Customizing Faculty Early Alerts Settings

Faculty Early Alert Settings

Faculty Early Alert Settings allow Administrators to:

  • Define the Due Dates for Faculty Early Alerts
  • Set the frequency of Reminders to Faculty
  • Configure the Emails to be sent to Faculty
  • Configure the Alerts or Kudos available for Faculty Early Alerts
  1. Navigate to TargetX Builder.
  2. Click the Faculty Early Alerts icon.
  3. Configure each of the tabs in the Faculty Early Alerts Settings window:
    • Schedule Settings defines deadlines and emails to Faculty.
    • Alerts/Kudos defines the Alerts and Kudos that the Faculty members can assign.
    • Sharing allows you to automatically share Contacts/Students to the associated Faculty member.
  4. Save your changes.

Faculty Early Alerts Custom Settings

In addition to the Faculty Early Alert Settings, several additional settings are available in Custom Settings. These settings are not commonly used:

  1. Navigate to Setup and search for Custom Settings.
  2. Click Manage next to Faculty Alerts Settings.
    1. The Notifications Batch size is for internal use only and should NOT be updated unless you are instructed to do so by TargetX Support. Default is 10.
    2. The Sharing Batch size is for internal use only and should NOT be updated unless you are instructed to do so by TargetX Support. Default is 10.

Note: Consider changing the batch size if the notification/sharing batch job fails with the following error: ‘First error: TgtX_Retention:Too many DML rows: 10001’

This means you should submit a Support ticket and work with them to adjust the batch size to a lower number.

  1. The Close Alert Default Email Template ID must only be updated if you don't want to use the TargetX default email template (see Notification to Faculty/Alert Creator on Closing of Alert).

Note: There is no record created by default for these settings. You only need to create a record if you want to change the defaults:

  1. Navigate to Setup and search for Custom Settings.
  2. Click Manage next to Faculty Alerts Settings.
  3. Click New above the Default Organization Level Value.
  4. Enter a new value for any of the settings you wish to change.
  5. The field will be blank if it is using the default.
  6. Save your changes.

Faculty Early Alerts Schedule Settings

Enable Notifications will enable email invitations and reminders to faculty to provide Alerts/Kudos for their students. Set up one or more (up to five) due dates for providing alerts/kudos.  If you would rather use an Email campaign to do this or do not desire to add due dates you can turn this setting off.

Once enabled, additional settings display:

Notification Settings 

Enter the days after Term Start that Faculty Early Alerts are Due. Enter a number and then click the Enter key, or tab. Repeat for each due date. 

Notes: 

  • You can add a maximum of five due dates in a Term.
  • Reminders send regardless of whether faculty added them or not and will send for EACH due date specified.

Email to Faculty

  • Faculty Alerts Community picklist will display your Active Communities. Select your Faculty Alert community from the drop down or select No Community if you have opted to not use a Community.

Note: Choosing No Community will direct Users to the Roster tab in the CRM. This is what you will use if you have non-community faculty users. For additional information, see the article Configuring Faculty Early Alerts Access.

  • Request Feedback displays the number of days before the Due Date to request Feedback as well as the Email Content that will be sent to Faculty when their feedback is requested. You must add customized content to display after the content listed. This initial email will be sent to Faculty based on your Due Dates.
  • Reminder displays the number of days before the Due Date to send a Reminder as well as the Email Content that will be sent to Faculty when a reminder is sent. You must add customized content to display after the content listed.
