Montana University System Program User Guide

This guide provides you with documentation, reference guides, and direct links that answer common admissions questions about the Montana University System Applicant Portal, Configuration Portal, Admissions, and WebAdMIT. It also contains resources that may help you work more efficiently throughout your admissions process. Cycle Timeframes

Applicant Portal

The Applicant Portal opens in early July.

Configuration Portal

Between early March and late May, configurations are entered in the prelaunch environment. The Account Manager, Client Success Manager, and Montana University System review submitted configurations in June.

Admissions and WebAdMIT

You can view new applicants shortly after the new cycle opens in early July.

Program Participation Requirements

Montana University System requires all programs to designate two contacts at your institution who will receive all communication from Montana University System, including the configuration, application, and WebAdMIT launch notifications.

Applicant Portal

The first three sections of the Montana University System application (i.e., Personal Information, Academic History, and Supporting Information) compose the core application. They contain questions that are commonly asked of applicants across all participating programs, such as an applicant's biographic information, standardized test scores, and experiences. The fourth section of the application is Program Materials, which is customized by you through the Configuration Portal (discussed in the next section).

You can access the Montana University System application and Montana University System Applicant Help Center to review the applicant experience. You can also create a test application in the Applicant Portal; we recommend creating a new account and adding "test" to your name (e.g., TestJohn TestDoe).

Configuration Portal

Use the Configuration Portal Quick Start Guide to make sure you configure your program(s) efficiently and completely in the prelaunch environment. Be sure to check out your CAS's configuration options and review the best practices found throughout. If any optional sections of the application are required for your program (e.g., experiences, test scores, etc.), you'll want to note this on your program home page.

Once you've configured your program, you'll need to have it approved by the Account Manager, Client Success Manager, and Montana University System before it is available to applicants. If your program is reviewed after the cycle launches, Montana University System will approve it.

WebAdMIT

Review the WebAdMIT Manual for any questions related to working in WebAdMIT. The Documentation and Reference Guides and WebAdMIT Training and Support sections are additional resources as you configure WebAdMIT for your needs.

Admissions by Liaison

Review the Admissions by Liaison Help Center for any questions related to working in Admissions by Liaison.

  • Working with the Dashboard: the Dashboard in Admissions by Liaison is the landing page where you arrive after logging in.
  • Navigating Marketing: using the Marketing tools, you can set up automated, personalized communications to any contact or application.
  • Working with Campaigns: Campaigns are Communication Plans for interacting with a specific audience or purpose.

Applicant Portal  Reapplicant Page  Applicants who created an account in the previous Montana University System application can choose to carry forward parts of their application into the new cycle. No action required by participating programs to use this enhancement. Available at cycle launch
Applicant Portal Extended Profile Additional applicant type questions (e.g., transmittal, dual enrollment, high school equivalency, etc.) are now available on the Extended Profile page. Depending on the applicant's answers, certain sections of the application may be displayed or hidden.  No action required by participating programs to use this enhancement. Available at cycle launch

Academic History – Standardized Tests

Depending on an applicant's answers on the Extended Profile page, they will see specific standardized test types. For example, if an applicant reports that they live outside the US, then the Montana University System can display the TOEFL, PTE, and/or IELTS standardized test types.

Applicant Portal  Personal Information – Contact Information  The instructions are updated to better assist applicants. No action required by participating programs to use this enhancement. Available at cycle launch
Applicant Portal  Academic History – Colleges Attended The Early College/Dual Credit section was removed. Applicants can now provide this information in the Colleges Attended section.  No action required by participating programs to use this enhancement. Available at cycle launch
Applicant Portal  Academic History – High School Information The questions are updated to better reflect the needs of the campuses. No action required by participating programs to use this enhancement. Available at cycle launch
Applicant Portal  Academic History – High School Equivalency Depending on an applicant's answers on the Extended Profile page, they will now see a High School Equivalency section where they can enter related information. No action required by participating programs to use this enhancement. Available at cycle launch
Applicant Portal Add Programs Page 

Applicants can now view and filter by each program's level (i.e., Undergraduate (Freshman or Transfer), Dual Enrollment/Early College Credit, Transmittal Application) and city on the Add Programs page.

Configuration Portal

Question Rules

You can choose to request or require a document upload based on an applicant’s response to an Extended Profile or program-level question using the Show Document Question Rule.

WebAdMIT

Applicant Details Page

You can now view which applicants reapplied from a previous cycle in WebAdMIT. There are two fields to track this information and both populate as Yes or No:

  • Applicant Previously Applied to CAS
  • Applicant Previously Applied to Organization

No action required by participating programs to use this enhancement.

WebAdMIT Applicant Details Page In Progress applicants now appear in all searches, lists, and exports when Full View is selected.  No action required by participating programs to use this enhancement. Available at cycle launch
