- How do reports interact with scheduled jobs?
- When you add a report to your scheduled job, that same report will be used for the duration of the job. For example, if you scheduled a letter to go daily for a month, so will the report every time that print job runs.
- How does TX Print handle records that might appear on the report more than once over multiple jobs? Do they get another mailing?
- It depends on if you’d like for your mailing to be de-duped! Let’s use an example to illustrate how deduping works:
You’re sending grad acceptance letters daily using a report composed of the Contact ID, First and Last Names, Degree Program and Major, and you’ve got the job set up to de-dupe since a student only needs one acceptance letter. On Monday, your scheduled job runs and the report includes Sally Student, who was accepted for a Master’s of Business Administration. On Tuesday, Sally Student falls into the report two times- once for that Master’s of Business from Monday and the next time for her acceptance to a Ph.D. in Biology.
Sally will get one new letter (the Ph.D. acceptance). All the values for her MBA acceptance “row” in the report are the same; she didn’t change her Contact ID, Name, Degree Program or Major. However, for the Ph.D. in Biology acceptance, even though her Contact ID and Name values are identical, the Degree Program and Major are both different, which means she’ll “re-qualify” for another letter.
If you use this same scenario, but have deduping disabled, Sally would receive one letter on Monday, and two letters on Tuesday.
- When should I enable vs. disable deduping for my scheduled jobs?
- If you want a student to continue to receive letters each time they qualify for the report, you should disable deduping. Examples of these letters might be a request for transcripts, notification of an unpaid balance or other outstanding requirements the recipient needs to complete.
If you want the recipient to only receive one copy of the letter, you should enable deduping. You’d likely want to de-dupe for your decision letters or most marketing materials.
