Cross-Portal Enhancements

Liaison's suite of portals work together to help you collect and manage applications. The CAS application, also referred to as the CAS Applicant Portal, is the system where applicants find and apply to your programs. You receive these applications in WebAdMIT or Liaison Outcomes, where you perform your review processes. The appearance of your program and your requirements are customized in the CAS Configuration Portal, where you establish the program-specific elements that your applicants will interact with. Additionally, your program may use one or more of the following tools and platforms:

  • API: a data integration tool.
  • CAS Applicant Gateway: a platform for applicants who have already submitted their CAS application to complete and upload additional materials requested by their programs.
  • CAS Liaison Analytics and Othot: advanced analytics solutions and data reporting tools.
  • CAS Liaison Letters: a platform for evaluators to submit their letters of recommendation.
  • Enrollment Marketing and TargetX: customer relationship management (CRM) systems for student lifecycle management.
  • Living Profile: a platform where students can connect their academic pursuits with their career aspirations.
  • SlideRoom: a platform for collecting digital portfolios.
  • Time2Track: a platform for tracking, verifying, and managing experiences.

Recommendation Questions with Multi-Select Answers and Comments Supported in CASs Using WebAdMIT

For CASs using WebAdMIT, this enhancement must be approved by the CAS association or UniCAS client for use in the next cycle. If activated, this enhancement will be available for all participating programs in the next cycle. CAS association and UniCAS clients: contact a member of your account team for more information or to enable this feature.

In January 2024, Liaison Letters supported creating recommendation questions with multi-select answers and allowed recommenders to add comments on multi-select answers for CASs using Liaison Outcomes. With this enhancement, CASs using WebAdMIT can now use these features. This allows any CAS to use the full functionality of question types in Liaison Letters.

Recommenders can select multiple answers for recommendation questions and add comments.

You can access all multi-select answers and comments on the Applicant Details page and the Evaluations report in the Report Manager. If you have multiple answers and comments in the report, the answers are separated by the pipe (|) delimiter in the same cell.

CAS Applicant Portal Enhancements

Foreign Evaluation Requirement Status Updated in Check Status Tab

This enhancement is automatically available for use by all CASs that process CAS-level foreign evaluations. No action is required on the part of any association, school, or program. Contact a member of your account team for more information.

Previously, for CASs that set their foreign evaluation requirement at the CAS-level and accept foreign evaluations but do not require them for applicants to move into the Complete application status, the transcript status was Not Arrived on the Check Status tab. With this enhancement, the transcript status is renamed to Check Program Requirements. This encourages applicants to confirm if their programs require foreign evaluations; if they do, applicants can still request their foreign evaluations through the CAS and have them shared with all their programs.

Updated WES Logo and Link

This enhancement is automatically available for use by all CASs that have an electronic WES integration. No action is required on the part of any association, school, or program. Contact a member of your account team for more information.

CASs can partner with World Education Services (WES) to receive electronic foreign evaluations. Applicants can then request their WES evaluations within the application. With this enhancement, the WES logo and website link to request their evaluation have been updated to reflect WES's current branding.

CAS Configuration Portal Enhancements

Improved Editing and Adding Answer Sets to Conditional Answer Options Rule

This enhancement is automatically available for use by all CASs and participating programs. No action is required on the part of any association, school, or program. Contact a member of your account team for more information.

When configuring Conditional Answer Options rules, you can now add new answer sets and make edits to existing answer sets in the same session by clicking the new Apply button when saving a new answer set. Previously, if you made these changes in the same session, your new answer set was deleted. This enhancement ensures you have data accuracy in the question change workflow.

ResidencyCAS Interview Portal Enhancements

New Setting to Hide Interviewer and Room Names

You can now control whether applicants can see the interviewer and interview room names. When creating a standard session, a new Show Full Session Details option is disabled by default. When disabled, applicants won't see the interviewer or interview room names at any time. If enabled, they'll see this information as soon as the session becomes visible to them. Previously, applicants could always see these details by default.

Group Interviews Now Supported

Programs can now conduct group interviews using a new room type: the Group Interview Room. This option appears in the Applicant Distribution section when you create a session. Choose how many applicants should be in each group – the system will automatically assign them. After the schedule is generated, you can adjust group assignments as needed.

Note that the Group Interview Room is different from Applicant Groups. The Group Interview Room allows multiple applicants to be interviewed together in the same room. In contrast, Applicant Groups are used to move applicants through the interview day as a cohort.

Improved Waitlist Management

Programs can now use two types of waitlists in the Interview Portal, depending on when and how they want to manage interview availability. Both help manage interview capacity while keeping applicants informed.

Initial Waitlist

This is a status-based option that remains unchanged from the previous cycle. Programs can place applicants in the Waitlist status. When applicants log in to the Interview Portal, they'll see this status and can take no action. If you decide to invite the applicant later, you can update their status to Invited & Ready for Scheduling and notify them that they are invited to interview, at which point they can select from available sessions.

Post-Invitation Waitlist

We've introduced a new waitlist feature that adds automation to the scheduling process. This option only applies after an applicant has received and accepted your invitation.

Here's how it works:

  • Previously, when an applicant accepted your invitation, they were prompted to select first and second choice options. While they could see all sessions – including those that were already full – they could only select from sessions with openings.
  • Now, when an applicant accepts your invitation, they'll only see open sessions from which to select their first choice. Once they've chosen their preferred session, they'll see all other sessions (including full ones) and can add themselves to the waitlist for any of them.
  • If a spot opens, how applicants are notified depends on your selected waitlist type. Programs can choose between:
    • First-Come Waitlist: when a spot opens, all waitlisted applicants are notified. The first to respond gets the spot.
    • Sequential Waitlist: applicants are notified one at a time in the order they joined the waitlist. If someone doesn't respond within the time limit you set (e.g., 24 hours), they move to the bottom of the list, and the next person is notified.
Enhanced Video Quality in the Interview Portal

We've upgraded the Interview Portal's built-in video to use Zoom technology, offering more stable, higher-quality audio and video. If preferred, programs can still add their own external video links (e.g., Teams, GoToMeeting, or Zoom) to interview or meeting rooms.

ResidencyCAS Medical School Portal Enhancements

New Applicant Question: Intent to Apply

We've added a new question to the ResidencyCAS application: What best describes your plan for this application cycle? Applicants can indicate whether they're applying in the current cycle or preparing to apply in the future. Their response now appears in the Medical School Portal under a new CAS Custom Questions panel on the Applicant Details page. This helps medical schools quickly understand each applicant's intent. The data is also available for use in Lists and Exports.

Time2Track Enhancements

The following enhancements are automatically available for Time2Track (unless otherwise noted), and no action is required on the part of any association, school, or program. If you have any questions about these features, contact your Account Manager or customer service.

Increased Password Strength Requirements

Starting July 17, password requirements were updated to better align with security best practices:

  • Minimum of 8 characters
  • At least one uppercase letter
  • At least one lowercase letter
  • At least one number
  • At least one special character

If your current password meets these requirements, no action is needed.

If your current password does not meet these requirements, you must update it. After you update your password, you'll receive an email confirmation.

Enhancements for AAPI 2025-2026 Cycle

For the AAPI 2025-2026 cycle, which launched on July 7, the following changes have been made:

Student View

  • On the Time2Track AAPI Dashboard, a new confirmation message lists the date and time the applicant's DCT verification and practicum hours were successfully submitted to AAPI.
  • The Adult Assessment Instruments and Child & Adolescent Assessment Instruments instructions were updated.
  • The Theoretical Orientation section of the Additional Information About Practicum Experiences section was updated.

Student View & DCT View

  • The Practicum Hours Completion Date was updated to October 1, 2025.
  • The Exam Completion Date was updated to February 1, 2026.
  • The Coursework Completion Date was updated to June 30, 2026.
Trainees Can No Longer Retract and Delete Approved or Rejected Approval Requests

Previously, when a trainee's supervisor approved or rejected an approval submission, trainees could select Retract and Delete this Approval Request. With this enhancement, trainees only see this action option for approval requests with a Submitted status.

With this change, a full history of approval submissions is available to all users, maintaining the integrity of the approval process.

Transfer Planner Enhancements

The following enhancements are now available in CSU Transfer Planner Student and Campus (i.e., University and Community College) Portals. If you have any questions about these features, contact a member of your account team or support.

Student Portal: STEM Indicator

To more easily identify STEM programs, a new STEM indicator is available on the Research Program page. This indicator also appears on the program cards and the program details window.

Student & Campus Portals: Career Explorer

Starting on July 29, the Student Portal has a new Career Explorer section that can help guide students into careers applicable to their major of interest. The Career Explorer includes a summary of the career, its skill sets and salary information, the career outlook, and suggested applicable CSU majors to pursue in relation to this career.

Within the Campus Portals, you can view a student's saved careers on the Student Summary view under Careers of Interest.

Student & Campus Portals: Last High School Attended Section

In the Student Portal, a new High School Attended section is available, where students can identify their last high school attended and graduation status. This gives you more data around a student's educational history.

In the Campus Portals, you can view this high school information on the Student Summary view under High School Attended.

Student & University Portals: Updated TSP Questionnaire

In the Student Portal, the TSP (Transfer Success Pathway) Questionnaire, where students can learn if they qualify for TSP, has been updated with new cycle questions and a more streamlined question flow. For example, some questions now show conditionally, so students are guided through additional questions based on their answers to previous ones.

In the University Portal, you can see the new questions and student answers on the Student Summary view under TSP Questionnaire.

Campus Portals: Updated Inactive Student Data

Students who no longer have active followed programs at a campus are classified as inactive. Previously, their data was still available in the Campus Portals after they unfollowed a program, and campuses were able to send them email communication. With this enhancement, inactive applicants have a pared-down profile view that includes their core information but suppresses most remaining data.

Menu Bar and Page Header Remain Within Easy Access

This enhancement is automatically available for use by all CASs and participating programs. No action is required on the part of any association, school, or program. Contact a member of your account team for more information.

When you scroll down a page in WebAdMIT, the Menu Bar on the left and the page header (which includes the Dashboard and Account links and the cycle switcher) at the top of the page now remain within easy access. Previously, the Menu Bar and page header were static on the page and would disappear when you scrolled down.

Potential Applicants (In Progress) Search Page Includes Columns for Application Status and Local Status

This enhancement is automatically available for use by all CASs and participating programs. No action is required on the part of any association, school, or program. Contact a member of your account team for more information.

For CASs that have partial (i.e., limited) viewing rights of In Progress applicants, the Potential Applicants (In Progress) search page now includes Application Status and Local Status columns. This gives you more immediate access to key applicant data points within the search table.

Updated Liaison Analytics Link

This enhancement is automatically available for use by all CASs and participating programs. No action is required on the part of any association, school, or program. Contact a member of your account team for more information.

In 2025 Release 6, the Analytics by Liaison link was renamed Liaison Analytics to align with the new product name, and the link changed to the Liaison Analytics Help Center. With this enhancement, the Liaison Analytics link goes to https://analytics.liaisoncas.com/analytics/ui/login for a seamless transition between WebAdMIT and Liaison Analytics.

WebAdMIT for AMCAS Enhancements

Update WebAdMIT for AMCAS Help Center URL and Layout

The WebAdMIT for AMCAS Help Center now has a shortened, easier-to-remember URL: https://help.liaisonedu.com/WebAdMIT_for_AMCAS. The content within the former WebAdMIT for AMCAS Manual section, which includes step-by-step instructions, videos, and best practices for using WebAdMIT for AMCAS's features, has also been moved to the main page of the WebAdMIT for AMCAS Help Center for easier access.

Sandbox Environment Refresh

August 2, 2025

The WebAdMIT Sandbox environment (uat.webadmit.org) was refreshed with current (cleansed) production data and program configurations. Any test exports, custom fields, etc., in the current sandbox were overwritten.

The next sandbox environment refresh is scheduled for September 4, 2025.

Shared Lookup Table Updates for Fall 2025

September 2025

Many fields in the Applicant Portal contain predefined answer values that applicants can select; for example, the Country and County fields both have predefined answer values. These values are housed in shared "lookup tables" which are viewable in your CAS's/UniCAS's data dictionary file.

Lookup table change requests can be sent to a member of your account team, who will compile and review these requests. The last date to submit lookup table update requests was June 13, 2025.

New lookup table values will appear in the CAS Applicant Portal in September 2025 (subject to change).
