Cross-Portal Enhancements

On-Demand Transfer of Deferred Applicants
This enhancement must be approved by the CAS association or UniCAS client for use in the next cycle. If activated, this enhancement will be available for all participating programs in the next cycle. CAS association and UniCAS clients: contact a member of your account team for more information or to enable this feature.
If available in your CAS, you can transfer deferred applicants from one cycle to the next in WebAdMIT. Deferred applicants are meant to serve as placeholders in the new cycle for reporting purposes, filling seats, etc. Historically, this process was done either through the Transfer Settings process (when you transfer forward other templates such as Local Statuses, email templates, etc.) or through the Liaison-assisted Deferral Process.
Starting in your CAS's next cycle, you can now transfer deferred applicants on demand, separate from these processes. A new Deferrals subpanel is available under the Designations panel, with a Defer to a Future Cycle button to transfer the applicant's data into a future program for your CAS. This enhancement allows you to self-serve with fuller control over your applicant pool and reporting needs.

WebAdMIT
In addition to the new Deferrals subpanel and button, note the following:
- This is only available for applicants who have already submitted to one of your programs.
- Applicants will be placed in a Manual application status in the new cycle in WebAdMIT.
- Only select applicant data will appear in the new cycle in WebAdMIT.
CAS Applicant Portal
If you transfer a deferred applicant, they will have an application created for them in the new cycle. When they log in, they will see your program listed with a Manual application status.
This enhancement was inspired by the Ideas Portal.
Coming Soon: TOEFL Scoring Scale Changes
This enhancement is automatically available for use by all CASs accepting unofficial and official TOEFL scores. No action is required on the part of any association, school, or program. Contact a member of your account team for more information..
Starting January 21, 2026, ETS's TOEFL exam will have a new 1-6 scoring scale for each section and overall total score. To accommodate this, the following changes will be made:
- CAS Applicant Portal: applicants will be able to report their scores in both the old and new scoring scales in the Standardized Tests section. If available in your CAS, they can continue to send official TOEFL scores to their programs via the CAS TOEFL code.
- WebAdMIT: a new set of TOEFL-related fields for this new scoring scale will be available. You must add these fields to anywhere you may already pull in TOEFL fields (e.g., lists, exports, scoring, etc.).
Important: when you receive official TOEFL scores taken after January 21, 2026, ETS will provide the historical scale equivalent for only the overall total score (i.e., both a 6 (on the new scoring scale) and 120 (on the old scoring scale)). ETS is not providing the historical scale equivalent for any section scores (i.e., you will only get a 4 (on the new scoring scale) for the Reading section). Be sure to review all your templates to accommodate the new scoring scale and capture the data you need.

Liaison Outcomes Enhancements

New Email Activity Viewing Permissions
This enhancement is automatically available for use by all CASs and participating programs. No action is required on the part of any association, school, or program. Contact a member of your account team for more information.
In Outcomes, you can review email activity by going to the Activity section of the Navigation Menu and clicking the Emails tab. This log includes a record of all emails sent from the Applications Grid, Contacts Grid, or from individual application or contact records. With this enhancement, two new permissions have been added to manage which roles can see the email history:
- See Contact Email Activity
- See Application Email Activity
If these permissions are enabled for a role, all users in that role can see emails sent to contacts or applicants, respectively. Where applicable, you can also click on the emails from the Activity page to review their related summary, recipients, and engagement information.
Admissions Notes Now Appear as Banners
This enhancement is automatically available for use by all CASs and participating programs. No action is required on the part of any association, school, or program. Contact a member of your account team for more information.
Occasionally, Liaison staff may add notes to a CAS application to inform you of issues with the application or changes to its status. These notes now appear as banners at the top of applications in Outcomes.

Tags Appear on Applications with Various Colors
This enhancement is automatically available for use by all CASs and participating programs. No action is required on the part of any association, school, or program. Contact a member of your account team for more information.
This enhancement allows application tags to be displayed in different colors.

ResidencyCAS Interview Portal Enhancements
Meeting Room Updates
When adding applicants or staff to meeting rooms, you can now see which sessions they're assigned to. This helps ensure you add the right participants to the right rooms.

Additionally, the Staff/Applicants column now shows clickable counts that allow you to quickly review who's currently assigned to that meeting room.

Time2Track Enhancements
The following enhancements are automatically available for Time2Track (unless otherwise noted), and no action is required on the part of any association, school, or program. If you have any questions about these features, contact your Account Manager or customer service.

Updated Form Manager
Starting November 16, the new Form Manager provides a smarter and more flexible option for current forms and evaluations. You can use forms to build and send custom documents, competency evaluations, or other key program forms to trainees, supervisors, and faculty members. This release brings four major updates:
- New user interface: provides a more modern and intuitive navigation for users.
- Form building flexibility: provides more control over form layout and formatting.
- Simplified form version and delivery: provides a clear view of which form version you are editing and sending, as well as easily alerting when you cannot send a form and why.
- Streamlined submission management view: provides a single dashboard to efficiently track all submissions, monitor progress in real time, and identify outstanding submissions.

New Search Field to Filter Application Fields List
This enhancement is automatically available for use by all CASs and participating programs. No action is required on the part of any association, school, or program. Contact a member of your account team for more information.
The following features now include a Search field that helps you quickly locate fields used to build your templates:
- List Manager
- Export Manager
- Email Templates (for merge fields)
- Scoring Models
- Applicant Header

Zip Code Added as Scorable Field in Scoring Models
This enhancement is automatically available for use by all CASs and participating programs. No action is required on the part of any association, school, or program. Contact a member of your account team for more information.
You can now include the Permanent Mailing Address Postal Code field within scoring models. This allows you to award additional points to an applicant based on their residence. Note that this field is a string field, and you must build a point table to use it with your scoring model.
Automatically Disable Scheduled SFTP Jobs with Repeated Fails
This enhancement is automatically available for use by all CASs and participating programs. No action is required on the part of any association, school, or program. Contact a member of your account team for more information.
In order to optimize the performance of WebAdMIT's export infrastructure, if your scheduled job has failed in 10 consecutive runs, it will now be automatically disabled, with an explanation accessible in the log.

In December 2025, users who haven't logged in to WebAdMIT in the past 18 months will have their accounts deactivated. This enhances the security of WebAdMIT and ensures only current and active users can access applicants and admissions data. Sandbox Environment Refresh |

The WebAdMIT Sandbox environment (uat.webadmit.org) was refreshed with current (cleansed) production data and program configurations. Any test exports, custom fields, etc., in the current sandbox were overwritten. The next sandbox environment refresh is scheduled for December 4, 2025. |

Shared Lookup Table Updates for Spring 2026 |

Many fields in the Applicant Portal contain predefined answer values that applicants can select; for example, the Country and County fields both have predefined answer values. These values are housed in shared "lookup tables" which are viewable in your CAS's/UniCAS's data dictionary file. Lookup table change requests can be sent to a member of your account team, who will compile and review these requests. New lookup table values will appear in the CAS Applicant Portal in March 2026 (subject to change). Visit the Shared Lookup Table Updates page for more information. |
