, no updates are needed.
  6. If there is Record Type criteria, copy the Record Type Name.
  7. Navigate to the Events Settings page.
  8. Edit the Default setting.
  9. In the Event Forms Options section, there is a new field called School Picker Record Type.
  10. Select the Record Type Names in this field. The School Picker Record Type field restricts the Form Assembly school picker to only show accounts matching the selected record types.
  11. Save your changes.
  12. Repeat 8-11 for any settings other than Default in Events Settings.

Item 2: Regenerate Permission Sets

Permission sets for Event Registration (Student-facing) should be regenerated to use the new Event Form visualforce page (TargetX_Eventsb.EventsForms):

  1. Permission sets for Event Registration (Student-facing) should be regenerated to use the new Event Form visualforce page TargetX_Eventsb.EventsForms.
  2. Navigate to the Permission Scanner tab.
  3. Select the Product/Feature = Event Registration (Student-facing) and Version = the version you are upgrading to. 
  4. Select the checkbox for Use @Future to generate Permission Set if you want to have the process run in the background. 
  5. Click the Generate Permission Set button.

Item 3:  Update Events Site visualforce pages

In this step, you’ll need to update your Events site visualforce pages:

  1. Navigate to Setup and search for Sites, click Sites.
  2. Click the Site Label for your Events site.
  3. Click Public Access Settings.
  4. In the Site Visualforce Pages section, click Edit.
  5. In Available Visualforce Pages select the TargetX_Eventsb.EventsForms page and Add it to Enabled Visualforce Pages.
  6. Save your changes.

Item 4: Upgrade Complete

  1. No further configuration is required. 
2402.4 2403.10 (March '24)

Item 1: Update CSS for ALL EVENTS and MY EVENTS font (optional)

The March '24 release included an update to the font size for ALL EVENTS and MY EVENTS labels on the Public Events site. You should skip this step if upgrading to the May '24 or higher version, as this issue only exists in the March '24 version.

You can change these font sizes by referencing the following:

Permission sets for Appointment/Interviews (Student-facing) should be regenerated to use the updated permissions:

  1. Navigate to the Permission Scanner tab.
  2. Select the Product/Feature = Appointment/Interviews (Student-facing) and Version = the version you are upgrading to. 
  3. Select the checkbox for Use @Future to generate Permission Set if you want to have the process run in the background. 
  4. Click the Generate Permission Set button.

For Student-facing profiles, you will need to manually add Read access to the Community Theme and User objects:

  1. Navigate to Setup and search for Profiles.
  2. Click the Profile for your Student-facing Appointment Users.
  3. Click Object Settings.
  4. Click the Community Theme object and click the Edit button.
  5. Under Object Permissions, choose Read.
  6. Under Field Permissions, assign Read Access to the following fields:
  • Appointments Desktop Header Logo
  • Appointments Mobile Header Logo
  • Appointments Sidebar Logo
  1. Click Object Settings.
  2. Click the Users object, click the Edit button.
  3. Under Object Permissions, choose Read.
  4. Under Field Permissions, assign Read Access to the following field:
  • Appointment Update Email
  1. Save your changes.

You may proceed to the Permission Scanner Upgrade.
