New Features and Enhancements

CAS Application Enhancements

Liaison’s suite of portals work together to help you collect and manage applications. The CAS application, also referred to as the Applicant Portal, is the system where applicants find and apply to your programs. You receive these applications in WebAdMIT or Liaison Outcomes, where you perform your review processes. The appearance of your program and your requirements are customized in the Configuration Portal, where you establish the program-specific elements that your applicants will interact with. Additionally, your program may use one or more of the following tools and platforms:

  • Analytics by Liaison and Othot: advanced analytics solutions and data reporting tools.
  • API: a data integration tool.
  • Applicant Gateway: a platform for applicants who have already submitted their CAS application to complete and upload additional materials requested by their programs.
  • Enrollment Marketing and TargetX: customer relationship management (CRM) systems for student lifecycle management.
  • Letters by Liaison: a platform for evaluators to submit their letters of recommendation.
  • SlideRoom: a platform for collecting digital portfolios.
  • Time2Track: a platform for tracking, verifying, and managing experiences.
    Date of Birth Only Listed in Birth Information

This enhancement was originally released for select CASs in June's Release 5. It is now available for all CASs in this release.

    Fee Waiver Eligible Status

This enhancement was originally released for select CASs in June's Release 5. It is now available for all CASs in this release.

    Fee Waiver Eligible Status Updated

This enhancement was originally released for select CASs in August's Release 7. It is now available for all CASs in this release.

    Show or Hide Required Documents in Supporting Information Section

This enhancement was originally released for select CASs in July's Release 6. It is now available for all CASs in this release.

    Personal Pet Animal Type Added to Experiences

This enhancement will be automatically available for use by VMCAS in the next cycle. No action is required on the part of any association, school, or program. Contact your Account Manager for more information.

A new Personal Pet animal type is available for the Animal and Veterinary experience types. This helps applicants distinguish personal and professional experiences, as they can use this new animal type for animal-related experiences outside of professional settings.

Applicant Portal

When entering an Animal or Veterinary experience, applicants can select Personal Pet for their animal type.

CAS API

No changes are required to include this animal type in your existing API calls.

WebAdMIT

You can view the Animal Types Personal Pet and Veterinary Animal Types Personal Pet fields in the experience details under the Experiences panel. Additionally, you can access these fields in the List Manager and Export Manager.

    New International Baccalaureate (IB) Mathematics Tests

This enhancement is automatically available for use by all CASs and participating programs that collect International Baccalaureate tests in the Standardized Tests section. No action is required on the part of any association, school, or program. Contact your Account Manager for more information.

Four math tests are now available in the International Baccalaureate (IB):

  • Mathematics: analysis and approaches SL
  • Mathematics: analysis and approaches HL
  • Mathematics: applications and interpretation SL
  • Mathematics: applications and interpretation HL

Applicant Portal

For CASs that allow applicants to self-report their International Baccalaureate (IB) test scores in the Standardized Tests section, applicants can now select these tests.

Admissions by Liaison

Where applicable, these tests appear in Admissions by Liaison in the Standardized Tests panel.

CAS API

No changes are required to include these tests in your existing API calls.

WebAdMIT

You can view these tests in the Standardized Tests panel on the Applicant Details Page. These tests are also available in the List Manager and Export Manager.

Admissions by Liaison Enhancements

The following enhancements are now available in Admissions by Liaison. All enhancements are automatically available to all CASs and participating programs using Admissions by Liaison. No action is required on the part of any association, school, or program. If you have any questions about these features, contact your Account Manager or support.

    Export Schedule History now Honors Roles

This enhancement was originally released for select CASs in January's Release 1. It is now available for all CASs in this release.

    Generate Decision Letters

You can now generate decision letters for any applicant in Admissions by Liaison. Customize your decision letter templates by going to Decision Letters in the Application Review section of the Settings menu. Each decision letter template can be linked to the Decision Codes of your choice.

Once configured, a View Letter option appears on the Information Panel for applicants with an eligible Decision. This allows you to preview, print, or download the decision letter. Decision Letters can also be downloaded in batch by creating a File Export and including Decision Letter File in the export. Lastly, if you use the Admissions by Liaison Applicant Portal, you can set decision letters to display to applicants there.

Applicant Portal Enhancements

    Citizenship and Residency Information Editable After Submission

This enhancement is automatically available for use by all CASs and participating programs that use the standard Citizenship and Residency questions. No action is required on the part of any association, school, or program. Contact your Account Manager for more information.

Under the Citizenship Information section, applicants who do not list themselves as a US citizen can now update their citizenship and residency statuses after submitting their application. Non-US citizens have been able to edit their visa information since 2018's Releases 25 & 26.

    Updated DENTPIN Question

This enhancement is automatically available for use by ADEA AADSAS, ADEA CAAPID, ADEA DHCAS, and ADEA PASS. No action is required on the part of any association, school, or program. Contact your Account Manager for more information.

    Improved Error Message for Coupon and Invitation Codes

This enhancement is automatically available for use by all CASs and participating programs that use coupon codes and/or invitation codes. No action is required on the part of any association, school, or program. Contact your Account Manager for more information.

Some CASs offer coupon codes, which offset the application fee, and invitation codes, which are individual program deadline extensions. Both codes are unique to a CAS and cycle. If an applicant tries to apply a coupon or invitation code to the incorrect CAS and/or cycle, they receive an error message. With this enhancement, the error message now clarifies that the applicant must use the code in the correct CAS and cycle.

CAS API Enhancements

The following enhancements are now available in the CAS API. All enhancements are automatically available to all CASs and participating programs using the CAS API. No action is required on the part of any association, school, or program. If you have any questions about these features, contact your Account Manager or support.

    New POST and GET Applicant APIs

You can now create CAS applicant platform accounts using these new endpoints:

  • POST Applicants (CAS-scoped)
  • POST Applicants (Org-scoped)
  • GET Applicant (CAS-scoped)
  • GET Applicant (Org-scoped)

The new POST APIs create a 10-digit CAS applicant ID, which uniquely identifies an applicant on the CAS platform. The new GET APIs return details about the applicant, including the applicant's CAS ID, profile information, and contact information.

    CAS, Cycle, and Program-Specific Attribute Lookups in GET Lookups API

The GET Lookups APIs for both CAS- and Org-scoped endpoints now:

  • Return CAS-qualified results. Moving forward, the API response will only include the lookup sets that are enabled for a specific CAS and cycle.
  • Include program-specific attribute lookups and values under a new top-level JSON node called programAttributeLookups.

    New Childhood Residency Properties in GET Application Response

The GET Application v1 and v2 APIs include the following properties:

  • environmentalFactors.childhoodResidency.stateAbbreviation
  • environmentalFactors.childhoodResidency.stateISOCode2
  • environmentalFactors.childhoodResidency.countyAbbreviation

These properties are enabled by the query parameter expand=all or expand=lookups. If this parameter is omitted, the properties will not be returned in the response.

    New API Support Email Address

You can now contact the Client Support Specialist team via apisupport@liaisonedu.com. This new, API-specific email address ensures that your inquiry is immediately tagged as API-related, so it's processed faster and you receive a quick response.

Configuration Portal Enhancements

    Conditional Answer Options Question Rule Workflow Improved

This enhancement is automatically available for use by all CASs and participating programs. No action is required on the part of any association, school, or program. Contact your Account Manager for more information.

The Conditional Answer Options Question Rule has several improvements, including adding:

  • A search field for answer values.
  • The ability to batch check and uncheck answer values.

These changes improve your experience as you can more easily and quickly identify the answers for this Question Rule.

Universal Advisor Portal Enhancements

    New Universal Advisor Portal Account Request Form

This enhancement was originally released for select CASs in August's Release 7. It is now available for all CASs in this release.

    Updated Advisor Reports

This enhancement is automatically available for use by all CASs and participating programs. No action is required on the part of any association, school, or program. Contact your Account Manager for more information.

The 2020-2021 cycle reports available under Advisor Documents have been refreshed to include the most commonly accessed applicant data for the 2020-2021 cycle. Only applicants who authorize releasing their data to advisors at their primary college attended are included in these reports. Additionally, these reports are based on school decision codes entered through October 5, 2021.

WebAdMIT Enhancements

    IPEDS Code Updates in Master College Code List

This enhancement is automatically available for use by all CASs and participating programs. No action is required on the part of any association, school, or program. Contact your Account Manager for more information.

IPEDS codes for numerous colleges were added. You can download the latest Master College Code List for an updated, holistic list of college data.

    Automatically Activate WebAdMIT Features for Programs Added Mid-Cycle

This enhancement is automatically available for use by all CASs and participating programs. No action is required on the part of any association, school, or program. Contact your Account Manager for more information.

WebAdMIT now allows you to select if the following features are activated automatically for programs added mid-cycle through the Configuration Portal:

Note that:

  • You must select Make this item available for all new programs that are added to WebAdMIT for each user and template. This allows you to control the specific users and templates that have new programs automatically available to them.
  • After programs are automatically added, you can later edit the users and templates to remove the new programs.

This enhancement is especially useful if your CAS allows you to add programs mid-cycle through the Configuration Portal, as you won’t need to add your new programs to each user and template. For example, if you select Make this item available for all new programs that are added to WebAdMIT for your users and later create program D mid-cycle, then all your admissions users will automatically have program D added to their account once your program is approved.

    Program Search and Result Updates on the Admissions Users Page

This enhancement is automatically available for use by all CASs and participating programs. No action is required on the part of any association, school, or program. Contact your Account Manager for more information.

On the Admissions Users page, the program data in the search results table was updated to include two columns: Program Name and Program Label (which corresponds with the WebAdMIT Label field in the Configuration Portal). The programs in these columns are sorted alphabetically.

Additionally, the Program search field on the Admissions Users page was updated to Program Name, to more clearly identify which program data you can search by. Previously, the Program search field would gather results from a program’s Program Label, and if one wasn’t available, its Program Name.

    CAS Updates Field Selections

This enhancement is automatically available for use by all CASs and participating programs. No action is required on the part of any association, school, or program. Contact your Account Manager for more information.

The CAS Updates field grouping in the List Manager identifies data that the applicant updated after submitting their application to your program. The available fields that you can select from have been updated to reflect the data collected after submission. Review the Transferring Applicant Data into WebAdMIT guide to learn which parts of the application an applicant can edit after submitting their application to your program.

We recommend that you review your existing lists to confirm that the most up-to-date fields are included.

    Observation Hours Street Address 2 Field Available

This enhancement is automatically available for use by PTACAS and PTCAS. No action is required on the part of any association, school, or program. Contact your Account Manager for more information.

For CASs that collect observation hours that are verified by a clinician, you can now view the facility’s Address 2 field under the Experiences panel on the Applicant Details Page. This field is also available in the List Manager and Export Manager.

Display College Transcripts Not Received

We are building an Advanced Configuration Library for Admissions by Liaison. This library provides guidance to help you build custom configurations in the software. As it is built out, you'll find more options that you can implement to enhance the way Admissions data is presented, exported, or filtered.

This configuration allows you to build three different fields that indicate if transcripts are missing, how many are missing, and from which schools they are pending, respectively.

Display Letters of Recommendation Not Received Similar to the advanced configuration described above, this configuration allows you to build two fields that display the number of missing LORs (letters of recommendation) and the names of pending recommenders, respectively.

Sandbox Environment Refresh

December 20, 2021

The WebAdMIT Sandbox environment (sandbox.webadmit.org) was refreshed with current (cleansed) production data and program configurations. Any test exports, custom fields, etc., in the current sandbox were overwritten.
