Cross-Portal Enhancements

Liaison's suite of portals work together to help you collect and manage applications. The CAS application, also referred to as the CAS Applicant Portal, is the system where applicants find and apply to your programs. You receive these applications in WebAdMIT or Liaison Outcomes, where you perform your review processes. The appearance of your program and your requirements are customized in the CAS Configuration Portal, where you establish the program-specific elements that your applicants will interact with. Additionally, your program may use one or more of the following tools and platforms:

  • API: a data integration tool.
  • CAS Applicant Gateway: a platform for applicants who have already submitted their CAS application to complete and upload additional materials requested by their programs.
  • CAS Liaison Analytics and Othot: advanced analytics solutions and data reporting tools.
  • CAS Liaison Letters: a platform for evaluators to submit their letters of recommendation.
  • Enrollment Marketing and TargetX: customer relationship management (CRM) systems for student lifecycle management.
  • Living Profile: a platform where students can connect their academic pursuits with their career aspirations.
  • SlideRoom: a platform for collecting digital portfolios.
  • Time2Track: a platform for tracking, verifying, and managing experiences.

Annual Fall High School Lookup Updates

This enhancement is automatically available for use by all CASs and participating programs. No action is required on the part of any association, school, or program. Contact a member of your account team for more information.

Many fields in the Applicant Portal contain predefined answer values that applicants can select; for example, the Country and County fields both have predefined answer values. These values are housed in shared "lookup tables." Periodically, we update these tables to include additional response options.

The Master High School List has been updated, including the high school CEEB codes from the College Board. Review the Shared Lookup Table Updates page for a full list of updates.

These lookup table updates impact the following portals, some of which you may use. If you created a "crosswalk" from our portals to your local data in your SIS/CRM, you may need to update this crosswalk for the newly-added options. Cal State Apply Applicant Decision Codes in WebAdMIT Appear in CSU Transfer Planner

This enhancement is automatically available for use by Cal State Apply and CSU Transfer Planner. No action is required on the part of any association, school, or program. Contact a member of your account team for more information.

CSU Transfer Planner offers the Transfer Success Pathway (TSP), a dual admission program in which community college students enroll in an agreement with a California State University (CSU). This agreement guarantees admission into a student's chosen major once the student has met all admission requirements. These students will use Cal State Apply to formalize their application to a CSU. Then, in WebAdMIT, CSU campuses use Decision Codes to track admissions decisions for their Cal State Apply applicants.

To enable CSU campuses to more easily track and report on the success of the TSP program and students matriculating into a CSU, WebAdMIT's Decision Code data for Cal State Apply applicants is now shared with the CSU Transfer Planner University Portal and the Chancellor's Office.

CSU Transfer Planner

If your transfer student has a Cal State Apply application, any associated Decision Codes will appear on their Contact record once they visit the Check Status page in the application. This data is only available for University Portal users and the Chancellor's Office.

WebAdMIT

The Chancellor's Office can continue to use WebAdMIT's Decision Code API to place Cal State Apply applicants in the applicable Decision Code.

CAS API Enhancements

The following enhancements are automatically available for the CAS API, and no action is required on the part of any school or program. If you have any questions about these features, contact support.

Support for Redirected Status in CAS API Subscriptions

The Redirect process allows programs to redirect applicants that were not accepted to any of their selected programs. With this enhancement, the CAS API Subscription framework has been enhanced to support applications in "Redirected" status.  Applications that transition into "Redirected" status will trigger the following events:

  • application.updated
  • application.program.selected

Support Organization Contacts in CAS API

The CAS API GET Organizations (list) and GET Organization (detail) endpoints have been enhanced with a new JSON child node "orgContacts." This new object contains an array of all individuals associated with the organization.  The following new properties are supported:

  • Organization contact first name
  • Organization contact last name
  • Organization contact email
  • Organization contact phone
  • Organization contact notes

Support ReferenceDataSet values in observationHourSettings

Two new properties have been added to the observationHourSettings JSON node in the CAS API Application v1 and v2 data models:

  • "settingTypeReferenceSet": 0,     (example value = "LK_OHInPatientSettings")
  • "settingTypeReferenceSetId": "string",    (example value = "113")

These new properties maybe be useful for downstream consumers and display purposes, as they enable grouping the existing "settingType" by the "settingTypeReferenceSet."

CAS Applicant Portal Enhancements

Email Address Validation

This enhancement is automatically available for use by all CASs and participating programs. No action is required on the part of any association, school, or program. Contact a member of your account team for more information.

Email address used to create CAS applications will now be checked to confirm if they are legitimate or from a disposable source. This additional security check helps prevent bots or nefarious sources from creating fake CAS accounts.

CAS Configuration Portal Enhancements

Program Short Name Field Naming Consistency

This enhancement is automatically available for use by all CASs and participating programs. No action is required on the part of any association, school, or program. Contact a member of your account team for more information.

In 2025 Release 6, the WebAdmit Name field was renamed Program Short Name to clarify its purpose in both WebAdMIT and Liaison Outcomes. This enhancement renames all instances, such as column names, of the former WebAdmit Name field in the CAS Configuration Portal to Program Short Name to maintain consistency.

ResidencyCAS Interview Portal Enhancements

Applicants Can Now Access the Interview Portal on Mobile Devices

Applicants can now use the Interview Portal on any mobile device. The responsive design makes it easy for them to accept or decline invitations, view their schedule, and manage interviews.

ResidencyCAS Medical School Portal Enhancements

New Search Option: Intent to Apply

From the Search page, you can now find applicants using their Intent to Apply. This helps you quickly locate applicants in the current cycle versus those preparing for a future cycle.

Transfer Planner Enhancements

Student Portal: ADT Transfer Model Curriculum for Chicana/o - Latina/o Studies

Students can now select an Associate Degree for Transfer (ADT) Transfer Model Curriculum for Chicana/o - Latina/o Studies from the Additional Details ADT questions. The Program Progress page will also include these new degree requirements for students following a related CSU program.

Placeholder Field Available in Export Manager

This enhancement is automatically available for use by all CASs and participating programs. No action is required on the part of any association, school, or program. Contact a member of your account team for more information.

To help with data exports and integrations, a new Placeholder field is available in the Export Manager. You can use this field to create space on an export for your Student Information System (SIS) needs or to preemptively create space for new, upcoming fields.

You can add a Placeholder field by clicking the Add Placeholder button on the right side above your chosen fields. See the Exporting Data via the Export Manager page for more guidance and best practices.

This enhancement was inspired by user feedback via the Ideas Portal.

Require MFA for All Users Within an Organization

This enhancement must be approved by an organization for use in the current cycle. Organizations: contact a member of your account team for more information or to enable this feature.

In 2024 Release 10, WebAdMIT offered users the option to activate multi-factor authentication (MFA) using any standard two-factor authentication (2FA) app (e.g., Google Authenticator, Microsoft Authenticator, Authy, etc.).

With this enhancement, an organization can now require MFA for all their users. This helps organizations that may have security standards. If MFA is required, then users will be notified when they log in that they need to set up MFA by the deadline date.

If you are interested in requiring MFA for your organization, refer to the help article above for guidance. Note that if your organization participates in multiple CASs, we will need confirmation from the primary user for each of your CASs. For example, if you participate in both PTCAS and CASPA, then both the PTCAS and CASPA primary users at your organization need to submit requests.

Multi-Row Designation In Progress Report Available

This enhancement is automatically available for use by all CASs who have partial view of In Progress applicants. No action is required on the part of any association, school, or program. Contact a member of your account team for more information.

In 2025 Release 1, we released a new Multi-Row Designation In Progress Report in the Report Manager. After receiving positive feedback, starting in October, all CASs who have partial (i.e., limited) view of In Progress applicants will automatically have access to this report. This report is very helpful for CRM and integration projects, as you can pull In Progress applicant data with a consistent, set column format, regardless of the number of programs an applicant is interested in.

Various User Interface Updates

To improve the user experience, the following user interface updates were made.

Applicant Details Page: Number of Entries Listed on Subpanels

The number of entries under each subpanel is now listed next to each subpanel name. This is available in the Achievements, Experiences, Infractions, Licenses and Certifications, and Standardized Tests panels.

Email Template Manager: View Attachments

When you view a template on the Email Templates Manager page, a list of the attachments linked to that email template also displays.

Search Correspondence Page: Email Draft Filter

You can now quickly filter emails in a Draft status from the Search Correspondence page.

Requirements Manager: Reorder Notes and Comments

The Use notes and Use comments checkboxes have been reordered so that if you activate Use comments, the Comment table appears directly below the checkbox.

Transfer Settings for Association Users

This enhancement is automatically available for use by all CASs. No action is required on the part of any association. Contact a member of your account team for more information.

Association users can now initiate a transfer settings for their own accounts, and can carry forward any lists, exports, and reports they have created. The transfer settings can only be initiated once per user per cycle.

Only templates that association users have created will carry forward in their transfer settings; if a template is shared with them, the user who created it will need to run their own transfer settings.

This enhancement was inspired by user feedback via the Ideas Portal.

About 40% of applicants complete their application on a mobile device; with this in mind, you will want to preview your program in a mobile layout so that you can confirm your instructions are easy to scan and read on a mobile device. Sandbox Environment Refresh

October 2, 2025

The WebAdMIT Sandbox environment (uat.webadmit.org) was refreshed with current (cleansed) production data and program configurations. Any test exports, custom fields, etc., in the current sandbox were overwritten.

The next sandbox environment refresh is scheduled for October 30, 2025.

Shared Lookup Table Updates for Spring 2026

Many fields in the Applicant Portal contain predefined answer values that applicants can select; for example, the Country and County fields both have predefined answer values. These values are housed in shared "lookup tables" which are viewable in your CAS's/UniCAS's data dictionary file.

Lookup table change requests can be sent to a member of your account team, who will compile and review these requests. The last date to submit lookup table update requests is October 31, 2025.

New lookup table values will appear in the CAS Applicant Portal in March 2026 (subject to change).
