Cross-Portal Enhancements

Liaison's suite of portals work together to help you collect and manage applications. The CAS application, also referred to as the CAS Applicant Portal, is the system where applicants find and apply to your programs. You receive these applications in WebAdMIT or Liaison Outcomes, where you perform your review processes. The appearance of your program and your requirements are customized in the CAS Configuration Portal, where you establish the program-specific elements that your applicants will interact with. Additionally, your program may use one or more of the following tools and platforms:

  • API: a data integration tool.
  • CAS Applicant Gateway: a platform for applicants who have already submitted their CAS application to complete and upload additional materials requested by their programs.
  • CAS Liaison Analytics and Othot: advanced analytics solutions and data reporting tools.
  • CAS Liaison Letters: a platform for evaluators to submit their letters of recommendation.
  • Enrollment Marketing and TargetX: customer relationship management (CRM) systems for student lifecycle management.
  • Living Profile: a platform where students can connect their academic pursuits with their career aspirations.
  • SlideRoom: a platform for collecting digital portfolios.
  • Time2Track: a platform for tracking, verifying, and managing experiences.

Annual Fall Lookup Updates

This enhancement is automatically available for use by all CASs and participating programs. No action is required on the part of any association, school, or program. Contact a member of your account team for more information.

Many fields in the Applicant Portal contain predefined answer values that applicants can select; for example, the Country and County fields both have predefined answer values. These values are housed in shared "lookup tables." Periodically, we update these tables to include additional response options.

The new lookup table values include updates to colleges, degrees, languages, and majors. Review the Shared Lookup Table Updates page for a full list of updates. Note that the Master High School List will be updated in the next release.

These lookup table updates impact the following portals, some of which you may use. If you created a "crosswalk" from our portals to your local data in your SIS/CRM, you may need to update this crosswalk for the newly-added options. For guidance on the optimal implementation of the new values, review the Shared Lookup Table Updates page.

EMP Enhancements

The following enhancements are automatically available for EMP, and no action is required on the part of any school or program. If you have any questions about these features, contact your Client Success Manager or support.

Email Service Provider Spike Limits

To ensure reliable delivery and avoid emails being flagged as spam, EMP now staggers the sending of large email distributions. Email providers (e.g., Gmail, Yahoo, Outlook) may block emails if too many are sent at once. EMP delivers messages with more than 5,000 recipients at a controlled rate of 5,000 per minute (for example, 100,000 emails will take about 20 minutes to send).

Fully Redesigned Application Review Experience

This enhancement is automatically available for use by all CASs and participating programs. No action is required on the part of any association, school, or program. Contact a member of your account team for more information.

Based on user feedback, we're excited to introduce a new application review experience built for efficiency, clarity, and ease of use.

This update includes a number of features designed to help you navigate and evaluate applications faster and more intuitively:

  • A new Applicant Header that provides quick access to contact details and other key information, fully customizable to suit your review priorities.
  • An interactive timeline with scrolling and zooming capabilities to make reviewing an applicant’s academic history easier than ever.
  • A modernized navigation menu with enhanced search, bookmarks, and easy section-to-section navigation.
  • A collapsible sidebar, allowing you to complete review forms, add comments, or see key information while navigating the application.
Enhanced Archived Application Management

This enhancement is automatically available for use by all CASs and participating programs. No action is required on the part of any association, school, or program. Contact a member of your account team for more information.

After a cycle ends, you can keep your applications organized by archiving past programs. With this enhancement, you can now quickly toggle between current applications, archived applications, or all applications together from the Applications Grid. This provides a more streamlined way to access historical data when needed. Archived applications remain hidden from your regular tasks, but are still available to include in reports and exports without additional steps.

Enhanced Applications Grid Functionality

This enhancement is automatically available for use by all CASs and participating programs. No action is required on the part of any association, school, or program. Contact a member of your account team for more information.

Several enhancements have been made to the Applications Grid functionality:

  • Resizable grid columns: you can now click and drag the column headers on the Application Grid to improve visibility.
  • First column can be pinned: you can now "pin" the first column of the Applications Grid, causing it to stay in place while you scroll to the right. To enable this, go to the Application Grid settings, click Customize Columns, and check Pin First Column.
  • "Many fields" are available as column headers: "many fields" are fields that allow applicants to enter several answers for the same question, such as colleges attended, test scores, or experiences. Previously, these types of fields were not available to add as headers in the Applications Grid. With this enhancement, those fields can now be used as headers, and the grid adjusts when several values apply to the applicant.

Any customizations you make to the grid, such as column widths or selections, are saved for future sessions.

Suggested Values for Building Segments

This enhancement is automatically available for use by all CASs and participating programs. No action is required on the part of any association, school, or program. Contact a member of your account team for more information.

When configuring Application Properties or Application Forms, you can now enable Suggested Values for text fields. With this enabled, the field you are configuring becomes easier to use in segments and filters, as a picklist appears when you query using the is exactly operator.

For example, if one of your forms has a question asking the applicant to enter their course titles, with Suggested Values enabled, Outcomes will keep a record of all values for each applicant. Then, when you build a segment for that field using the is exactly operator, the Value field will suggest all the available options with a type-ahead feature, allowing you to select the appropriate value.

The Suggested Values feature is best enabled on text fields with values that will be repeated, rather than highly variable fields. To request that Suggested Values be enabled for one of your text fields, contact your account team.

Outcomes Primary Font Refreshed

This enhancement is automatically available for use by all CASs and participating programs. No action is required on the part of any association, school, or program. Contact a member of your account team for more information.

For enhanced accessibility and special character handling, the primary font in Outcomes has been updated.

Othot Enhancements

Note that these enhancements are planned to be released on September 13, 2025.

General Updates
  • Improved the efficiency and reliability in retention modeling processes.
  • Enhanced the AI engine, including:
    • Better natural language–to–query functionality.
    • Faster and more reliable performance.
    • Improvements that reduce the time to complete processing jobs. 
    • Better engine management.
  • Improved the Forecast dashboard through added functionality to incorporate current-year trends. This provides more accurate and flexible forecasting.
  • Updated the AI-driven individual summary feature: summaries are no longer generated for individuals who have reached a terminal end node, since no further action can be taken. Instead, the terminal status and relevant phase are noted.
  • Improved color mapping in sensitivity analyses to align with the dynamic range of the data.
  • Othot is now compatible with SSO IDs that include spaces.
Core Bug Fixes

Resolved:

    • A calculation error in incremental tuition sensitivity values that could result in doubled output values.
    • An issue that allowed matrix production to be misaligned with lifecycle phases.
    • An issue where an existing import did not display an alert message.
    • An issue that caused unwanted recalculation of the predict set in sensitivity analyses when no user changes were made. The predict set now updates only when grid settings are applied.
    • An issue in What-If reports that prevented calculations on variables entered as strings.
    • An issue that prevented viewing percent cost of attendance as an average in sensitivity analyses.
    • An issue where variable picklist values disappeared when editing the chosen set.
    • An issue in divisions using delta service that prevented rerunning predictions on the same dataset.
    • An issue where row segmentation filters were not properly limited.
    • An issue in Strategize exports for travel companions for enrollment clients.
    • An issue in pivot creation that could duplicate a lifecycle variable.
    • An issue with signal dashboard email links that blocked access for users who were not logged in. Users should now have a smoother login experience.
    • An issue for clients with large volumes of historical data where minor impacts were not displayed in waterfall charts.

ResidencyCAS Program Portal Enhancements

Enhanced Applications Grid Functionality

You now have more control over how information displays in the grid: 

  • Add multi-answer fields as columns: fields that may have multiple values can now be added to the grid, and all values are displayed. This is especially helpful for programs that want to see things like colleges attended or reviewers assigned to applications. 
  • Pin the first column: keep the first column fixed while scrolling horizontally. 
  • Resize columns: click and drag headers to adjust column width.

Segments Now Include Picklists

When building segments with the is exactly operator, you’ll now see a type-ahead picklist of available values. For example, when segmenting by medical school, experiences, or COMLEX/USMLE exams, a list of applicant-entered values will appear as you type. This reduces errors from manual entry and makes it easier to build accurate segments.

ResidencyCAS Interview Portal Enhancements

Applicants Now Access the Interview Portal Directly from the ResidencyCAS Application

Starting on October 1, 2025, applicants will access the Interview Portal directly from the ResidencyCAS application. A new button in the left navigation menu takes them straight into the portal:

Previously, applicants used their ResidencyCAS credentials to log in to the Interview Portal directly. This update streamlines the process for them.

Action needed:
If you're reusing last cycle's interview invitation email template, review and update any login instructions for applicants. As a best practice, you can share the Participating in Interviews guide with them.

Download Interviews to Your Calendar

Applicants and interviewers can now download scheduled interviews and meetings from the Interview Portal to their personal calendars, such as Google or Outlook. From the dashboard, click the Download icon to generate a single .ics file containing all scheduled events at that point in time.

Tip: to prevent duplicate calendar entries, download the file to your personal calendar after all interviews are scheduled.

Control Email Notifications for Staff

Programs can now choose which staff members receive automated emails about canceled interviews and declined invitations. You can access Notification Settings in the Program Settings area.

Transfer Planner Enhancements

The following enhancements are now available in CSU Transfer Planner Student and Campus (i.e., University and Community College) Portals. If you have any questions about these features, contact a member of your account team or support.

Student & Campus Portals: Cal-GETC General Education Requirements

Beginning in Fall 2025, the General Education (GE) requirements will change from the existing GE pattern. This change stems from the passage of California Assembly Bill 928 (AB 928), the Student Transfer Achievement Reform (STAR) Act of 2021, which mandates a singular lower-division GE pattern, known as the California General Education Transfer Curriculum (Cal-GETC), for students transferring from the California Community Colleges to the CSU or the University of California. Effective Fall 2025, Cal-GETC will become the only GE transfer pattern offered by the California Community Colleges.

Student Portal

The General Education page now has two layouts: one for existing students using the existing GE pattern, and one for new students using the new Cal-GETC pattern. If applicable, students can use a view selector to switch between these views.

The new Cal-GETC General Education page includes several changes, such as:

  • Areas A-F have been renamed Areas 1-6.
  • Mathematics has its own area, English Composition completion requirements have been updated, and the Lifelong Learning and Self-Development area has been removed.
  • The GE total units have decreased from 39 to 34.
  • The Dashboard, Program Progress, FAQ panels, milestone graphics, and program requirement text have been updated to reflect the new Cal-GETC naming and requirements.

Campus Portals

Campus users will see the applicable areas and coursework based on whether a student completes the current General Education page or the new Cal-GETC General Education page. Additionally, you can use the left arrows to minimize the area and course list.

If you use the following GE requirements in your segments or other Transfer Planner features, you will want to now include the corresponding Cal-GETC requirements:

  • A2 Complete (existing GE pattern) corresponds with 1A Complete (Cal-GETC pattern)
  • B4 Complete (existing GE pattern) corresponds with 2 Complete (Cal-GETC pattern)
  • A2/B4 Complete (existing GE pattern) corresponds with 1A/2 Complete (Cal-GETC pattern)

Sandbox Environment Refresh

September 4, 2025

The WebAdMIT Sandbox environment (uat.webadmit.org) was refreshed with current (cleansed) production data and program configurations. Any test exports, custom fields, etc., in the current sandbox were overwritten.

The next sandbox environment refresh is scheduled for October 2, 2025.

Shared Lookup Table Updates for Spring 2026

Many fields in the Applicant Portal contain predefined answer values that applicants can select; for example, the Country and County fields both have predefined answer values. These values are housed in shared "lookup tables" which are viewable in your CAS's/UniCAS's data dictionary file.

Lookup table change requests can be sent to a member of your account team, who will compile and review these requests. The last date to submit lookup table update requests is October 31, 2025.

New lookup table values will appear in the CAS Applicant Portal in March 2026 (subject to change).
