New Features and Enhancements

Cross-Portal Enhancements

Liaison's suite of portals work together to help you collect and manage applications. The CAS application, also referred to as the CAS Applicant Portal, is the system where applicants find and apply to your programs. You receive these applications in WebAdMIT or Liaison Outcomes, where you perform your review processes. The appearance of your program and your requirements are customized in the CAS Configuration Portal, where you establish the program-specific elements that your applicants will interact with. Additionally, your program may use one or more of the following tools and platforms:

  • API: a data integration tool.
  • CAS Analytics by Liaison and Othot: advanced analytics solutions and data reporting tools.
  • CAS Applicant Gateway: a platform for applicants who have already submitted their CAS application to complete and upload additional materials requested by their programs.
  • CAS Liaison Letters: a platform for evaluators to submit their letters of recommendation.
  • Enrollment Marketing and TargetX: customer relationship management (CRM) systems for student lifecycle management.
  • Living Profile: a platform where students can connect their academic pursuits with their career aspirations.
  • SlideRoom: a platform for collecting digital portfolios.
  • Time2Track: a platform for tracking, verifying, and managing experiences.

Configurable Comments Now Available for Likert Scales and Most Question Types

This enhancement is for CASs using WebAdMIT and must be approved by the CAS association or UniCAS client for use in the next cycle. If activated, this enhancement will be available for all participating programs in the next cycle. CAS association and UniCAS clients: contact a member of your account team for more information or to enable this feature.

CASs that use WebAdMIT can now configure comments on Likert scales and all question types in Liaison Letters except those with multi-select/checkbox answers. Recommenders can use comments to add more details.

Comments will be available for multi-select/checkbox answers in a future release.

CAS API

Likert rating comments are now available via a new "comments" property in the EvaluationFormAnswers JSON node for CAS API.

Liaison Letters

If comments are configured, recommenders can enter comments for Likert scales and supported question types on recommendation forms. Note that comments can be made optional for Likert scale questions but can only be made required for multiple-choice questions.

WebAdMIT

To view a recommender's comments, click Evaluation Details on the Evaluations panel on the Applicant Details page. You can also view comments in the full application PDF and Evaluations report in the Report Manager.

CAS Applicant Portal Enhancements

CAS Application Domain Name Change

This enhancement is automatically available for use by all CASs and participating programs. No action is required on the part of any association, school, or program. Contact a member of your account team for more information.

The URL format for the CAS applications has been updated to a new format: casname.cas.myliaison.com. This update is part of ongoing improvements to Liaison's technology infrastructure and benefits include:

  • Enhanced system security (e.g., Multi-Factor Authentication (MFA))
  • Future upgrades like Keycloak and social media login tools that simplify account creation and introduce new single sign-on capabilities across Liaison platforms.

This change applies to both the CAS prelaunch and production (i.e., live) environments, but does not include CAS public APIs, WebAdMIT URLs, Analytics, or Common App for transfer.

The old CAS application URL format (casname.liaisoncas.com) automatically redirects to the new URLs, ensuring a smooth transition without any service disruption. We recommend that by June 27, 2025, you review and update all CAS-related URLs on your websites and documentation to reflect the new URL format:

https://casname.cas.myliaison.com/ (replace "casname" with your CAS name)

If you use deep links on your website or in marketing outreach, you should also update those links. If you have any questions or need further assistance, please contact a member of your account team.

Liaison Letters Enhancements

The following enhancements are now available in Liaison Letters. If you have any questions about these features, contact a member of your account team or support.

Recommenders Can Edit Completed Recommendations

This enhancement must be approved by the CAS association or UniCAS client for use in the current cycle. If activated, this enhancement is available for all participating programs. CAS association and UniCAS clients: contact a member of your account team for more information or to enable this feature.

Recommenders can now reopen and edit their completed letters of recommendation (i.e., evaluation, reference) in Liaison Letters. For example, a recommender can add more information to a rating or question about the applicant, or they can upload a new recommendation document.

When a recommender reopens and edits a completed recommendation, the recommendation's status changes to Accepted, and the recommender must resubmit their recommendation for it to move back to the Complete status.

If your CAS offers the delegate feature (i.e., individuals who can submit a letter of recommendation on behalf of a recommender), then delegates can also reopen and edit completed recommendations.

This enhancement gives recommenders more control over their recommendations and reduces their need to contact support when they need to make changes.

Liaison Outcomes Enhancements

New Option to Switch to Form View on Applications

Beginning on March 10th, this enhancement is automatically available for use by all CASs and participating programs. No action is required on the part of any association, school, or program. Contact a member of your account team for more information.

When reviewing applications in Outcomes, you can now adjust table sections (e.g., colleges attended, coursework, etc.) to form view. This increases readability for many tables in Outcomes, particularly for sections with expansive text (e.g., personal statements).

Customizable Program Page Grid

Beginning on March 10th, this enhancement is automatically available for use by all CASs and participating programs. No action is required on the part of any association, school, or program. Contact a member of your account team for more information.

The Programs page in Outcomes allows you to configure the settings for each of your programs. With this enhancement, the grid on the programs page is now customizable, allowing you to add and remove headers. This allows you to more efficiently find programs based on criteria that are most relevant to you.

Categorizing Marketing Email Templates with Audience Types

Beginning on March 10th, this enhancement is automatically available for use by all CASs and participating programs. No action is required on the part of any association, school, or program. Contact a member of your account team for more information.

This enhancement adds Audience Types to Marketing Email Templates. Benefits of this feature include:

  • Better categorization to keep email templates organized.
  • More accurate template application, as each template can only be used when it applies to the intended audience.
  • Improved merges, as merge fields that are inapplicable to the specified audience are no longer available to select in your template.

Marketing Emails Now Offer Searchable Merge Fields

When adding merge fields to your marketing email templates, you can now search for merges. This allows you to more efficiently find and apply merge fields.

Applying a merge tag in Outcomes

Images in System Email Templates Can Now Include Clickable Links

Beginning on March 10th, this enhancement is automatically available for use by all CASs and participating programs. No action is required on the part of any association, school, or program. Contact a member of your account team for more information.

You can now include hyperlinks within images in System Email Templates. To do so, click any image in the email then click the hyperlink icon.

Ability to Group and Sort Applicant Form Data

Beginning on March 10th, this enhancement is automatically available for use by all CASs and participating programs. No action is required on the part of any association, school, or program. Contact a member of your account team for more information.

When configuring a table section in Applicant Forms, you can now set Group By and Sort By options that adjust how the data in the table is displayed on applications and application PDFs within Outcomes.

Enhanced Segmenting for Data Within Table Rows

We will activate this enhancement on a rolling basis throughout the month of March. No action is required on the part of any association, school, or program. If you would like to receive the enhancement sooner, please contact your CSM.

When working with segments on the Applications Grid, more powerful filtering is now possible using the data found within tables on application forms. Searches and segments now evaluate data at the row level. This means that your queries will return results only when all your specified conditions are met within a single row. For example, if you're querying for data within a college coursework table, you can isolate colleges that are within a specific state and where an applicant attained a desired number of credit hours. This enhancement allows for more dynamic and accurate searches and segmentation.

Medical School Portal Enhancements

Applicant's Program Specialty Now Visible

While in the Medical School Portal, you can now see each program's specialty in the details of the Designations panel (listed as Program Track). With this enhancement, the specialty data is also available to use in Lists and Exports.

Admissions Notes Now Visible

While in the Medical School Portal, you now have access to Admission Notes left by Liaison staff. These notes may include information about an application being placed on hold, corrected, or otherwise impacted. This information appears in the Notes panel of the Applicant Details page but is not included in exports.

MSPE Writers Can Edit Completed MSPEs

Medical Schools and ECFMG can now reopen and edit their Medical Student Performance Evaluations (MSPEs) or Medical Student transcripts. We know that these documents may require updates throughout the cycle, and these updates can now be performed directly without contacting ResidencyCAS.

Coming Soon: Downloadable Letters of Reference

To assist in transferring student letters of reference to ERAS for the Supplemental Offer and Acceptance Program (SOAP), beginning March 10th, you can download LORs from each applicant's Evaluations panel in the Medical School Portal.

Transfer Planner Enhancements

The following enhancements are now available in CSU Transfer Planner Student and Campus (i.e., University and Community College) Portals. If you have any questions about these features, contact a member of your account team or support.

Student Portal: Financial Aid and Program Pathway Maps Transfer Tips on Dashboard

The dashboard now includes two new transfer tips to help students throughout their Transfer Planner journey:

  • Financial Aid Transfer Tip: this tip provides a link to more information on available financial support resources.
  • Program Pathway Maps Transfer Tip: Program Pathway Maps help students plan when to take major and general education coursework. This tip provides a link that identifies schools and programs that have a Program Pathway Map.
Student Portal: Verify Additional Email Addresses and Phone Numbers

When a student creates their CSU Transfer Planner account, additional email addresses and/or a phone number must be collected and verified to confirm they belong to the user. This ensures the user's identity can be validated during password reset scenarios.

Since verification of email and phone numbers is optional, the system presents icons to indicate if the email or phone is verified or unverified.

When requesting verification, the student receives a 6-digit code. Once the 6-digit code is entered and confirmed, the phone or email can be considered verified.

Campus Portals: CEEB Codes for Primary School Attending

You can now extract the CEEB code for a student's primary school attending. This allows you to manage integration data more effectively.

Campus Portals: Upload Program Image in Configuration Portal

This enhancement applies to only University Portal users.

You can now upload and edit your program image through the Configuration Portal. Image sizes are limited to 5MB.

The default image for all programs is still pulled from the CAS Configuration Portal via the CSU Unique ID, and if you want to revert back to this image, you can select it from the existing media section.

This enhancement allows you to brand your program in Transfer Planner separate from Cal State Apply, if desired.

WebAdMIT Enhancements

Updated DAT Official Scores Report, Field Names, and Field Category Names

This enhancement is automatically available for use by all CASs that accept US DAT test scores. No action is required on the part of any association, school, or program. Contact a member of your account team for more information.

In 2024 Release 12, we announced that starting on March 1, 2025, the US Dental Admission Test's (DAT) scoring scale changed from 2-digit to 3-digit scores. In this release, WebAdMIT's DAT Official Scores report from the Report Manager now includes both the old and new official DAT scores. Additionally, the labels for the test sections were updated to include both the old and new section names (e.g., General Chemistry (Chemistry Inorganic)).

For CASs that collect official US DAT scores, when their 2025-2026 cycle starts this year, the old US DAT fields and field categories will be removed and the new DAT fields and field categories will be turned on. Additionally, ADA (who administers the DAT test) will send all past scores in the new 3-digit scoring format to help you have a seamless transition in evaluating applicant scores across years. In the List Manager, Export Manager, and Scoring, the following field names and field category names have been updated:

  • Official US DAT (After Mar 1 2025) field category is updated to Official US DAT (3-Digit)
  • Official US DAT (Before Mar 1 2025) field category is updated to Official US DAT (2-Digit)
  • Field names for the new official test score field are updated from DAT 2025 Field Name to DAT (3-Digit) Field Name (e.g., from DAT 2025 Official Test Date to DAT (3-Digit) Official Test Date)
  • Field names for the old official test score fields are not affected.
Institution Evaluation Form (IEF) Exception Data on the Applicant Details Page

This enhancement is automatically available for use by ADEA PASS. No action is required on the part of any association, school, or program. Contact a member of your account team for more information.

ADEA PASS users can now see the Reason for Exception and Description of Exceptions fields and data for Institution Evaluation Form (IEF) exceptions granted to applicants on the Applicant Details page under the Evaluations panel. This data was already available in the List Manager and Export Manager, but does not appear on the full application PDF. This enhancement gives ADEA PASS users more readily accessible application information within WebAdMIT, without having to use filter or data extraction tools.

Updated WebAdMIT Help Center URL and Layout

This enhancement is automatically available for use by all CASs and participating programs. No action is required on the part of any association, school, or program. Contact a member of your account team for more information.

The WebAdMIT Help Center now has a shortened, easier to remember URL: https://help.liaisonedu.com/WebAdMIT. The content within the former WebAdMIT Manual section, which includes step-by-step instructions, videos, and best practices for using WebAdMIT's features, has also been moved to the main page of the WebAdMIT Help Center for easier access.

Coming Soon: Create and Schedule SFTP Jobs for Only Current and Preceding Cycle

This enhancement is automatically available for use by all CASs and participating programs. No action is required on the part of any association, school, or program. Contact a member of your account team for more information.

In order to optimize the performance of WebAdMIT's export infrastructure, starting on April 6, 2025, you can only schedule exports, reports, and PDF Manager jobs for your CAS's current and preceding cycle. For cycles before the preceding one, you can view disabled jobs and associated logs, but you cannot schedule or create new jobs.

In all cycles, you will continue to have access to all your exports, reports, etc., and you can run those individually through the applicable feature.

Additionally, if your scheduled job has failed in 10 consecutive runs, it will be automatically disabled, with an explanation accessible in the log. You will continue to receive success and failure email notifications for each job you run, so you can stay up to date on your job's status.

WebAdMIT for AMCAS Enhancements

Application Last Changed On Field

You can now retrieve the Application Last Changed On field under the Applicant field category in the List Manager and Export Manager. This field coincides with the most recent date and time that information was transmitted from AMCAS to WebAdMIT for AMCAS. This field was already available in the Applicant Header, but now you can export and run searches based on this data.

Sandbox Environment Refresh

February 28, 2025

The WebAdMIT Sandbox environment (uat.webadmit.org) was refreshed with current (cleansed) production data and program configurations. Any test exports, custom fields, etc., in the current sandbox were overwritten.

The next sandbox environment refresh is scheduled for April 4, 2025.

Shared Lookup Table Updates for Spring 2025

April 2025

Many fields in the Applicant Portal contain predefined answer values that applicants can select; for example, the Country and County fields both have predefined answer values. These values are housed in shared "lookup tables" which are viewable in your CAS's/UniCAS's data dictionary file.

Lookup table change requests can be sent to a member of your account team, who will compile and review these requests. New lookup table values will appear in the CAS Applicant Portal in April 2025 (subject to change).
